Your Responsibilities:

Manage overall project delivery from inception to practical completion.

Key Responsibilities

Project Management & Oversight

• Create and maintain detailed project plans outlining key milestones, timelines, and deliverables for activities such as induction, development events, cohort engagement activities, and roll-off processes.

• A successful candidate is likely to be experienced in both waterfall and agile project management.

On Programme Experience Delivery

• You will focus on optimising the on-programme experience, from induction to development and through to programme completion, ensuring that our early careers talent has a strong foundation and clear pathway within the organisation.

• Lead the planning, coordination, and delivery of key activities related to the Next Gen Talent programmes, ensuring they are executed on time and within scope.

• Lead the on-programme experience for Next Generation Talent, ensuring their journey is seamless and aligned with the organisation's strategic objectives.

• Implement effective listening strategies to ensure our we continue to put colleague experience at the heart of what we do when making enhancements to our offering

• Supervising Construction Activities: Overseeing daily site operations to ensure work is carried out safely, on time, and within budget.
• Quality Control: Monitoring the quality of work performed by subcontractors and ensuring it meets the required standards and specifications.
• Health and Safety Compliance: Ensuring all health and safety regulations are adhered to on site, conducting regular safety inspections, and addressing any issues promptly.
• Coordination with Stakeholders: Liaising with architects, engineers, and other stakeholders to ensure smooth communication and coordination throughout the project.
• Resource Management: Assisting in the management of materials, equipment, and labour to ensure efficient use of resources.
• Progress Reporting: Preparing and submitting regular progress reports to senior management, highlighting any potential delays or issues.
• Problem Solving: Identifying and resolving any issues that arise during the constructionprocess to minimise disruptions.
• Documentation: Maintaining accurate records of site activities, including daily logs, inspection reports, and safety documentation.
• Client Interaction: Assisting in client meetings and site visits, providing updates and addressing any concerns they may have.
• Training and Mentoring: Supporting the training and development of junior staff and new team members.

What you'll need to succeed

To succeed in this role, you will need:

• Experience with large volume house building.
• Computer literacy (Microsoft Office needed / Microsoft Projects or Aster is a plus).
• Qualification - First Aid, SMSTS, CSCS Card,
• Must have a clean driving license.
• Strong, clear communication experience.

Our client is a very well established, international Legal firm. They are currently looking for an experienced PA to lead the secretarial functions across Scotland.

Your new role
This role can be based out of either the Edinburgh or Glasgow offices, both located within the city centre with travel required across the country. You will be supporting 27 Personal Assistants across 3 offices, implementing best practices and ensuring everything is in order to maximise client service. You will act as the key point of contact between Executive teams, the PAs and Head of Secretarial Services for the UK, liaising with management to comment on continuous improvements and issue resolution to ensure administrative support and resources are aligned with delivering a high quality of services.

You will work closely with the PAs in Scotland, hosting one-to-one meetings and performance reviews, ensuring they have appropriate resources to complete their tasks effectively. You will implement their training plans and outline development opportunities, ensuring the correct support is available and training is completed on time. Recruitment and HR activities will also be a key aspect of your new role.

An additional aspect of the role is providing PA support to up to 3 partners within the business, delivering high-quality support to the fee earners, ensuring their team and daily plans are well managed to achieve optimal business outcomes. This will include diary and inbox management, travel arrangement, financial and general administration, and project support.

You will be working Monday to Friday on a hybrid basis, again, with travel required between offices as and when required.

What you'll need to succeed

• Demonstrated PA and supervisory experience.
• Experience within the Legal sector or Professional Services is beneficial.
• A focussed and organised approach to stakeholder management.
• The ability to enable effective team work.
• Time management and the ability to handily a varied, fast-paced workload.
• Communication skills; both verbal and written.
