Job Summary

IT Planning & Finance: The successful applicant will be part of the team in Technology Business Management (TBM) Unit. The applicant is responsible for supporting the effective planning, reporting, and financial oversight of the Technology Group (TG) projects and initiatives. This role focuses on driving governance processes, ensuring alignment between strategic IT plans, and maintaining robust financial management practices. The individual will work closely with internal teams to execute financial reporting, project planning, and budgeting activities across the organisation.

Key Responsibilities

1. IT Planning & Governance • Project Pipeline and Portfolio Management: Support the development and reporting of the TG project pipeline, including tracking and analysing project performance and key deliverables. • Business-As-Usual (BAU) Reporting: Assist in preparing BAU performance reports for ongoing TG initiatives and align with overall strategic goals. • Manpower Planning: Contribute to TG manpower planning processes, ensuring adequate staffing for IT projects and initiatives based on current and future needs. • Transformation Office Support: Assist in activities related to the TG Transformation Office, helping to align project governance with the Digital Government Blueprint and other long-term strategic plans. • Governance Frameworks: Assist in the implementation of IT governance frameworks to ensure compliance with organisational policies and standards. 2. IT Financial Management • Budgeting and Financial Planning: Support the preparation of TG’s annual financial budget, working with divisions to ensure accurate forecasting of project costs and IT resource allocation. • Financial Reporting: Assist in tracking financial performance across TG projects, including monthly and quarterly reporting on expenses, revenue, and capital expenditures. • Asset Ownership and Management: Support the implementation of TG’s asset ownership framework, tracking and managing IT assets, ensuring accurate financial records are maintained. • Workday Data Management: Assist in the management and maintenance of the TG Workday data management framework, ensuring financial data is accurate, updated, and aligned with TG project objectives. • Expense Tracking and Forecasting: Collaborate with divisions to execute monthly financial forecasts, tracking variances and ensuring budget adherence.

What we are looking for

Requirements:

Min. 5 years of experience in IT governance, project planning, or financial management.

• Strong understanding of IT project planning, governance frameworks, and financial reporting.

• Experience in financial budgeting, expense tracking, and project portfolio management.

• Familiarity with financial and resource management tools (e.g., Workday) and IT budgeting frameworks.

• Excellent organisational, analytical, and communication skills.

• Ability to manage multiple priorities and work with cross-functional teams.

Key Responsibilities

This position supports the Technology Group (TG) in its day-to-day management, vendor relations, and strategic procurement activities, while maintaining alignment with organisational goals and ensuring compliance with procurement standards.

Key Responsibilities

1. IT Management Support • Vendor and WOG Engagement: Assist in facilitating engagement between TG and external vendors, as well as Whole-of-Government (WOG) entities, to ensure collaboration and alignment with key initiatives. • Event and Initiative Management: Coordinate and provide logistical support for TG-hosted events and industry initiatives, ensuring effective execution. • Office Space and Planning: Contribute to the planning and management of TG office space, ensuring optimal usage for team members and operational requirements. • Executive Support: Provide administrative support to TG leadership, including scheduling meetings, managing travel logistics, and preparing materials for executive presentations and initiatives. 2. IT Resourcing & Commercials • Vendor Performance and Spend Analysis: Assist in tracking and analysing the performance of TG vendors, ensuring alignment with service level agreements (SLAs) and budgetary constraints. • Augmented Resource Planning: Support TG’s augmented resource planning by helping with workforce forecasting, allocation, and budgeting to meet project and operational demands. • Strategic Vendor Partnerships: Contribute to the management of strategic vendor relationships, focusing on dependency management and optimising partnerships to meet TG objectives. • Procurement and Contract Management: Assist in the management of procurement documentation (AORs, PRs, POs, Contracts), ensuring compliance with organisational standards. Help maintain the central contract repository. • Demand Aggregation and Bulk Procurement: Support the execution of demand aggregation and bulk procurement processes, ensuring cost-effective purchasing and efficient resource allocation across the TG.

Requirements:

3-5 years of experience in IT operations, vendor management, or procurement. • Strong understanding of vendor management, resourcing, and procurement processes. • Familiarity with procurement documentation standards, contract management, and demand aggregation. • Experience in managing vendor relationships and analysing performance metrics. • Excellent organisational, communication, and analytical skills. • Ability to manage multiple tasks and support cross-functional teams in a fast-paced environment.

▪ Update financial tracker on timely basis.

▪ Follow up vendor invoice, payment, and SOA reconciliation.

▪ Prepare and update the weekly/ monthly reports.

▪ Ensure all the filling is up to date.

ADMIN

▪ Business travel logistics.

▪ Meeting Rooms / Projectors booking.

▪ Govern clean desk policy.

▪ General housekeeping.

▪ Department Org Chart updates.

▪ Track On-boarding / Off boarding, seating, locker etc.

▪ Time-sheet assignment.

▪ Asset listing.

▪ Assist in coordinate events and workshops.

PROJECT Related

▪ Coordinate info collection and submission (e.g., Project budget, CAPEX/OPEX purchasing, Resources related, Project milestone and etc.)

▪ Assist in preparing PowerPoint presentations.

▪ Support development effort charge out projects.

▪ Extract and prepare timesheet reports

▪ Track against approved monthly charges and raise any discrepancies to Pillar Leads

Responsibilities:
