Duties:
Incumbent serves as an Advanced Medical Support Assistant (AMSA) in the Community Care Division at the VA Portland Health Care System (VAPORHCS). Incumbent is directly responsible to the Supervisory Medical Support Assistant, Community Care Division, but works very closely with the Lead MSA, who also reports to the Community Care Division
Supervisor.
This position serves as the liaison between patients, nursing staff, medical staff, outside agencies, and other VA Medical Centers in their assigned area and serves customers internally and externally.

Duties will include but are not limited to:

• Processes incoming patient secure messaging through My HealtheVet and coordinates with care team as appropriate.
• Participates in team huddles and team meetings to manage, plan, problem solve, and follow-up with patient care by sharing information and collaborating with the interdisciplinary team.
• Identifies incomplete encounters and communicates findings to providers.
• Assists the team to reinforce the plan of care and self-help solutions.
• Enters appropriate information into the electronic record; monitors pre-appointment information and/or requirements to assure readiness for patient visit/procedure.
• Manages patient systems to verify and validate accuracy and resolve issues.
• Evaluates patient information and clinic schedule lists to determine whether the patient requires an immediate appointment.
• Informs team members about shared patients (i.e., those who receive their care at multiple VA centers or those who receive care in the community).

Major duties include but are not limited to:

• Communicates directly with emergency service providers, telecommunication companies, and others, directly negotiating assistance for Veterans by relaying pertinent facts, important circumstances, such as whether the Veteran has a gun or is displaying threatening behavior, etc.
• Collaborates with the responder to get information on Veteran identity and location to initiate the rescue.
• Advocates with emergency responders for the delivery of the appropriate level of emergency intervention of police and other emergency responders for callers, as appropriate with the ability to understand the variety of resource options available nationally and internationally, with response teams.
• Acts as the sole point of contact for VA Suicide Prevention Officers (SPCs), community law enforcement, local emergency dispatch, hospital emergency room personnel and telecommunication companies.
• Relays real time information from the responder to emergency dispatch, law enforcement and emergency medical personnel.
• Provides updates to the supervisory team as needed on progress of ongoing rescues and alerts supervisory team immediately if there are any barriers to providing emergency services to those in crisis to include a failed rescue.
• Makes outbound calls to 911 dispatchers, emergency medical providers, and VAMCs to ensure that the Veteran was located, transported or otherwise is receiving treatment as expected.
• Contacts community medical centers and VAMCs to verify that Veterans arrived at the facility based upon the agreed upon Facility Transport Plan that is coordinated between the responder and Veteran.
• Notifies the supervisor if the Facility Transport Plan fails and initiates rescue as needed.
• Documents all contact attempts and escalates urgent or emergent contacts to the Supervisor.
• Utilizes multiple software programs and Internet search engines concurrently along with critical, creative thinking to locate imminently suicidal Veterans.
• Multitasks in high risk, high stress situations is necessary to expedite Veteran rescues.
• Locates Veterans using various Internet resources as well as VA databases.
• Receives inbound call center administrative calls and/or calls from SPCs and responds to any questions, escalating emergent situations to Supervisor.
• Relays information from local law enforcement and dispatch to VCL leadership to educate and advise leadership on changes / trends with procedure and protocol within the law enforcement community.

The Lead Medical Support Assistant (LMSA) in V16 Clinical Resource Hub is assigned to the Central Arkansas Veterans Healthcare System, Little Rock, Arkansas. The LMSA will normally work at the HUB located on 900 South Shackelford Road, Little Rock, AR or remotely. The LMSA Performs duties related to the receipt, intake and indexing of health and administrative information and will interface with personal computer (PC) applications as well as numerous Vista applications. The LMSA monitors and makes work assignments, provides input on performance, resolves daily workplace issues and maintains efficient workflow.

DUTIES:
Medical Support Assistants provide administrative support to our clinical colleagues in the care of our Nation's Veterans. GS-5: This is the full performance level MSA position. The MSA is responsible for scheduling appointments in accordance with national scheduling guidelines, including interpreting and verifying provider orders. Assignments at this level include, but are not limited to: scheduling, canceling, re-scheduling patient's appointments and/or consults; entering no-show information; monitoring the electronic wait list; preparing for clinic visits; monitoring both inpatient and outpatient appointments for areas of responsibility; ensuring encounter forms are completed in order to obtain appropriate workload credit; verifying and updating demographics and insurance information; processing all emergency and non-emergency transfers to other VA facilities or private hospitals; performing basic eligibility, co-pays and pre-authorization requirements for specific coverage.

The Advanced MSA primary duties are to perform a variety of administrative support functions in connection with Veteran's inpatient and outpatient visits, care, and treatment while working collaboratively in an interdisciplinary coordinated care delivery model. Work involves specialized administrative judgment and the flexible use of a wide range of clinical flow processes relating to access to care across multiple clinics and specialties. Some of the major duties of this position include, and are not limited to:

• Schedule appointments in a timely manner. All appointments will be made with the patient's input, either in person or by phone. This may require a high level of coordination to avoid patients and sending sites not being able to conduct their CVT appointments.
• Daily review of active/pending consults, Recall list, and communications for accuracy and disposition.
• Monitor pre-appointment requirements to assure readiness for virtual (CVT/VVC/phone) visits.
• Incumbent will use the appropriate scheduling platform for scheduling needs. Which includes CRPS, VISTA, VSE, CTM, and/or TMP, when applicable.
• Work with the interdisciplinary team to schedule follow-up visits for inpatients and outpatients in the CRH Clinics with various providers and in a variety of modalities (face-to-face, VVC, and phone if needed).
• Coordinate care of Veterans at other VA facilities within the VISN.
• Obtain appropriate inpatient and outpatient records and ensure they are appropriately entered into the VA computerized system to ensure availability for patient care.
• Ability to operate computerized programs and databases to enter, modify and retrieve sensitive information/data into or from electronic medical records, scheduling systems, and/or reports.
• Knowledge of basic medical terminology and more specific terminology as needed for problem­ solving and communication with Specialty teams.
• Ability to communicate effectively and professionally with Veterans and employees at varying grade levels.
• Ability to identify concerns, perform the tasks required to resolve the issue accurately and timely, and follow up as necessary to ensure a satisfactory resolution.
