We are looking for a Medical Secretary to join the Maxillofacial and Dental Specialties Team at York Hospital.

Our successful candidate will work as part of a team, taking a lead role in providing a full and comprehensive PA and secretarial service to designated Consultants and their teams.

The post holder will will provide day-to-day work supervision of Assistant Medical Secretaries, Relief Medical Secretaries and administrative staff, within their designated team.
• Provide a full and comprehensive personal assistant/secretarial service to Consultants and full clinical team members
• Accurately transcribe complicated dictation with complex medical terminology
• Compose letters as appropriate and undertake transcription of dictation
• Take, write and distribute both formal and informal minutes, associated with departmental/directorate meetings where applicable
• Receive and process all incoming mail, bringing this and other relevant matters to the timely attention of the medical staff, and taking appropriate action, escalating issues to the relevant clinician as needed
• Triage calls, being the first point of contact, dealing sympathetically with people who may be bereaved, distressed or angry, using tact, persuasion and discretion. Assessing priorities.
• Demonstrate excellent organisational skills with the ability to work both independently and as part of a team, prioritising workload, cope with multi-tasks and work to deadlines.

This position is located in the Mental Health Care Line, VA Hudson Valley Health Care System. The incumbent is the Program Manager - Substance Abuse (SA) Dom, Montrose Campus. The VA Finger Lakes Healthcare System (VAFLHS) Supervisory Social Work (SW) Homeless Program Manager is a fulltime clinical position within an integrated multi-facility healthcare system. The Homeless Manager promotes a High Reliability Organization (HRO) and manages the daily operation of multiple assigned Specialty Mental Health Programs across a continuum of care.

• The Program Manager provides administrative oversight of the program to include planning, establishing, and implementing policies and procedures, developing program goals and objectives, and monitoring, operating, and evaluating the functioning of the program.
• Oversees the daily operation of the programs, develop policies and procedures for program operation, and prepare reports and statistics for facility, VISN, and national use.
• They are responsible for, or contribute to the program's budget, developing and monitoring staff compliance with practice, standards and guidelines on documentation, workload, data entry, ethical practice, and service delivery.
• Provides analysis and evaluation of clinical program data and computerized programs to identify system-wide trends and needs to enhance the quality of service. Develops and implements methods for measuring effectiveness of the assigned programs utilizing outcome evaluations to improve treatment services. The Social Worker is able to demonstrate the ability to design changes based on empirical findings.
• Responsible for clinical programming, prepares reports and statistics for facility, VISN, and national use.
• Provide leadership, supervision, direction, orientation, coaching, in-service training, staff development, and continuing education programs for a minimum of 25 staff members across the healthcare system.
• Initiates and conduct a variety of program or service audits and complete designated clinical practice audits and reports, including productivity assessments.
