• Providing basic messaging support to external and internal comms.
• Maintaining confidentiality when dealing with sensitive matters and documentation

In order to succeed in this role, it is important that you have:

• 3 years administrative/secretarial, project coordination or related experience
• Experience of working in a multi-disciplined environment
• Ability to work flexibly and respond to workplace challenges with a calm attitude.
• Working across teams and built strong working relationships based on trust and understanding
• Strong PC skills 3 including software packages (i.e., Excel, Microsoft Word, PowerPoint, E-Mail).

POSITION SUMMARY
This position is responsible for performing administrative tasks (indirect care) that support the care team in providing direct medical care. This position utilizes the Electronic Health Record (EHR) and external resources or tools to provide a complete assessment of the patient’s health status, which includes identifying care gaps prior to the patient encounter. CORE FUNCTIONS
1. Performs chart review to ensure coordinated patient care.

2. Utilizes evidence based guidelines when identifying care gaps for preventative and maintenance care. Utilizes standing orders as appropriate.

3. Utilizes EHR to obtain medical information when communicating with the patient or medical care team regarding respective preventative care, chronic care, specific medications, high risk patients, and those not seen recently in the clinic.

4. Collaborates with care team to meet expected performance metrics and clinical quality measures. Identifies areas for improvement based on results of clinical performance where applicable.

5. Maintains clinical skills and provides direct patient care on an as needed basis. Completes all necessary on-boarding/orientation activities, including simulation training, as needed or directed. Participates in Annual Clinical Education Days (ACED), as needed or directed.

MINIMUM QUALIFICATIONS

High school diploma/GED or equivalent working knowledge. Knowledge as normally obtained through graduation from an Accredited Medical Assisting Program. Completion of an approved medical assistant training program as defined by state regulations.

Medical Assistant Certification is required. If certification is not in hand at the time of hire, individuals will have 12 months from date of hire to obtain certification.

Certification for BLS is required.

Requires strong computer skills, including the ability to work with medical software. Requires exceptional interpersonal and communication skills. Requires the ability to manage multiple changing priorities in an effective and organized fashion.

PREFERRED QUALIFICATIONS

• Assist in the training of other personnel as directed, not limited to instructing and training processors and assistants, review indications, quotes, binders, submissions, and policies for completeness and accuracy.

• Ensure all correspondence and requests are documents and attached to the appropriate file in the appropriate system(s).

• Fully leverage both internal and external tools such as TFS, JIRA, SFTP, SharePoint, Aras to manage activities and workflow issues (monthly reports, deliverables, etc.); Create SAP purchase requisitions as required; Manage correspondence in the project mailbox,  monitor workflow process to ensure the document is reviewed, approved in a timely fashion and escalate Work Items (WI) of concern to the PM;

• Minimum 2 years of experience in a similar role
• Diploma in Office Administration or equivalent
• Strong organizational skills and ability to balance multiple priorities

The Administrative Medical Assistant (MA) will be responsible for using general clerical and customer service skills including, but not limited to, organizing requests from multiple locations, obtaining pre-authorizations, medication reqs, navigating electronic health record system (EPIC), assisting with medication fill and refill requests, and checking for prior authorizations. Administrative (MA) may also be required to assist providers and work with patients.

Minimum Requirements:

• High school diploma or equivalent required; other formal education preferred. 

• At least 2 years of Medical Assistant experience.
• Or completed an MA education program, but has not received certification as of yet.
• Basic computer skills, specifically with navigating within databases containing highly confidential information.
• Basic Life Support and other advanced training as appropriate.

Job Description:

• Coordinates and maintains daily office routines and paperwork for the management team assigned to this role.
• Schedules appointments, meetings and ensures that all pertinent information is recorded in the management team calendar.
• Assists in scheduling meeting rooms, and equipment needed for meetings.
• Gathers, organizes and mails materials for meetings and other projects.
• Attends, prepares and records meetings minutes.
• Manages administrative functions to increase productivity for the management team.

• Prepares routine and complex correspondence including letters, memoranda, and reports.
• Attends all required safety training programs and can describe his/her responsibilities related to general safety, department/service safety, specific job-related hazards, and national patient safety goals.
• Demonstrates problem-solving ability by identifying and evaluating issues negatively affecting information services and, within reason, attempts to resolve such problems.
• Ensures prompt completion of personal and confidential correspondence authorized by the assigned management team and composes routine correspondence in support of the operations of the Pharmacy Services within required time frame.
• Answers phones, directing and triaging calls to appropriate parties. Takes informative messages assuring that messages are delivered as soon as possible.
• Greets visitors, assists in locating meeting rooms, training rooms, etc. 
• Responds promptly to customer needs and ensures positive customer relations interactions.
• Manages difficult or emotional customer situations.
• Serves as a resource for administrative information and distributes documents as required.
• Co-ordinates and organizes departmental or meeting lunches and event related food service needs.
• Coordinates office maintenance for the department to ensure equipment is operating appropriately.
• Coordinates incoming and outgoing mail and ensures the appropriate individuals receive and correspondence to and from the department.

Minimum Requirements

• Associate degree in Office Administration or related field.

• At least 2 years of related experience.

The following is a summary of the major functions of this individual's job. This position may perform other duties, both major and minor, which are not mentioned below, and specific functions may change from time to time.

• Able to respond to patient call backs and phone in prescription refill requests. Overdue results, patient encounters.

• Proactively obtains any missing information from the patient to ensure that medical records are accurate and up to date, which helps to ensure better care is being provided.

• Upon arrival, captures patient’s vital signs, past medical, social and family history, medication usage and preferred pharmacy information.

• Able to administer medication and injections, as directed by Physician/Provider

• Able to perform phlebotomy on patients, as directed by the Physician/ Provider

• Able to perform EKG’s, PFT’s spirometry, nebulizer treatments and ear irrigations, and other procedures, as required by the practice and directed by the Physician/Provider

• Able to perform in-office lab testing such as glucose testing, strep screens, pregnancy tests, urinalysis, and HgA1c as directed by the physician/provider.

• Able to perform sterilization on instruments used for minor procedures/surgeries according to the CDC recommended guidelines.

• Maintains all certifications/licensures as required by the scope of the role being performed.

• Ensures compliance with all state and federal regulatory requirements including HIPAA/OSHA compliance.

Minimum Education, Training, and Experience Required

• High School Diploma or General Education Equivalency plus:

• Basic computer skills, specifically with navigating within databases containing highly confidential information, plus.

• Basic Life Support and other advanced training as appropriate to be received within 90 days, plus one of the following

• Prior working experience as a C.N.A, EMT, Phlebotomist, Athletic Trainer or other healthcare discipline that provides direct patient care.

• Or a Certified MA from the National Health Career Association (NHA).

• Or completed any MA education program but has not received certification as of yet.
