Job Title: Senior/Executive, Technical Committees
Reports to: Head of Department, Technical Committees
Objective: To provide comprehensive support in organizing and executing engineering-related programs and events, ensuring alignment with organizational standards and effective communication among all stakeholders.
Key Responsibilities:
1. Support the organizationof engineering-related programs, including talks and seminars.
2. Assist committee chairpersons in liaising with speakers and managing logistical and administrative tasks.
3. Organize committee meetings, including scheduling, catering orders, minute-taking, and follow-up actions.
4. Manage and administer the event registration portal via the IES IT system (Coresof).
5. Ensure all events are scheduled in accordance with IES Standard Operating Procedures (SOP) and budgetary guidelines.
6. Handle inquiries and follow up on registrations; prepare actual profit/loss statements; verify and reconcile receipts from the payment gateway.
7. Support the Head of Department in event budget planning and tracking.
8. Oversee onsite logistics to ensure speakers’ materials are prepared, catering orders are fulfilled, and registrations are processed efficiently.
9. Assist with other related administrative tasks as needed.
Special Relationships:
The Senior/Executive will collaborate closely with Technical Committee members and team members, including the Assistant Manager of the Technical Committee. This role also involves maintaining relationships with external suppliers and supporting organizations, as well as event organizers such as logistics and caterers. Effective communication with the Head of Secretariat is essential for ensuring smooth operations.
Required Competencies / Skills:
· Diploma/Advanced/Higher/Graduate Diploma in a relevant field.
· Minimum of 2 years of experience in a related role.
· Ability to work independently and responsibly manage assigned talks, seminars, and events, demonstrating a positive and proactive attitude.
· Proficiency in Microsoft Office Suite.
