Title: Finance Assistant (Debtors)

Job Purpose

In line with Alternative Futures Group mission, vision and values the job holder will provide effective support to the Financial Accountant. The primary responsibility will be for the smooth running of the sales ledger ensuring all customer/commissioner invoices are processed and settled in a timely manner.

Principal Accountabilities

-Setting up and maintaining sales ledger accounts on to the Finance System
-Efficient and effective processing of customer/commissioner invoices, ensuring the amounts invoiced are correct and maximise the income to AFG.
-Ensuring accurate invoicing and facilitating prompt query resolution.
-Debtor account reconciliations – ensure the balance sheet control accounts are up to date at all times for each customer/commissioner, cash receipts are posted promptly, and all outstanding debts are pursued in accordance with AFG policies and procedures
-Raising sales invoices and credit notes in a timely manner and in line with agreed billing schedules.
-Collecting cash through the production of reminders, statements and through regular contact with customers via telephone, e-mail and letter.
-Ensuring financial and business controls are adhered to.
-Assisting with processing and accurate allocation of receipts.
-Issuing copy invoices/statements when required.
-Assisting with reconciliation of unallocated cash.
-Raising manual invoices and credits.
-Producing debtor reports; provide information to assist with company cash flow forecasts and ensure that processes and procedures are maintained in line with corporate requirements.
-Posting journals to the nominal ledger and correction of mis-postings.
-Compiling and submitting statistical information required by the Government or any other Statutory Body.
-Producing monthly and ad-hoc management information.
-Adhering to the year-end timetable and liaison with the auditors and other business colleagues to assist in the production of statutory accounts.
-Producing working papers to audit standard for the year end external audit.
-Provide cover within the Financial Accounting Team.
-Undertake one-off projects as and when required.
-Any other duties commensurate with this role.

-Maths GCSE.

Generate debt reminder letters monthly using the Infertility Database for Embryology and Andrology Systems (IDEAS) for both Liverpool and Knutsford site accounts.Assist in keeping a record of monthly debtors for both Liverpool and Knutsford accounts, contacting patients weekly and monthly to take payments. Uses own initiative to propose financial agreements with patients, within agreed guidelines, ensuring these agreements are kept up to date. Take appropriate action if agreements are defaulted on.Assisting to in the preparation of data for legal referrals to our debt collection agency. Manage daily cash flow, record and process financial transactions, and ensure accurate documentation of all financial processes. Create auditable financial statements for internal and external use.

Key Responsibilities:

• Process invoices, including checking against PO logs, assigning account codes, obtaining authorization, and releasing to ledger via Xero.
• Identify and resolve invoice anomalies to minimize payment delays.

Job Purpose

In line with Alternative Futures Group mission, vision and values the job holder will provide effective support to the Treasury Accountant. The primary responsibility will be for the smooth running of the purchase ledger ensuring all supplier invoices are processed and paid in a timely manner.

Principal Accountabilities

· Set up new suppliers on to SUN in accordance with the current procedure.

· Maintenance of the supplier database, reviewing every 6 months and inactivate those not used.

· Processing supplier invoices for payment checking that coding is correct and ensuring approval in line with the Scheme of Reservation and Delegation.

· Filing of supplier invoices.

· Performing the weekly payment run of BACS and cheques.

· Reconcile supplier statements and where necessary chase outstanding invoices, investigate credit balances and liaise with suppliers to resolve any discrepancies.

· Liaising with suppliers regarding invoice queries to ensure prompt payment.

· Preparation of an aged creditor report each month for the Treasury Accountant with an explanation of balances over the target set by the Finance & Performance Committee.

· Identify on a monthly basis any debtor balances held on the purchase ledger with an explanation and relevant action to clear.

· Prepare journals and process when required.

· Prepare consolidated supplier bills into spreadsheets for upload in to the SUN system.

· Analyse the mobile phone bill according to policy and record appropriately.

· Process adhoc payroll payment requests.

· To process any crisis loans to service users and ensure full recovery at the earliest opportunity.

· Create fixed asset records for all capital purchases on the fixed asset register.

· Upload monthly depreciation journal.

· Prepare fixed asset additions file for year end audit.

· Prepare capital addition summary for Treasury Accountant explaining variances against capital plan.

· To process the re-imbursement of house imprests and resident monies on a weekly basis, reconciling the bank balances back to the ledger on a monthly basis.

· Provide cover within the Treasury Team.

· Carry out one off projects as and when required.

· Any other duties commensurate with this role.
