Responsible for receipt of documents electronically, inputting onto TRAC, Staff Record (ESR), NHS Jobs and relevant external publications via advertising agency. Set up recruitment file. Ensure that all internal recruitment processes are followed accurately and in a timely manner, highlighting any exceptions or problems to the Senior Recruitment Officer or Recruitment Manager and ensuring the International Recruitment team are kept updated. To transact and support with the efficient running of the end-to-end International Recruitment process for the Trust on a daily basis. To ensure that international recruitment email and recruitment inboxes they are monitored and actioned on a daily basis. To take part in specialist recruitment events such as Job Fairs, Careers events etc outside of normal working hours if required Ensure right to work checks are undertaken in accordance with Trust policy, NHS Pre-employment checks and UKBA regulations i.e., application for extensions to visa within set timescales, maintenance of records of expiry dates of Visas ensuring compliance of the Trusts statutory excuse and cancellation of work permits where applicable. Support with internal and external stakeholders and departments including recruitment agencies regarding paperwork and any discrepancies Digital Technology Services (DTS) Support Services, Electronic Staff Records (ESR) team, Human Resources colleagues To maintain a manual and electronic filing system for all documents and personal files. Use ESR (Electronic Staff Records) to set up and maintain vacancies and enter employment checks for successful applicants. Request Inter Authority Transfers (IATs) for staff with continuous NHS Service ensuring appropriate inputting. Liaise with Divisions and recruiting managers regarding interview dates and feedback. Transact international recruitment via the Birmingham and Solihull Integrated Care System (BSOL) Programme and direct recruitment candidates within the TRAC recruitment system and associated systems ESR. Deal with all international recruitment queries appropriately according to the nature of the enquiry Ensure new starter contracts are checked by Pastoral Manager before issuing to new starters. Liaise with internal and external stakeholders and departments including recruitment agencies regarding paperwork and any discrepancies with Digital Technology Services (DTS) Support Services, Electronic Staff Records (ESR) team, Human Resources Carry out relevant Employer Checking Services (ECS) verification of right to work and complete checks for EU settled/pre-settled status to verify right to work status as required Raise purchase orders when directed by the IR lead Ensure actions are completed with the specific time period so that there are no delays to visa application and if applicable enter sponsor notes on COS forms. Oversee the compliance of packs that are provided via agencies and report any gaps or errors within the packs in line with NHS six standards and specific international recruitment governance. Escalation of any admin concerns to IR lead where there is no resolution to admin issue Liaise with agency relating to new cohort arrivals, apply for ECS checks/save photographs of vignettes on all arrivals and share with division/recruitment Oversee the compliance of packs that are provided via agencies and report any gaps or errors within the packs in line with NHS six standards and specific international governance. Escalation of any admin concerns to Pastoral Manager where there is no resolution to admin issue. Monitor entry timeline to identify possible breaches of 28 day rule. Attend weekly briefings with agency and periodic meetings with BSOL lead. Attend meet and greet for new arrivals at Moseley Hall Hospital. Liaising with division to facilitate appropriate retention of right to work documents updating TRAC, ESR and HR as necessary. Liaise with recruitment colleagues regarding blockages within recruitment processes or issues identified. Deal with all international recruitment queries appropriately and responsively according to the nature of the enquiry. Attend meetings to take minutes and distribute minutes within set timeframe to attendees.
