Job Brief:
We are seeking a responsible Operations Executive to be the central point of contact between Employees, Customers and the Company. Assist the Operations Manager in performing site observation and ensure operation procedures are strictly adhered to. Proactively, gather site findings to find the best resolution to prevent work distribution to Customer business.
The Operations Executive's responsibilities include working closely with our Operations Manager on developing procedures, including brainstorming improvements needed on site, and meeting the time frame of individual task schedules. You shall perform various important coordinating tasks from the LCC office and employee challenges and update feedback from the ground.
To succeed in this role, you must have a strong understanding skill of work, excellent time management, and communication skills, as you’ll collaborate with internal teams to deliver results before deadlines.
Ultimately, the Operations Executives' duties are to ensure that all voices are sounded out to be followed up closely with the management, and to assist operations managers to complete tasks within the timeframe. To keep a lookout for any other business opportunities.
Duties & Responsibilities:
- Responsible for submitting KPI to clients not later than the 1st day of the calendar month.
- Responsible for submitting Weekly Report for 1 client at the latest by every Tuesday.
- Collect, compile, verify, input a total number of OT hours into a spreadsheet for 3 clients, and submit overtime of workers to OM/OD by the 5th of every month.
- Arranging Medical/all-required tests for 3 clients Once a year when HR prompted around August or September every year, Estimate time 5 hours.
- Request to logistics, collect from logistics, sign off and issue sites PPE replacement for workers as and when required.
- When there is an incident at the site, it takes about 6 hours for a site visit and interview to prepare the draft report to LCC WSHO within 24 hours. The report includes a narrative, findings, root cause analysis and recommendations to prevent recurrence. Arrange immediate medical assistance if there is an injury. Conduct Stand down at the site.
- Meet Customers to update on operations/safety needs, bi-weekly 1 time at least.
- Conduct a Site walk every week. current settling of new customers.
- Understand HR and explain work-related/ work-related issues to workers i.e. any enquiries on their wrong salary, low salary, request to increase salary, request more leave days.
- Submit worker home leave application form to HR executive with KAH approved signature and planned duty roster. KAH shall then inform workers to purchase their flight ticket and deposit $500 before collecting their passports 3 days from the HR executive before their flight.
- Compile a document and fill up the pass application to submit pass application to the Terminal every year.
- Arrange and attend to Berthing/unberthing Operations e.g, up to 10 operations per month. (ad-hoc)
- Collect and submit services chit to the Accounts Department for billing.
- Ensuring Terminal Site Supervisor/Foremen completed daily reports using Microsoft form.
- Attending Daily huddles conducted by the Head of Operations and taking note of changes to pass messages to daily huddles conducted with the terminal site Supervisor/foremen.
- Attend to workers'/customers' requests and follow-up, to be recorded at Workplan under “Worker/Customer feedback” It can be done in daily huddles at the same time.
- Conducting Monthly training for your terminal if your site person is not trained to do so.
Operation Admin
- Monthly meeting Minutes takers.
- Transfer form fill up as and when required to submit to HR
- Review/update existing SOPs /RA for 4 clients, when required (e.g after an incident) review/update/enhance
- When a worker violates any Coaching, Counselling & Discipline (CCD) guidelines, prepare a CCD form for Managing Director Operations endorsement.
- Acknowledge HR Letter for workers to sign and return every quarterly at least 1 time.
- Monthly verification of documents on sites to be kept. (et, activity record, Daily Toolbox, Training record, Shipment record)
- Updating LCC management on the progress of the terminal (i.e. Worker unhappiness, worker transfers, customer feedback on wrong berthing, salaries matter)
- Conduct Monthly training/ ad-hoc sharing with workers.
- Monitoring worker's pass expiry and applying for refreshers yearly.
- To Check off the work plan assigned to an individual and keep an update it’s completed or comment for any reason to postpone the due date if it’s unable to fulfil the due date.
- WSHO KPI updating monthly figures to a shared file in Excel.
Requirements:
- Bachelor's degree in a relevant field or equivalent work experience.
- Typically need several years of experience in a specific industry in an operation role.
- Executives are leaders for the company, requiring strong leadership skills like coaching, interpersonal skills and management expertise.
- Able to plan the task within the timeline, with limited resources and processes to improve efficiency
- This requires strong organisational skills, such as the ability to manage time, delegate tasks, and assign deadlines.
- Class 3 driving licence with a least 2 years of driving experience. (Prefer)
- Able to communicate with customers & workers such as presentations, and conduct training. (Prefer)
