An exciting opportunity has arisen for a motivated and highly organised individual to join the Legal team within the Trust. The post holder will be responsible for providing confidential, clerical and administrative support to the Department as well as managing spreadsheets and databases.
It requires excellent administrative and organisational skills with the ability to deliver objectives to meet strict deadlines. IT literacy is very important as the successful candidate will be expected to use a number of differing IT systems and be able to demonstrate experience of producing documents using Microsoft computer packages.
There is scope within the role to provide paralegal support to the legal team, subject to training and aptitude.
The individual must be a team player and have a positive approach. This is a challenging and rewarding role and requires commitment, enthusiasm and ability to provide an excellent service. It also requires the post holder to be an excellent communicator with the ability to work with all staff groups.
The Legal Department is a small team of 3 all with legal degrees and one of whom is a solicitor. This is a key post and it is essential that the post holder has the requisites skills and attributes to do the job.
This is a full time post working 37.5 hours Monday to Friday.
1. The post holder is responsible for providing full legal administrative support to the Legal Services Department.
2. The post holder is responsible for the setting up of new cases, electronically and manually, managing the post and all other documents associated with claims in accordance with the Legal Department procedures for handling of claims.
3. The role will require good literacy skills and the ability to communicate well in writing and verbally with all staff groups in the Trust as well as all external stakeholders. It requires management of all documents in strict accordance with the General Data Protection Requirements Act (GDPR) and the Trust’s information governance policies.
4. The role requires management of databases, spread sheets and on line digital platforms such as One Drive; the ability to extract key information from the databases as needed; payment of invoices and all other administrative tasks needed. It requires the ability to ensure work is completed within strict deadlines.
5. The post holder must be able to work on his/her own initiative to support Legal Department’s workload.

2. Typing correspondence, statements and other legal documents; acting as the first point of contact for the Legal Department, filtering and dealing with the complexity of enquiries in a professional, sensitive and timely manner ensuring that all queries are tracked through to conclusion.
3. To assist in investigation of claims by liaising with UHCW staff and others, as appropriate. This will require communicating well in writing and verbally with Trust staff and external organisations to include external Solicitors, NHSR.
4. To ensure neat and organised processes and systems for the administration of the Legal Department’s work.
5. To manage own workload and prioritise as necessary in order to meet deadlines.
6. To be able to manage the processing of sensitive and complex documents in accordance with GDPR and Trust’s Information Governance standards.
7. Deal with sensitive telephone enquiries from patients/relatives, Coroner’s office, Solicitors, NHSLA and members of staff promptly and efficiently.
9. Manage and arrange meetings for Inquest Hearings, case conferences meetings. This will included planning and organising complex meetings with a range of staff and external organisations eg. legal case conferences, court briefings, witness meetings evidence gathering, site inspections involving staff.
10. Devise, maintain and amend template letters, documents and forms to improve efficient working practice.
11. Attend meetings when required to take and transcribe minutes, proactively ensuring that actions points are raised and completed.
