The Supervisor Medical Administration Specialist serves as a supervisor for the Patient Services section with supervisory responsibility for the administrative staff in the Health Benefits Administration (HBA) and the Medical Administrative Specialists (MAS) also known as Administrative Officers on Duty (AODs).
Duties include, but are not limited to the following:

• Assigns work to subordinates based on priorities, selective consideration for the difficulty and requirements of the assignment, and the capabilities of employees

• The Assistant Chief, Patient Business Service (PBS) occupies a major position on the PBS service management team. Strategic Leadership, Stakeholder Engagement & Communication Serve as the clinical lead in partnership with the Recruitment Team to drive Trust wide recruitment and support for HCAs, Nursing Associates, and other Band 2-4 nursing roles. Develop and implement communication strategies to keep Band 2-4 workforce staff informed about development initiatives, fostering transparency and engagement. Act as a role model and mentor for Band 2-4 workforce members, promoting a supportive environment that fosters a positive learning culture and values continuous improvement. Establish and maintain relationships with a diverse range of internal and external stakeholders, representing the Trust in projects and working groups that impact Band 2-4 workforce development. Policy, Quality Assurance & Practice Development Collaborate and lead on the creation and review of Trust wide policies impacting Band 2-4 workforce development, including competency assessment guidance and standard operating procedures. Conduct training needs analysis and participate in practice development audits to identify improvement opportunities in relation to Band 2-4 workforce development and ensure responsive action plans are implemented. Utilise Quality Improvement (QI) frameworks to support Trust wide development projects that promote consistency and best practice within the Band 2-4 workforce. Participate in and support audits of clinical skills and training delivery, working with HEIs to complete audits, track outcomes, and implement corrective actions as necessary. Address and resolve issues identified through audit processes, reporting risks to the Senior Development Nurse and Associate Director of Nursing Education, Development & Quality as necessary. Identify and manage risks related to the training and development of Band 2-4 staff, escalating concerns as needed to the Senior Development Nurse and Associate Director of Nursing Education, Development & Quality. Project and Information Management Lead projects focused on Band 2-4 workforce development, working with stakeholders across SWLStG and externally to drive successful implementation and adherence to timelines. Provide leadership on project management processes related to Band 2-4 workforce development, ensuring timely and accurate information reporting to the Senior Development Nurse. Lead evaluations of Band 2-4 workforce development projects, ensuring high-quality project analysis and the delivery of desired outcomes. Facilitate project groups that engage stakeholders from all levels, including staff, service users, and external partners, to inform development initiatives and drive improvement. Provide data analysis and reporting for Band 2-4 workforce development initiatives, monitoring outcomes and identifying improvement opportunities for submission to senior nurse leadership. Staff Management and Personal Development Perform appraisals, development reviews, and support personal development plans (PDP) for junior team members, addressing disciplinary or capability issues as needed. Engage in direct clinical involvement at a minimum of 2 days per month to maintain personal clinical competence and provide in-situ support, practice development, and supervision for the Band 2-4 workforce, as required. Advocate to the Band 2-4 workforce to adhere to mandatory training and development activities as outlined in the Trusts policies, ensuring their personal and professional growth.

• Provide supervision for employees responsible for clinical care coordination and financial and administrative work in the support of the VA Community Care.
• Discuss, investigate, and respond to employees grievances and dissatisfactions to resolve conflicts.
• Provision and oversight of an annual multi million-dollar budget which includes budget formulation, justification, and financial reporting.
• Prepare, review, and submit budget estimates to executive leadership.
• Responsible in developing and coordinating internal review systems to assure that both clinical and administrative activities are in compliance with agency and accrediting and regulatory requirements.
• Provide for full administration of reporting, evaluation, and fee requirements associated with the accreditation of the organization.
• Develop both long and short-range policies and plans by coordination the needs of VA Community care for the medical center.
• Provide planning and direction for the Care in the Community.
• Identify needs and potential issues/concerns and devises flexibilities in operation and constructive, cost-effective approaches to the resolution of problems.
• Establish minimum standards for quality and productivity.
• Direct program implementation.

Work Schedule: Monday - Friday. Hours 8:00am- 4:30pm.
