Our excellent, growing client in Ross on Wye is looking for an experienced Purchase Ledger to join them full time, on an initial ongoing temporary basis, with the potential to go permanent for the right candidate.

This is an exciting time to join the company as they are growing rapidly, and offer lots of further development for their staff.

Working alongside multiple departments across the company to provide financial and administrative support. You will be responsible for tracking all payments and maintaining records to ensure accurate reconciliation of expenditures, invoices and payments.

Responsibilities
- Processing purchase invoices
- Supplier statement reconciliation (monthly)
- Preparation of payment summaries
- Processing BACS payments
- Resolving any relevant invoice queries by liaising with wider company departments and external suppliers

Key Experience
- Previous purchase ledger experience
- Excellent attention to detail and ability to spot discrepancies

Hours: Monday – Friday, flexible starting times- your choice of the following: 8am - 4:30pm / 8:30am – 5pm / 9am – 5:30pm

Salary: Up to £29,000 per annum + package including:

The opportunity

Professional Administration. Individual & Integrated Team Support.

This role provides professional administrative support to the Commercial Banking & Maxium Team department while maintaining a high level of confidentiality and proactivity. This position plays an integral role in ensuring efficiency and effectiveness in key support and administrative processes for the business ensuring a positive and supportive team environment while providing excellent service to team members and clients.  This includes oversight and involvement in several department programs and functions, such as expense payments and management, budget preparation and support and reviewing and responding to routine correspondence and inquiries for the team. In addition, you will support the two executive leaders of CWB’s Banking Services in Ontario.

The day to day & end to end administrative support

Critical tasks:

• Full scope administrative support. Inclusive of, but not limited to active calendar management, booking meeting arrangements, minute-taking and agenda preparation, filing, invoicing, ordering office and kitchen supplies, mail runs and distribution of the daily mail.

• Financials. Personal and team/department expense management, expense management against budget (receive incoming invoices, validate to budget detail and prepare payment-coding instruction for Accounts Payable, ensuring the proper signatory authorizations are obtained) and support new budget preparation.

• Help desk & Hardware. Complete and submit requests for technology, ensuring delivery lead times are met and adhere to defined policy, procedures and checklists.

• Coordinate facility services. Create/support seating/office plans, repair or maintenance, key/lock management, and procurement of new furnishings.

• Manage travel requirements. Includes booking airfare, and accommodations in line with CWB group travel policy.

• Correspondence. Evaluate, communicate, record and distribute all incoming and outgoing correspondence.

• Onboarding. Coordinate administrative responsibilities related to hiring and onboarding new staff and contractors, advising and working with hiring managers on process and documentation requirements (as provided by HR).

• Engage. Provide administrative support to and participate in, committees, task force and project teams as required.

What You’ll Be Doing

You will provide administrative and sales support to one or more Private Banking Advisors. As a Private Banking Assistant, you will provide exceptional service to Private Banking clients by assisting them with their transactional banking needs and responding to their queries. This could include lending, borrowing, investing or commercial lending needs.

How You’ll Succeed

• Client Service – Greet customers arriving for meetings and arrange contact with appropriate individual. Effectively deal with any client issues, concerns or problems promptly or refer to others as appropriate. Service the financial needs of existing clients when the Private Banking Advisor is not available (including sale of high value products and services within established guidelines).
• Operational Excellence - Respond to incoming telephone calls and clients requests to process wires/cables and visa, tax and bill payments, and ensure requests get completed. Manage all fax requests for money orders, drafts, currency exchanges, etc. and ensure all requests are ready for customer to pick up in the branch. Complete complex investigations for clients concerning account activity.
• Sales Support – Support Private Banking Advisor in the management of their portfolios by reviewing all customer documentation with respect to compliance with regulations and bank policies. Coordinate communication to customers regarding obtaining necessary financial information for completion of credit renewals, reviews and temporary overdraft protection. Monitor diary for upcoming maturities/renewals/expiries and advise the Private Banking Advisor.
• Administrative Support – Assist the Manager, Private Banking Operations in rolling out special marketing or client events, and ensure the marketing material is current. Carry out a range of activities related to building and maintaining deposits as well as investment accounts. Process look-ups and provide information on accounts, loans and process cheque orders, and input credit details and loan notes into system.
