The purpose of the role is to provide a front- line service to Council tenants, leaseholders and members of the public for the Housing Assets Service.

Key Responsibilities:

Manage customer enquiries through a range of channels in a courteous and responsive manner.
Deliver a high quality Repairs/Planned works appointment booking system to tenants and leaseholders.
Establish, develop and maintain effective working relationships with team members, other housing teams and contractors to ensure awareness and compliance with our expectations regarding working practices.
Input, update and maintain all manual and electronic records in an accurate and timely manner.
Carry out all clerical duties associated with the receipt, ordering and processing of all housing responsive and planned works to contractors.
Deliver specified outcomes within agreed timescales requested by the Planned / Reactive Repairs Lead.
Display a comprehensive understanding of “what matters” to customers and the Council and that services are delivered effectively and proportionately within this framework.
Bring to the attention of the Planned / Re-active Repairs Lead any complaints and reports of incidents to ensure that all appropriate actions are followed-up.
Provide a range of technical and administrative support services for the Housing Assets Service.
Make a positive contribution to the Housing Assets Team, delivering a high quality tenancy service, working within a positive ‘can do’ culture.



Qualifications:

Educated to GCSE level in five subjects including English and Maths or equivalent.
NVQ in relevant area (e.g. Customer care) desirable.



Skills & Experience:

Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
Experience of delivering high quality customer service, preferably in a housing setting.
Experience of working in an office environment.
Experience of co-ordinating processes and people.
Knowledge of property related issues with and awareness of household repair and planned maintenance processes.
Knowledge of relevant legislation and current housing policy and practice.
Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).

IT Use the clinical IT system (EMIS) to generate medication requests. Update the medical notes in a timely manner. Use the clinical IT systems to check prescription review dates and alert the pharmacist and/ or doctor to out of date or due dates. Use e-mail and telephone to carry out tasks, communicate and obtain information in the prescriptions process. Deliver tasks and workflow requests by GPs and the pharmacy team effectively, adhering to organisation policies and within individual competency. Set up Choose and Book arrangements for patients and respond to queries. Organisational and Administrative Operate within all Pinhoe and Broadclyst Medical Centre policies & procedures, specifically lone working, including using lone working device effectively and reporting of incidents, accidents and safeguarding concerns. Using the Pinhoe and Broadclyst Medical Centre database, record all engagements, including start and end time and details such as type of support and information discussed. Complete all mandatory training, participate in education programs and actively engage with learning and development opportunities. Alert other team members to issues of quality and risk. Contribute to an effective team by reflecting on own and team activities, contributing to team meetings and other avenues to improve the teams performance. Communicate effectively with others. Attend team and staff meetings and attend practice updates to ensure competency.
