Title of Position: Plano Event & Food Service Support
Summary of Position:
The Plano Event & Food Service Support position partners with Campus Ministries and Support Teams to help organize, coordinate, and execute campus events & food service needs.
The ideal applicant will be skilled in handling a wide range of administrative and logistical tasks. They will also be highly organized and good at multi-tasking. Experience in planning, coordinating, and executing events is required. Exceptional communication, interpersonal, time management skills, and effective execution are a must.
Principal Job Responsibilities:
- Ensures the success of each event by championing policies, procedures, guidelines, and codes pertaining to event planning & food service support
- Builds and maintains effective and positive relationships with all stakeholders
- Provides oversight and direction for all on-site teams including outside vendors while also providing the necessary tools required for them to perform tasks efficiently and effectively
- Manage event planning by possessing a complete knowledge of the Plano Campus and grounds including room capacities, room usage, preferable table and chair set ups, room adjacencies, food service allowances, multimedia equipment availability, traffic flow patterns, facility entrances, parking areas and fire code requirements
- Proactively manage event planning software and ensure all event details are accurately represented in the system
- Contract vendors for events and coordinate on site set ups and teardowns
- Maintain cleanliness and organization of kitchen, pantry, and storage areas
- Track, purchase, and restock all inventory related to event and food services
- Correctly document and submit departmental credit card purchases for event and food service support needs
- Stay within departmental approved budgets when planning for events & food service support needs
- Effectively communicate pertinent information regarding events to necessary departments and ministrie
- Attend departmental, Campus, Central Events, and Café Food Service meetings and trainings
- Be available to assist and serve Central Events at Gateway Conference and/or other conferences as scheduled
- Any additional tasks needed for food and event team support

- Strong time-management skills and multitasking ability
- Excellent written and verbal communication skills
- Task oriented and highly organized
- Demonstrated knowledge of event management principles, methods, and techniques
- Prioritize and manage multiple projects simultaneously and follow through on assignments in a timely manner
- Ability to strategically and tactically organize and structure events, prioritizing logistics first & creativity second
- Proficient in Microsoft Office, project management software, and have an aptitude to learn new software and systems
- Monitor and approve/disapprove events in event planning software (PCO)
- Ability to communicate clear boundaries for events and food service needs not adhering to Gateway policies, procedures, guidelines, and codes
- Demonstrated skills and experience in mediation
- Work with and assist other departments in executing events and food service requests
- Be flexible in handling last minute changes & requests
- Be open to feedback and suggestions from all stakeholders at the Plano Campus & Central Events
- Be able to lead cross-departmental calendaring and event meetings
- Attend campus, department, and Central meetings as required
- Recruit, shepherd, and lead Build Team Members
- Able to work flexible hours (some evenings & Saturdays)

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job. While performing the duties of this Job, the employee is regularly required to:
- Sit/stand for long periods of time
- Occasionally kneel, crouch, lift, bend, and reach
- The employee must frequently lift and/or move up to 20 lbs. and occasionally lift and/or move up to 50 lbs.
