Section 1: Position Summary
- The Legal Assistant will support the Ascensus Government Savings division, a business unit that specializes in 529 college savings plans and other state-sponsored savings programs. This role is responsible for providing administrative support to the legal department. Primary responsibilities include: assisting with the finalization and execution of contracts, coordinating with internal and external stakeholders, and providing general administrative support. The ideal candidate will have advanced computer skills, knowledge of general office procedures and can work well under pressure in a fast-paced corporate environment.
Section 2: Job Functions, Essential Duties, and Responsibilities
- Prepare correspondence and other legal documents.
- Perform legal and factual research; perform records research and identify relevant judicial decisions, statutes, legal articles, codes, and other pertinent material.
- Process and respond timely to civil subpoenas, grand jury subpoenas, and any other legal requests for account records; and engage in responsible outreach to external legal counsel and/or account owner for consent.
- Proofread documents for typographical and grammatical errors to ensure accuracy, consistency, and clarity; assist with formatting of contracts and other documents and accurately incorporate comments.
- Finalize legal documents for execution and distribute fully executed documents to internal and external clients.
- Maintain and update the department files and records, including contract management system and contract matrices on a daily basis.
- Respond to plan audit requests.
- Maintain appointment calendars and schedule meetings and related logistics.
- Coordinate travel arrangements including scheduling air travel, hotel reservations, and conference registrations.
- Assist with other administrative tasks and projects as assigned.
- Responsible for protecting, securing, and proper handling of all confidential data held by Ascensus to ensure against unauthorized access, improper transmission, and/or unapproved disclosure of information that could result in harm to Ascensus or our clients.

Section 3: Experience, Skills, Knowledge Requirements
- Bachelor's degree or equivalent practical experience
- 3+ years of experience as a legal assistant in a law firm or in-house
- Proficient in Microsoft Word, Excel, Outlook, PowerPoint, and Adobe Acrobat Pro.
- Operate with a high level of integrity and accountability
- Own projects and see them through completion
- Strong organizational skills and meticulous attention to detail; ability to proofread
- Ability to work autonomously, yet also take direction from attorneys and legal analysts
- Multitask and prioritize - ability to handle multiple assignments under tight deadlines
- Excellent written and verbal communication skills
- Ability to problem-solve and analyze
- Think critically and creatively
- Ability to interact professionally and communicate effectively with all levels of internal and external stakeholders whether in person, over the phone, and/or via email
