The incumbent serves as a Transportation Assistant - Transportation Coordinator acts as primary contact to Veterans for transportation needs. The incumbent works with the Veteran Transportation Service (VTS) Supervisory Mobility Manager for transportation workload forecasting, scheduling design, procedure development, and quality improvement implementation, modification of processes, evaluation, and ongoing operational flow of the Veteran Transportation Services program. The coordination of transportation function is multi-faceted and diverse. The three major areas of responsibility are:

1. Scheduling, Data Collection, & Tracking Support;
2. Consult Management responsibilities;
3. Program Support responsibilities. The incumbent must have knowledge of clinical services, related software, and programs as they relate to clinical computing and office automation.

• Performs work involving consult management, appointment scheduling and admissions scheduling.
• Daily responsibilities include collecting, compiling, and tracking data and statistical information in support of Veteran Transportation Service (VTS).
• Performs a basic analysis of the data and generates a variety of reports.
• Reviews documents, reports and/or applications for omissions and inconsistencies and ensures data entry is complete and accurate.
• Enters pertinent information into an automated tracking system.
• Coordinates service practices that decrease waits and delays for patients in all specialty areas.
• Utilizes the Veterans Health Information System & Technological Architecture (VISTA), Computerized Patient Record Systems (CPRS) or SharePoint Consult/Request Tracking System in processing internal consultations.
• Plans for, organizes, administers, and directs how the work will be accomplished for the VTS program.
• Planning responsibilities require consideration of support services e.g., systems management, operations, workload forecasting, review, and reporting of data/statistical results of program/project studies, vehicle maintenance and repair, etc.
• Coordinates the day-to-day operation of VTS program flow, processes, and functions.
• Plans and provides support services in the following types of program areas: electronic records management; driver scheduling setup & management; space utilization services.
• Provides advice to operating managers and supervisors on how provided services assist in accomplishing their missions and programs.
• Performs other related duties as assigned.

Project Documentation:

• Assist in creating, organising and maintaining project documentation, including project plans, schedules, status reports and meeting minutes.

Task Coordination:

• Coordinate tasks among internal and external stakeholders, ensuring that everyone is aware of their responsibilities and deadlines

Communication:

• Facilitate communication among project team members, internal and external stakeholders, ensuring that everyone is informed about project progress and updates

Meeting Coordination

• Schedule and organize project meetings, including team meetings, client meetings, and stakeholder meetings. Prepare meeting agendas and minutes.

Quality Assurance

• Take part in User Acceptance Testing exercises, working with the Digital and Innovations Manager to ensure that project deliverables meet quality standards and are free or errors or defects.

Deadline Management

• Track project timelines and deadlines. Notify team members of upcoming milestones and ensure timely completion of tasks.
• Utilise project management software and digital collaboration tools to facilitate project workflows and communication.

Information retrieval and research

• Conduct online research to gather information, data, or resources
• Summarise findings and provide relevant reports or insights.
