Work as part of the Medical Secretary team to provide an efficient and smooth running secretarial service to the Consultants. Make arrangements for appointments as required. Maintain a diary and appointment system for clinics and make arrangements for special appointments for patients/ relatives, consultations in the home and emergency visits as required. Handle telephone enquiries regarding appointments, cancellations referring where necessary to the appropriate person and acting within the guidelines laid down. Undertake shorthand/audio/copy typing duties, including reports, clinic letters, discharge summaries and other confidential documentation. Some self-generated non-routine correspondence may be required. Follow up, collate diagnostic and therapeutic reports to Consultants and other medical staff and subsequently file in patients notes. Identify urgent results and bring to Consultants attention. Ensure that case notes are controlled, delivered and tracked. Ensure patient notes are filed at the earliest opportunity to ensure that patients case notes are as accurate and up-to-date as possible. Act as receptionist at clinics, if required, dealing with patients and their carers by assisting with enquiries. Undertake other general office duties, which may include facsimile, e-mailing, photocopying, scanning and filing. Attend service and clinical meetings, as required and provide feedback to colleagues Deal with incoming and outgoing post. To undertake medical audio / copy typing duties, including outpatient letters to GPs, discharge summaries and other official correspondence. To accept enquiries from clinicians, GPs Health Service and Social Services personnel, other hospitals, voluntary agencies, patients and their relatives. Patient contact by telephone is an integral part of the role. To work using own initiative with minimal supervision, prioritising own workload in line with objectives of the department and consultant teams. To deal with all incoming correspondence, phone and email in an efficient and effective way. To liaise with other members of the secretarial / administration team in order to provide a co-ordinated and efficient secretarial service. To support the Directorate Management Team with the administration, tracking and validation of patients pathways to achieve the National 18-week Referral to Treatment (RTT) target. To liaise with patients, relatives and staff demonstrating sensitivity and maintaining professionalism at all times. To deal with any complaints, problems or issues in a sensitive way, escalating to clinicians / management as appropriate. Ensure confidentiality is maintained at all times, complying with the Data Protection Act, Information Governance and other Trust / Departmental Policies. To assist in providing cover for other secretaries in the Medical Directorate to ensure continuity of service to Consultant, medical staff, service users and patients. To undertake any other duties as may be required / appropriate by the Directorate Management Team.

Your new role
This is an excellent opportunity to work with the SLT with varied duties. Your main responsibility will be co-ordinating 'office management' activities across the Centre of Excellence (COE), supporting projects, managing company information on various portals used for bidding activities, managing content on the company intranet for COE / Finance related policies and procedures. Key duties are:

• Support to the COE Director, liaising and co-ordinating various activities.
• Be responsible for production and distribution of various reports.
• Assist the Business Finance Director responsible with the organisation & preparation for the Finance Training Day
• Management of various pre-qualification portals, including Achilles and Construction Line and all business opportunities relating to them.
• Cash allocation activities including credit card payments.
• Design, develop and maintain several Sharepoint sites to a high standard.
• Manage all administration for Finance students undertaking CIMA, ACCA & AAT. This will include training agreements, booking forms and student tracking information.
• Manage all invoice coding and checking relating to Finance training.
• Ad hoc communications (internal and external).
• Management of various functional mailboxes.

What you'll need to succeed
You will need to be highly organised, efficient, influential and confident to handle a variety of tasks whilst working without line management supervision. This role will suit someone with experience as a PA/EA/Office Manager/Senior Administrator with strong experience and the gravitas to manage a busy, complex and challenging role. As the role is remote working, with travel to Worcester once a month, you will need to be confident working from home and able to manage your time well.
Essential criteria for this role:

• Microsoft Excel - advanced level, in order to manipulate data for reporting purposes.
• Microsoft Outlook - intermediate level to organise, respond to and archive incoming and outgoing messages.
• Good working knowledge of Microsoft Word in order to produce reports.

Additionally, you will need:

• Able to work effectively without line manager supervision.
• Excellent verbal and written communication skills; able to communicate with all levels of management.
• Time management of self and others; determination of daily priorities in order to ensure all deadlines are met.
• Ability to motivate self and others to maximise productivity.

• Ideally, you will have an NVQ, preferably in Business Administration or similar.
