Job Description: Administrative and Clinical Support Assistant

Overview:The Administrative and Clinical Support Assistant plays a dual role, combining administrative duties with clinical support tasks to ensure the smooth operation of a healthcare facility. This position involves assisting with office management, patient care, and coordination between the administrative and clinical teams.

Key Responsibilities:

Administrative Duties:

1. Front Desk Management:Greet patients and visitors, ensuring a welcoming and professional environment.
   Schedule and confirm patient appointments.
   Answer phone calls, respond to inquiries, and manage correspondence.
   Check patients in and out, verifying patient information and updating records.
   
2. Patient Records:Maintain accurate and up-to-date patient records, both electronic and paper-based.
   Ensure proper documentation of patient information, treatment plans, and follow-up notes.
   Handle the filing, retrieval, and archiving of patient records.
   
3. Billing:Process patient billing, manage invoices, and handle payments.
   Assist patients with billing inquiries.
   
4. Office Management:Order and manage office supplies and ensure the office is well-stocked and organized.
   Coordinate office maintenance and repairs as needed.
   Assist with the preparation of reports, presentations, and other administrative tasks.
   

Clinical Support Duties:

1. Patient Care:Assist with preparing patients for examinations and procedures.
   Provide basic patient education and instructions as directed by healthcare providers.
   
2. Clinical Documentation:Assist in documenting patient encounters, including updating medical charts and electronic health records (EHR).
   Prepare examination rooms by setting up equipment and supplies.
   Ensure that clinical areas are clean, organized, and properly stocked.
   
3. Infection Control & Safety:Follow proper infection control protocols to maintain a clean and safe environment.
   Ensure that clinical areas meet health and safety regulations.
   

Requirements: Administrative and Clinical Support Assistant

1. Experience:Previous experience in a healthcare setting, particularly in administrative or clinical roles, is preferred.
   Experience with electronic health records (EHR) systems and medical billing software is an advantage.
   
2. Skills:Strong organizational and multitasking abilities.
   Proficiency in office software (e.g., Microsoft Office Suite) and medical software (e.g., EHR systems).
   Excellent communication and interpersonal skills to interact with patients, staff, and healthcare providers.
   Knowledge of medical terminology and basic clinical procedures.
   Attention to detail and accuracy in handling patient records and administrative tasks.
   
3. Physical Requirements:Ability to sit, stand, and move around the office for extended periods.

This role is essential for ensuring both the administrative efficiency and clinical support needed for delivering high-quality patient care in a healthcare setting.

Manage multiple accounts; develop positive working relationships with all customer touch points

· Drive client retention, renewals, upsells and client satisfaction

· Work closely with Associate Account Managers and Ad Operations on day-to-day operational processes including campaign set-up, receipt of creative or tags, trafficking, optimization, troubleshooting and QA

· Work closely with Analytics and Ad Operations to determine root causes for customer success or failure and drive requirements for product or process enhancement and development as needed

· Partner with internal cross-functional teams to understand customer goals and key performance metrics and exceed those goals throughout the campaign

· Leverage technical tools and quantitative data to manage campaigns to success, high customer satisfaction and renewal

· Prepare campaign insights reporting, including analysis and research

· Manage weekly campaign status documents for review

· Work closely with Finance on billing set up and invoicing

· Manage customer activity with CRM tools for maximum efficiency and visibility, with carefully executed follow-up to closure on open issues

· Adhere to established processes and workflows, as it relates to campaign set-up and pixel placement strategy, creative execution (including dynamic creative), ad trafficking, campaign management and any troubleshooting necessary with pixels, creative assets and campaign reporting

· Provide input on new processes and workflows as needed

· Focus on ensuring we maintain superior customer service levels, operational excellence and strategic insight

· Maintains administrative staff by recruiting, selecting, orienting, and training employees.

· Supervises clerical and administrative personnel by communicating job expectations, appraising job results, and disciplining employees.

· Sets policies and procedures for training, coaching, counselling, and career development for staff.

· Initiates and coordinates goals, deadlines, and projects for their department.

· Develops and implements policies and procedures to improve operations and function of the department.

· Monitors and procures needed supplies for office, reception, mailroom, and kitchen.

· Ensures a safe, secure, and well-maintained facility that meets environmental, health, and security standards.

· Manages the maintenance and repair of machinery, equipment, and electrical and mechanical systems.

JOB DESCRIPTIONS:

· Ensure PO, DO & Invoice tally, generate report and keep to file

· Verify receipt of Purchase Requisition from requestor;

· Register new vendor into Qualified Vendor List;

· Issuance of Purchase Order (PO) to vendor;

· Update Procurement Status Report;

· Monitor and/or chase for overdue delivery;

· Request for replacement for on defect;

· Participate company’s recreational / event;

· Facility Management - cleanliness of office & showroom, repair and maintenance, etc.

· Office Administration - stationeries, toiletries, pantry’s beverages purchase for office use, courier services, etc.

· Issuing of Invoice;

· Chase payment for overdue payment;

· To verify the suppliers invoice and pass to finance to proceed payment;

· Prepare quarterly Receivable accounts documents to Accountant;

· Any other ad hoc assignments by superior

JOB REQUIREMENTS:

· Min. NITEC in Office Administration or relevant qualification;

· Min 2 – 3 years experiences in accounting, purchasing and/or office administration;

· Some experience in inventory management is an added advantage;

· Pleasant personality, great team player but also independent;

· Self driven and able to work under pressure;

· Meticulous with strong multitasking skill;

· Proficiency in Excel, Powerpoint & Office
