Performs a combination of routine, multiple and varying administrative tasks in support of agency administrative programs, policies, and procedures. Assists managers, support staff and other employees in day-to-day operations.

Applies experience and advanced knowledge to plan and perform administrative assignments with a broad understanding of how administrative assignments contribute to organizational activities. Specialized assignments may include the following: Initiates requests for personnel actions and other documents required to fill vacancies and effect other personnel actions (promotions, details, resignations, certification, etc.). Coordinates questions with the servicing HR office regarding personnel actions, routine discrepancies, and missing/vague guidance. Maintains and updates organizational systems to ensure accurate account of staff levels, employee position assignments and employee status. Collects, compiles and formats historical and trending financial information to contribute to the preparation and submission of budget requirements. Utilizes travel system to initiate, complete, review, and validate travel authorizations and vouchers to ensure compliance with governing guidelines. Processes annually more than 4 million pieces of official and personnel mail at three official mail centers JBSA Ft Sam Houston, Lackland AFB and Randolph AFB Official Mail Centers (OMC), six postal service centers, Randolph Postal Service Center (PSC), Lackland Postal Service Centers (PSC #2, #3 and #7) and a Student Mail Center (SMC) and Benner Barracks at JBSA-Fort Sam Houston.
• Accountable Mail: To provide accountability and control of classified communications; to provide document security services; and to provide office automation and clerical support for the Operations Flight. Receives, records, sorts, transports, controls, and processes all incoming and outgoing special services mail, i.e. registered, express, certified, insured, and other various extra service articles personally through the window to the addressee/authorized agent and to various organizations and mailrooms designated mail orderlies and mail clerks.
• Provides expedient and complete mail like matter services sent via commercial carriers. Responsible for securely receiving, controlling and processing commercial carrier parcels (i.e. UPS and FedEx parcels).

The incumbent serves as an Advanced Medical Support Assistant (AMSA) in the Hampton VA Healthcare System. The incumbent performs duties related to the receipt intake and indexing of health and administrative information. The incumbent will interface with personal computer (PC) applications as well as numerous VISTA, VSE, CPRS, VSSC applications.

• The Advanced MSA is responsible for scheduling appointments, including interpreting and verifying provider orders in accordance with VHA national scheduling guidelines. Assignments at this level include, but are not limited to: scheduling, cancelling , rescheduling patients appointments and/or consults including imaging studies; entering no show information daily patient appointment list; monitoring both inpatient and outpatient appointments for area's or responsibility; ensuring encounters forms are completed in order to obtain appropriate workload credit; verifying and updating demographics and insurance information through insurance card buffer (ICB); performing basic eligibility, printing the (EARR) encounter action required report for the area assigned daily.

Curriculum

Develops schedules and activity plans. This may include reviewing and providing input into schedules and activity plans developed by the entry level and intermediate level Educational Aids (CY Program Assistants), CY-1702-I. Ensures that program plans and activities incorporate the observed needs of individual children and youth.

Implements activities and special events that meet the physical, social, emotional, and cognitive needs of children and youth. Incorporates special instructions provided by parents such as special dietary needs, physical needs, or other information that may affect the child or youth's experience in the program.

Prepares and implements program options for children and youth with special requirements. Cares for children and youth with special needs as directed by the supervisor.

Demonstrates, instructs, leads, and facilitates planned and spontaneous program activities.

Role models developmentally appropriate practice and classroom or activity area management techniques.

Promotes and models safety, fitness, health, and nutrition practices.

Helps arrange for and/or serve appropriate snacks or meals where applicable.

Indoor and Outdoor Environment
