Job Description

This is an operational position within the Asia Centre for Health Security (ACHS). The incumbent will be part of the team to support the core functions of the centre. Their duties would include administration, education and training, collaboration and partnership, and secretariat functions.

Duties & Responsibilities
Working under the direction of the Director and Head of Operations at the ACHS, the Assistant Manager will be part of the team to support the core duties of the centre:
a) Centre Administration
- Point of contact between researchers and various administration departments to support the management of research projects
- Support researchers to draft, review, negotiate and execute research agreements by working closely with researchers, collaborators and internal and external legal offices
- Liaise and support the centre's leads and research staff to meet the centre's objectives of the centre
- Support finance administration, payment and procurement and secretariat duties; tracking and reporting; and communications

b) Education and Training inclusive of the Tabletop Simulation Exercises for Health Security Preparedness and Response; and the convening of meetings and roundtables
- Support Centre Leads in organising training activties, including the tabletop simulation exercise and convening of meetings and roundtables. The responsibilities include event management, registration, on the ground support, liaising with international participants and logistics arrangements including organising venue, travel and room bookings
- Administrative support for the establishment of the ACHS fellowship program in health security
- On the ground support for public seminars, workshops, courses and training held in person and online

c) Collaboration & Partnership
- Liaise and work closely with local, regional and international partners and collaborators, this includes providing support for policy roundtables and panel discussions and the building a network of experienced experts in health security

d) Provide secretariat support for the centre (Faculty Meetings, International Advisory Panel), this includes arranging of meetings, preparation of slides, notes of meeting, communication and dissemination of information, and collation of reports

e) Work closely with other offices in the school, e.g. finance, HR, IT and GHO and university, e.g. OLA, ODPRT, CPO to take forward all administrative tasks, including discussion, collaboration and problem-solving on complem situations

f) Other duties assigned by the Director or Head, Operations

Qualifications

• Applicants are expected to have at least a Bachelor degree from a recognised institution with at least five years of experience in an administrative position within the academic, research or healthcare sector
• Strong administrative skills and experience in supporting projects such as convening meetings, organise training and workshops, service contracts, financial administration, or equivalent experience
• Experience organising events, in-person and online is a requirement
• Excellent written and oral communciation skills, with the ability to summarise content, prepare slides, reports and content

• Planning, Monitoring and Delivery of operations tasks timely and successfully
• Understand the support contract types for each customer and deliver service based on their agreed scope and SLA
• Understand the process and practices related to support Tools, Templates and Standard Operating Procedures.
• Building relation with vendors and partners for product support problems and managing customer expectations accordingly.
• Driving all escalations on technical grounds and manage customers accordingly for the resolutions.
• Maintain team bonding with all the support engineers and mentoring on support delivery.
• Build and develop standard operating procedures, technical documentation, knowledge base.
• Ability to conduct postmortem and root cause analysis to clearly identify the issue and develop prevention plan/strategy is a key requirement.
• Proficient in producing RCA and IR reports for all high severity/priority incidents and presenting customer with confidence.
• Involve actively with cross-function teams to engage and co-ordinate to represent Logicalis as One and improve support functionality.

The Individual and their Experience:

• Minimum 8+ years of relevant experiences in Networking technologies with not les than 5 years of experience in Network Operations as a Lead.
• Intermediate level of understanding on Networking concepts and experience with multi-vendor networking devices such as routers, switches, firewalls, NAC, etc.
• Proven track record of leading operations and customer management with effective communication and presentation.
• Strong, smart-working attitude with ability to work well under pressure and high demanding customer environment during crisis.
• Ability to clearly articulate technical issues to both technical and non-technical audiences, executives and explain their impact on business both Logicalis and customer management.
• Out-of-box thinking is mandatory during escalations to manage customer, vendors, technical teams for setting right expectations and finding quick resolutions.
• Proficient in communicating and written skills in English
• Proficient in writing Incident Reports, RCA and general reporting for QBRs.
• Candidate with CCNP or equivalent technical certification.
• Candidate with ITIL Foundation certified.

Responsibilities & Duties

• Be a key player in the customer acquisition team to onboard new parents to the company's community
• Share the company's vision and recommend suitable coding programs for students
• Support customer success initiatives like special programmes or competitions, or community events like fireside chats for customer engagement
• Maintain customer relationships and build a strong the company's community.
• Act as parents’ advocate and manage relationships with them
• Plan lead generation events with key partners like Parent Sharings, trial classes and make sure payment for classes are received
• Work with the teaching team to assess the students and follow up with parents for conversion
• Responsible for handling general administrative duties, e.g. sending out onboarding emails, data entry, sorting out data and research
• Ensure that all customer information is properly documented and updated in the CRM system
• Relationship manager for the company's community, continue to track the progress of students and maintain relationships with parents

Working hours: 9am to 6pm (5 days per week, Wednesday to Sundays, PH OFF)

Salary: $2800 to $3500 per month + quarterly / annual bonus
