As an Administrative Specialist, you will perform the following duties:

• Maintain time and attendance; copy, scan, print, and compile documents; maintain control of incoming and outgoing mail/packages; and obtain office equipment and supplies; Effectively plan and organize work; Perform administrative duties for senior-level staff, including assembling background materials and records; preparing reports, make necessary arrangements for travel including airline, hotel and car rental reservations for ELPO staff; Assist and advise staff on all procedural and administrative aspects of action items; Under the direction of the supervisor and with knowledge of functional assignment and areas of expertise, assigning actions, with annotation on any applicable background material, to the appropriate office; Implement, monitor, maintain and support various administrative programs to include records management, files management, reports control and perform a variety of administrative support functions for Office supervisors and staff, as well as provide technical support services to facilitate the workflow of the office.
• Evaluate procedures and determine when changes need to be made and independently effect the changes; Research and obtain background information for required actions through available tools such as automated databases, historical files, and review of previous or current studies/projects on related topics.
• Respond to administrative issues and inquiries and resolve a variety of conflicts regarding administrative policies and processes among organizational issues; Serve as liaison for the office; interface with high-ranking officials both within and outside of the Department. Accomplishes any follow-up required; keeps staff members advised.
• Prepare legal correspondence, charts, tables, and reports using various software packages, including MS Word, Excel, PowerPoint, and SharePoint; Proofread all correspondence and is responsible for correcting grammatical, typographical, and formatting errors and ensures timely submission through the appropriate signature process.

What will I do in this position if hired?
In this position, you will serve as an Administrative Specialist, performing administrative and analytic support functions for the Mitigation Division Director.

Typical assignments include:

• Overseeing document/correspondence management and storage systems, including preparing, routing, reviewing, and editing correspondence, transmitting, and receiving documents and messages electronically, and conducting quality review of documents.
• Supporting the review and development of memos, letters, and presentations, including compiling, and preparing various reports.
• Serving as the Division's Action Officer, identifying, routing, and following up on tasks and actions to ensure adequate and timely follow up by required parties.
• Maintaining leadership calendars, including setting up meetings/meeting venues (virtual and in-person), coordinating agenda development, and obtaining read-ahead materials.
• Serving as the Division's liaison to the finance and training teams, representing interests and reporting action items back to management, including assisting in monitoring the division's budget projections.
• Assisting in a variety of tasks related to personnel management and administrative support for divisional operations, to include supporting special projects as assigned.

The physical worksite for this position is located in Alexandria, Virginia.This position is telework eligible per agency and business unit discretion/policy.

TELEWORK: This position is eligible for situational telework per agency and business unit discretion/policy.

REMOTE WORK: Remote work will be considered. Prior to the start date, you may be given the opportunity to elect to work from the Alexandria headquarters, from an alternate/home location within the United States (defined as the 50 United States, the District of Columbia, and Puerto Rico), or a combination of headquarters and alternate location. Your salary/pay will be based on your selected worksite geographical location. The nature and scope of telework opportunities will be subject to the unit's telework policy and any applicable bargaining unit agreements.
