Manager/Assistant Director, Financial Accounting (1-Year Contract)

The Assistant Director, Finance and Governance will play a critical role in ensuring the efficiency and effectiveness of University's financial policies and governance processes. The successful candidate will lead change management initiatives, collaborate with stakeholders, improve processes, and contribute to various projects within the Finance and Governance team.

Responsibilities:

Policy Development and Implementation:

• Initiate and lead policy change projects through collaboration with business partners and stakeholders to identify needs and gather feedback.
• Propose, develop, and refine policies and procedures to ensure alignment with the University's best practices and regulatory requirements.
• Develop comprehensive materials to communicate policy changes to the University's community effectively.
• Monitor the implementation of new policies, evaluate effectiveness, and recommend adjustments for continuous improvement.

Process Improvement:

• Continuously identify opportunities to streamline and optimise financial and governance processes.
• Collaborate across teams to implement process improvements to enhance efficiency and effectiveness.
• Document and communicate process changes to ensure consistency and understanding across the University.

Tender Process Support:

• Gather and analyse data to support the tender process.Liaise with stakeholders and prepare comprehensive evaluation materials to assist in decision-making.

Project Management:

• Lead improvement projects, including the Delegation of Authority Framework, Internal Controls Governance, and other project initiatives.
• Execute and implement project plans, monitor progress and ensure timely completion and achievement of objectives, including maintaining detailed project documentation.
• Coordinate with stakeholders and team members to drive successful project outcomes.
• Enable change management through facilitating user training and workshops.

Other Responsibilities:

• Handle ad-hoc tasks and projects assigned.

Requirements:

• Recognized Degree in Accountancy or Finance related discipline
• Minimum 8 year of financial accounting experience in services sector; exposure to large organisation

Key Responsibilities:

Family & Personal Support:

• Manage the Director’s family calendar, including family events, social gatherings, and appointments.
• Coordinate travel arrangements for family vacations, personal trips, and events.
• Oversee household management, including liaising with domestic staff, vendors, and service providers.
• Plan and coordinate family events, celebrations, and vacations (including logistics, catering, invitations, etc.).
• Assist with personal errands such as shopping, gift purchasing, and other family-related tasks.
• Maintain and track household inventories, ensuring necessary items are replenished or ordered as needed.

Communication & Liaison:

• Act as the primary point of contact between the Director, family members, and external contacts.
• Maintain effective communication with household staff, contractors, and service providers.

Additional Duties:

• Research and assist with finding appropriate services or accommodations for family needs (e.g., medical, legal, or personal).

Qualifications:

• Experience: At least 10-15 years of experience as a Personal Assistant supporting senior executives or high-net-worth families
• Skills:

  • Strong written and verbal communication abilities in English and Chinese (both written and spoken)
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office software.
