Job Overview

We are currently recruiting for a full time Admin Officer to Join the team at the Magistrates court

based in Bradford! The role will include working as part of a flexible team. You will need to have excellent attention to detail due to the nature of the role.

Responsibilities include but not limited to:

• Administration role,
• Preparing, resulting and clearing court files.
• Hosting Court Video hearings
• General administration duties
• Telephone and counter queries
• Good customer service is essential.
• The ability to work as part of a team or independently and any other duties required by the court

Job Title: Private Client Legal Secretary
Hours: Monday - Thursday: 9:00 am to 5:30 pm
Friday: 9:00 am to 5:00 pm, with a 1-hour lunch break (37 hours per week)

• Diary Management: Scheduling appointments, organising meetings, and managing calendars.
• File Management: Opening and closing files, ensuring filing systems are accurate and up to date. Includes email management, such as monitoring inboxes, filing emails, and ensuring urgent messages are addressed promptly or forwarded in the fee earner's absence.
• Client Liaison: Engaging with clients, taking messages, passing on information, and addressing straightforward queries.
• Team Collaboration: Working alongside other secretarial staff to deliver a professional and efficient support service to fee earners and clients.
• Financial Administration: Managing and coordinating fee earners' billing and financial tasks.
• Document Preparation: Typing legal documents and correspondence (audio and copy typing) to a high standard.

• Experience: Minimum of 3 years as a Legal Secretary/PA within a private client team.
• Organisation: Excellent diary management, organisational, and prioritisation abilities.
• Communication: Strong interpersonal skills, with the ability to build effective relationships with clients and colleagues.
• Technical Proficiency:
  • Advanced skills in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience with document or case management systems.
  • Familiarity with legal computerised finance systems.

Hays are working with one of the largest civil engineering specialists in the UK. They are looking to welcome an Accounts Payable clerk to their finance team on a permanent basis.
Your new role
To administer, manage, and reconcile all aspects of assigned Supplier Accounts, ensuring processes are followed and all supplier accounts are up to date, accurate and paid in a timely manner, ensuring audit & process compliance.

• Sorting post, dealing with exceptions and any urgent requests, queries, particularly on stop accounts.
• Register Purchase Ledger and Sub contract invoices & credits daily (some will be subject to CIS tax & Reverse Charge VAT).
• Overhead invoices registered and forwarded for authorisation.
• Query resolution monitoring and control.
• Supplier reconciliation (preferably in excel format) to be performed in line with KPI's.
• Chase any missing invoices or credits with vendor and request a copy.
• Accounts Payable Journals - to correct errors etc.
• Direct Debits - Reconcile account, process documents & match against payments taken directly from our bank account.
• Ensuring the supplier email address recorded in the system is up to date and correct.
• Select suppliers for weekly payments (from list provided), check and authorise payment proposal list, when authorised by Manager execute for payment and pass to Treasury.
• Providing remittance information to vendors as and when required.
• In time - to be able to cover for colleagues in their absence, e.g. subcontract ledger (Certifications), cash postings, and Sales Ledger invoices and valuations - skills dependant.
