Assistant Property Manager

A residential customer facing role taking responsibility for delivering residential and property management services for a global Property Management firm.. You will provide excellent quality and value within the residential environment for a wide mix of residents, Commercial Units, occupiers and visitors by supporting the Property Manager (PM) Reporting to the Head of Residential on a flagship site and you will act as the Managing Agent interface for residents and lease compliance for this unique mixed use property.

Property Management

* Responsible for effective and efficient residential leasehold management including all internal communication with the Property Manager, supply partners and residents

* Develop and maintain a professional understanding of resident representatives including any Owner's Associations, encouraging frequent and open communication and information flows on relevant building and estate issues.

* Support site wide communications across the residential app with newsletters, operational updates and sporidic updates.

* Form strong relationships with key stakeholders.

* Assist with manage all contracted services for the Concierge.

* Ensure that all queries that reach the Concierge, the communal email inbox or the app are responded to and dealt with correctly and in a timely and courteous manner.

* Review monthly expenditure and open commitments. Ensure open commitments are closed where no longer applicable.

* Actively review budget vs actual on a monthly basis

* Manage and update all insurance claims with the broker and report monthly claims updates.

Residential Management

* In conjunction with Property Manager, Implement S20 consultations from start to finish and explain the principals and steps clearly to all stakeholders. Answer observations in a pragmatic manner.

* Record and report on leasehold management queries

* Develop and deliver excellent customer services.

* Encourage frequent and open communication and information flows on relevant building and estate issues with the Owners Association and leaseholders.

* Take notes for PM during meetings with OA or stakeholders

* To work in conjunction with all internal departments and lead on internal processes to deliver client KPI s.

Requirements

* Must have Proven experience in a junior residential property management role (minimum 2 years

Our client based in Guildford has 2 openings to join an expanding team.

Property experience isn't essential but can prove helpful. The job can be demanding so being able to multi task and organisational skills are helpful.

Key duties:

• To effectively manage a portfolio of properties ensuring that the requirements of clients are delivered in accordance with agreed service level agreements.

• To demonstrate within your day-to-day role appropriate controls to ensure the customer is at the heart of everything you do.

• Maintain accurate manual and computer records for each property, in line with company procedures and client requirements.

• To ensure the key performance indicators are met in relation to price achieved, time to sell, percentage under offer and stock turnover

• Ensure all written and verbal communications with clients, suppliers and all third parties are conducted in a business like and professional manner

• Action, record and file all incoming post, faxes and emails.

• Promptly deal with incoming telephone calls in professional and business-like manner and offer assistance in the absence of the person who the call is intended for.

• From time to time assist the Assistant Team Manager/Team Manager with ad hoc projects.

• To provide assistance to the Senior Property Sales Advisor/Team Manager as well as assistance to other team members during busy and holiday periods.

This will be a site-based role in Pimlico, London with ad-hoc travel to hub office based in Uxbridge.

We are seeking an experienced Design Manager to support the design team out of Uxbridge. The role is predominately site based however during Tenders the ability to travel to the Uxbridge office on occasion will be required.

Key Duties:

• To manage the whole process of designing the solution(s) for projects to meet or exceed customers' requirements and framework deliverables
• To recognise Contractual, Financial, Technical and Operational Risks
• To support the fulfilment of the pipeline of contracts Safely, On Time, and to the required Quality
• Lead the Appointment of Design and associated Consultants, ensuring a Contractual Requirements are captured
• Review and appraise fee proposals from the Consultants.
• Manage & monitor performance of Consultants encouraging a "Collaborative" approach to deliver robust, co-ordinated designs on time and to budget
• Lead the KPI assessment of each and the production of progress Reports as required
• Support and manage the development of CDP Packages to ensure compliance and that they are fully co-ordinate
• Assess the Consultants in line with CDM 2015 requirements and ensure all obligations are met. Designs should fully consider Health, Safety and Buildability.
• To manage and take ownership of all Design Processes and information flow on Design and Build and heavily CDP contracts to meet the Employer's Requirements, Contractors Proposals and Contract Conditions
  

Requirements:

• New build and refurbishment experience in: Commercial and Residential
• Managing Designers and other Consultants
• Proven ability of delivering design for projects on time, to budget quality standards with high customer satisfaction results. Experienced in analysing problems and delivering solutions.
• Computer literate and Commercially astute.
• Good time management with ability to multi-task
• Ability to make decisions within authority and able to lead and work as a team member.
• Strives for continuous improvement for the benefit of the company with drive to achieve customer satisfaction.
• Construction/Design related HNC/HND/Degree
