What you will do

You will work closely with Digital Markets Unit senior management and provide valuable administrative support.

Your responsibilities will include:

• Providing administrative support to Directors and Senior Directors, including managing inboxes, tracking actions, and prioritising enquiries
• Managing complex and fluid diaries, handling diary clashes and conflicts, and exercising sound judgement in prioritising appointments
• Assisting with expenses and supplier invoicing, including raising purchase orders
• Working closely with other Personal Assistants, Group Administrators and the Business Managers.
• Planning and arranging meetings
• Booking national and international travel and accommodation
• Collating, coordinating, and printing information and meeting papers when required

What you will need

You will need experience of working in an administrative support capacity, including prioritising a busy work schedule and working collegiately in a team-focused environment.

You will also need good written and verbal communication skills, including the ability to communicate effectively with senior leaders and other stakeholders.

Proficiency with a range of Microsoft applications, experience of working under pressure within challenging timeframes, and the ability to use organisational systems and procedures for document management are equally important.

To arrange meetings and appointments including the co-ordination of dates and diaries, this may also include arranging visits, demonstrations and presentations from outside organisations. Assist with the extract and submission of the weekly/monthly payroll files, helping with service user queries, chasing roster finalization and running/checking reports. Attend mandatory and in-service training sessions as required. To act as a central point for collation of information from the Ward and disseminate information as required. The post holder will be responsible for prioritisation of their own workload in discussion with the Management team (where necessary). Ensure own work is prioritised to ensure deadlines are met.
