The Student Trainee Business Operations Assistant is responsible for performing various administrative support duties in their assigned organization. They may provide administrative support related to NSF's efforts to promote and fund awards through grants, cooperative agreements, and other mechanisms, or may support technical and business operations throughout NSF. Student interns will perform a combination of the following:
Administrative/Office Support
- Receives, controls, and tracks all incoming mail, correspondence, documents, congressional and Freedom of Information Act (FOIA) requests, and action items.
- Creates, maintains, and promptly distributes important documents and records to appropriate staff, including the assigned organization's telephone list, Staff Conflict of Interest (COI) list, and Emergency Contact list.
- Receives visitors and screens telephone calls for the assigned organization.
- Maintains the assigned organization's calendar, assisting management staff in tracking important activities, such as panels, committee of visitors (COVs), site visits, and staff absences.
- Assists in planning and coordinating meetings by notifying participants, reserving space, sending agendas, preparing materials, assisting management officials in preparing for meetings and presentations, providing support during meetings, taking minutes, and following up as needed.
- Establishes, organizes, and maintains office files for the assigned organization.
- Assists with preparing purchase orders and requisitions for office equipment, furniture, and printing/copying supplies for the assigned organization.
- Serves as the assigned organization's primary timekeeper by maintaining accurate, up-to-date time and attendance records for all staff.
Proposal Processing & Panel Support - Assists with processing non-award actions or recommended awards and providing general administrative support for assigned programs.
- Arranges logistics for in-person panels including negotiating hotel rates, reserving room blocks, and ensuring reviewers have the required materials, such as proposals and background information.
- Provides authoritative information to Principal Investigators (PIs) on proposal submission requirements and coordinates with PIs to obtain necessary information for incomplete proposals.
- Handles PI inquiries about their request status. Refers only the most controversial, sensitive, or substantive scientific issues to other staff members, as necessary.
- Enters budget and award data into the appropriate system for funded proposals.
Performs other duties as assigned.
