To provide an accurate and efficient administrative service to the DSU, TSA and POA working both within a team and using own initiative, assisting in achieving compliance with local and national access targets. The role includes working as part of a multifunctional team interacting with Waiting List staff across Directorates. Key elements of role will include Receptionist Preparing notes for the clinics (includes lifting/collecting/delivering notes to/from other departments) - tracking notes as and when they are moved. Admit/Discharge/Transfer of patients on computer systems Making follow up appointments Update Clinics lists, attend, cancel and rebooking appointments To include any adhoc duties that is required by the departments

DUTIES AND RESPONSIBILITIES Responsible for registering and triaging new patients to The Christie on the appropriate patient administration system including routine use of case note tracking system. Adhere to all written instructions on the proforma with regard to scheduling and booking of appointments. Responsible for the retrieval of outside notes and films and reports as requested. To contact patients by phone with regard to their appointments and to annotate in CWP. To book patients transport as per protocol and request interpreters as appropriate File all relevant paperwork into patient case notes appropriately. Print out and copy relevant paperwork that has been requested via the SARsteam. Collate and disseminate all incoming and outgoing correspondence appropriately. To deal effectively with all telephone calls in conjunction with the cancellation and rebooking of patients treatments and appointments, and effectively communicate queries from patients, GPs, Hospices and other outside agencies Develop positive and working relationships with managerial, non-clinical and clinical staff across the Trust Show compassion and understanding when exposed to destressing/emotional and unpleasant circumstances taking personal action/escalation to resolve patient issues concerns or complaints. Communicate sensitive information in a diplomatic manner with departments both internally and externally. Work flexibly on a rota as and when required. Work independently at times. General reception duties booking patients into clinics and outcoming appointments. Contribute to the training of new members of staff within a given area as required. Work with managers and administrative staff to review working practices, identify new improved ways of working, find solutions to problems and improve quality and range of services. Undertake general clerical tasks as delegated by the Clinical PAs and Clinical Administrators, to contribute to the smooth running of the team. Ensure that confidentiality is maintained at all times of all written, verbal and electronic information in line with the Trust policies; awareness of data protection and General Data Protection Regulations (GDPR). PRIMARY DUTIES & AREAS OF RESPONSIBILITY Register new patients on iPMS (Information Patient Management System), ensuring double registration does not occur. Maintain out-patient follow-up waiting lists. Ensure that all referrals are put onto iPMS following the guidelines set out in the Trusts Access Policy. Ensure Choose and Book patients are correctly appointed on iPMS and send confirmation letters to the patient. Prepare hospital notes for clinics in line with Trust Waiting List and Directorate Policies. Invite new patients in chronological order for clinical outpatient sessions in conjunction with clinicians booking rules. Book follow-up appointments in chronological order for clinical outpatient sessions in conjunction with clinicians booking rules. Book follow-up appointments that have been requested by wards/medical secretaries in line with the follow-up waiting list procedures. As required, telephone patients with urgent/last minute appointments. Receive and deal with confidential telephone enquiries from patients. Be able to handle patient complaints. Take appropriate actions when clinic capacity alters, e.g. cancellations, over-bookings etc. Notify appropriate out-patient staff of changes/cancellations to clinics. Follow procedures for: requesting case notes, organising contents of case notes, requesting and printing clinic attendance lists. Ensure all case notes arriving into and departing from the department are traced on iPMS. Reception for the out-patient clinics. Book follow-up appointments when instructed to do so by the consultant or place on follow-up waiting list. To ensure there is adequate stationery and request supplies with relevant admin personnel. To assist the line manager in training other members of staff, as requested and able to cover opposing areas if requested by line manager. To carry out any other clerical duties as determined by the line manager. Work within the framework of the Trusts Waiting List Policy and Access Policy notifying the line manager of relevant issues in a timely manner. Candidates must have a good level of experience working in an administrative environment and must also be computer literate. Previous NHS experience and knowledge of hospital systems (PAS) would be an advantage.
