Main Duties & Responsibilities Of The Post: Provide a complete secretarial and administrative service to the Dietetics team at Southmead to include audio-typing, digital transcription, maintenance of patient record files and other office filing systems, photocopying and the composition of letters. Co-ordinate referrals liaising with the centralised booking team regarding outpatient bookings. To work in a team, providing cover as necessary and liaising with other hospital departments on issues such as booking meetings and maintaining the material fabric and cleanliness of the department facilities. Sort, distribute and prioritise incoming mail, using judgement and experience to decide which documents should be passed to the Clinical Lead and which may be passed directly to other areas for action and information. Provide the first point of contact in the department for all telephone calls and personal callers to the department. Such contacts may include patients, members of the public, dietitians, medical and nursing staff,other NHS / professional associations. Use developed customer service skills to obtain and give information as well as message taking. Use judgement gained by experience to respond sensitively to patient enquiries or to recognise limits of knowledge and refer more complex queries to the appropriate dietitian. Operate the answerphone and ensure it is functioning whenever there are no admin staff present in the department. Receive written patient referrals and pass them to the appropriate dietitian. Assist with administrative aspects of the clinical placement programme for student dietitians on behalf of the Dietetics Team. Order non-stock items via EROS as required and check delivery notes against invoices. Participate and attend admin team meetings, pro-actively making suggestions for service improvement and contributing to other events within the department. Identify own training and development needs and undertake mandatory training as required Other duties appropriate to the grade as agreed between the post-holder and manager from time to time.

Monitor the teams general communication email inbox, responding to routine enquiries and requests for information within specified timescales, signposting and escalating to midwives. Answer the telephone in a timely and appropriate manner resolving issues under guidance and escalating to another member of the team when appropriate. Support the team with administration tasks such as diary management, scheduling meetings, the making up of files, filing and general tidiness of the workplace, Support the creation, maintenance, and promotion of yearly calendar. Including setting up of clinics, daily activity/communications forward planner to include discharges, visits, cancellations and rescheduling of clinics. Set up and support electronic file management of all file types. Ordering of supplies, equipment, and monitoring of repairs. To maintain the addition of data to spreadsheets, other databases, and electronic systems where appropriate for assessment by senior team members. Liaise closely with managers regarding uploaded information in a timely manner, indicating where anomalies may occur. Cover team members as appropriate ensuring that documentation is completed as necessary referring to line managers for guidance and sign off of work. We have an exciting opportunity to join our Patient Services Team as a Clerical Officer in the Bristol Haematology & Oncology Centre.

The Clerical Officer team provide a frontline welcome, support, information and signposting to patients being treated and living with a cancer diagnosis, as well as patients who have non-malignant blood conditions. The Clerical Officers also work in an office based role, booking appointments and managing our telephone systems. As the team deal with a wide range of enquires, the Clerical Officer role will often link in with the other admin teams which include the treatment booking teams, clinic co-ordinators, medical secretaries, nurse specialist support team and MDT co-ordinators.

The Clerical Officer team work across 2 sites, Bristol Haematology & Oncology Centre and the Myrtle Road Administration Office.

Communication:
• To welcome patients to the department, ensuring that patient information held is correct (address, telephone numbers, GP details, Next of Kin details), and that the attendance is recorded on Medway/Mosaiq.
• Liaise with patients, wards, clinical staff, GPs and Trust support staff in person, via telephone and email as and when necessary.
• Escalate patient queries, capacity problems and general issues to the role’s line manager or relevant clinical staff as appropriate.
• To be a point of contact for 'Outpatient' and 'Treatment Bookings' telephone calls into the department.

Organising and Planning:
• To carry out associated clerical duties, for example, call handling, outcoming clinic appointments, booking bloods, managing the team inbox, and covering outpatient reception desks.
• Keep patient information materials up to date. and attend appropriate meetings as required by the role’s line manager.

Information Resources:
• To book patient appointments in line with the Patient Access Policy, print letters and liaise with other teams in the department to book any appointment related services as and when required (E.g. interpreting services).
• Input outcomes of appointments, including those of patients that did not attend, on the PAS and other relevant computer systems in a timely and accurate manner according to the relevant Trust standards.
• Check incoming email inbox(s) on a daily basis to keep up to date with departmental and Trust wide news and information.

To take on other such reasonable non clinical duties as appropriate to the banding, as directed by the ward Sister. Request printing from print room when ward levels of stationery are low

We have an exciting opportunity to join our Patient Services Team in Bristol Haematology & Oncology Centre and have a Clerical Officer role available.

The Clerical Officer team provide a frontline welcome, support, information and signposting to patients being treated and living with a cancer diagnosis, as well as patients who have non-malignant blood conditions. The Clerical Officers also work in an office based role, booking appointments and managing our telephone systems. As the team deal with a wide range of enquires, the Clerical Officer role will often link in with the other admin teams which include the treatment booking teams, clinic co-ordinators, medical secretaries, nurse specialist support team and MDT co-ordinators.

The clerical officer team work across 2 sites, Bristol Haematology & Oncology Centre and the Myrtle Road administration office (located at the top of St Michaels Hill).

Communication:
• To welcome patients to the department, ensuring that patient information held is correct (address, telephone numbers, GP details, Next of Kin details), and that the attendance is recorded on Medway/Mosaiq.
• Liaise with patients, wards, clinical staff, GPs and Trust support staff in person, via telephone and email as and when necessary
• Escalate patient queries, capacity problems and general issues to the role’s line manager or relevant clinical staff as appropriate

Organising and Planning:
• To carry out associated clerical duties, for example maintaining accurate filing systems, receiving post, diary management and scanning patient notes if required
• Keep patient information materials up to date To undertake the role’s duties in the case of a major incident in your department (E.g. the ED Major Incident Process) Attend appropriate meetings as required by the role’s line manager

Information Resources:
• To book patient appointments in line with the Patient Access Policy, print letters and arrange any appointment related services as and when required (E.g. transport and interpreting services)
• Input outcomes of appointments, including those of patients that did not attend, on the PAS and other relevant computer systems in a timely and accurate manner according to the relevant Trust standards
• Check incoming email inbox(s) on a daily basis to keep up to date with departmental and Trust wide news and information
