Scope and General Purpose of Job:

To assist to establish, co-ordinate and administer financial planning for the control and success of ongoing operations. To assist in directing the operation of policies, procedures, plans, and programmes governing all operational and financial matters of the facilities. Operationally, to ensure the smooth and efficient running of the Fitness Centre and the Swimming Pool at all times.

Main Duties

Customer Service

• To ensure that all Fitness Centre associates deliver the brand promise and provide exceptional guest service at all times.

• To ensure Fitness Centre associates provide the appropriate level of professional, courteous and caring service to other associates (internal customers) and other visitors to the division.

• To assist to implement consistent and to maintain a relevant guest history database.

• To personally and frequently verify that guests/members are receiving the best possible service in Fitness Centre.

Financial

• To maximize associate productivity through the use of multi-skilling, multi-tasking and flexible scheduling to meet the financial goals of the business as well as the expectations of the guests.
• To assist to ensure that Fitness Centre operates with the lowest possible cost structure while also delivering on the brand promise to the guest, proactively managing costs based on key performance indicators.
• To focus attention on improving productivity levels and the need to prudently manage utility/payroll costs within acceptable guidelines ensuring optimum deployment and energy efficiency of all equipment.
• To ensure that hotel, company and local rules, policies and regulations relating to money handling are adhered to, including the timely and accurate reporting of information.
• To assist in the preparation of the Annual Business Plan for Rooms and the responsibilities to encompass the area of fiscal budgeting and analysis, including the development of annual budgets for the various sub-departments within the Fitness Centre.
• To ensure that the use of new technology and equipment is explored and implemented wherever appropriate to improve productivity whilst taking work out of the system.
• To establish the control of financial operations by coordinating and administering an established plan with sufficient supporting schedules to enable measurement of actual performance to budget, costs monitoring and to ensure a proper control to achieve maximum profitability.

• To develop the facility’s fiscal operating assumptions, facility’s business, budget and staffing plans.

Operational

• To ensure that all company minimum brand standards have been implemented, and that optional brand standards have been implemented where appropriate.
• To ensure through effective supervision that all services offered in the Fitness Centre are always available and carried out with the utmost efficiency and courtesy as per the Fitness Centre Departmental Operations Manual.
• To assist the Front Office Manager in every aspect of the operation as requested.
• To assist to direct operations of facility including short and long range strategic planning so that the facility operates cost effectively and efficiently.
• To work with advertising and promotion as required.
• To assist in the supervision/operation of all departments such as Fitness Centre, Reception, Facility Operations, Swimming Pool, etc.
• To ensure effective communication between Fitness Centre, Swimming Pool and all other hotel departments.
• To take active measure to assist in the promotion, associate and guest awareness of the Fitness Centre and Swimming Pool.

• To ensure the swimming pool Life Guards are attentive to all guests at all times and to ensure the safety of the guests by the pool. To ensure all guests abide by the swimming pool rules and regulations at all times and to stop immediately any guest/s engage in activities which are not permitted.
• To ensure all guests and Fitness Centre members who use the facilities register in the designated sign-in sheets.

• Monitors the process of cleaning/decontamination, sterilization, reprocessing, and distribution of critical, semi-critical and non-critical Reusable Medical Devices (RMD). Responsible for all directives and standards relating to the Quality Management program for areas within assigned responsibility.

The incumbent will assist the Service Line and ensure performance improvement processes are in place, follow-up is conducted, and outcome reported. When required, he/she conducts reviews to evaluate compliance with program regulations, policies and procedures and assists with the development of facility policies and procedures as appropriate. Assists in develop Quality Improvement approaches for standardizing system related procedures to minimize variation. Supports facility activities in the coordination and development of data collection and analysis techniques, primarily in the areas of specific Performance Measures and Performance Improvement indicators.

Incumbent is knowledgeable of Performance Improvement principles; statistical processes including trend and comparative analyses and has the expertise to make recommendations based on findings. Reviews all performance improvement data for assigned areas and assists responsible staff in initiating/facilitating appropriate action based on VA guidance documents. Facilitates education of personnel, both in the facility orientation of employees on performance improvement and in specific training for those involved in the performance improvement activities within services, on hospital Quality Improvement committees and/or within process action teams.

The incumbent conducts various patient care studies based on areas assigned, including review of patient incident report reviews, utilization management reviews, medical record reviews for evidence of required documentation as well as the quality and level of care provided. Provides clinical expertise and consultation to assist in data driven decision making and performance improvement matters. Conducts tracers, operational assessments and participates in the design of special studies to define the cause and scope of issues or trends and assists in the identification of appropriate criteria for problem resolution. Analysis includes trend, pattern and other statistically valid techniques to assist in focusing program attention and efforts. Participates in the development of innovative approaches to the establishment, enhancement, modification, and/or improvements in a variety of facility programs related to performance improvement/quality management. Reviews service/section/committee meetings for results of assessment and improvement activities including conclusions, recommendations, actions and evaluations. Closely monitors and advises services and committees of Quality Improvement topics that need to be addressed at meetings in order to meet The Joint Commission standards compliance.

Functions as an advanced clinician and executes position responsibilities that demonstrate leadership, experience, and creative approaches to management of complex patient care. Coatesville VA Medical Center is a 42-building campus-style facility which sits on 128 acres and celebrated its 90th anniversary in November 2020. • The Director of Quality Improvement is responsible for coordination and leadership in all performance and quality activities (Performance Measurement/Improvement, External Reviews/Accreditation, Risk Management/Peer Review Coordination, Infection Prevention, Patient Safety, Controlled Substance Program).
• This position is dedicated to the pursuit of higher facility-wide performance in each domain of value (quality, satisfaction, efficiency) through application of expertise, influence, management, and leadership.
• Ensures the facility overall performance and quality programs are coherent and consistent with the network and system wide goals and strategic objectives.
• Aligns and integrates a quality performance management system with leadership roles, strategic planning, and organizational culture. Establishes and maintains a quality measurement system which assesses clinical processes and outcomes, and identifies critical incidents, and the risk thereof, and sentinel events for actions.

• The nurse consultant applies expert clinical knowledge to guide patient safety/clinical risk management practices with the goal of enhancing health care delivery and decreasing the risk-of adverse events.
• Utilize statistical and epidemiological tools to assist staff in the analysis of data from adverse/sentinel events, close calls/near misses, or project findings.
• Serve as a facilitator and guides patient safety review teams in the identification of the causes of adverse events as well as identifying and implementing practical, measurable, and sustainable corrective actions.
• Participate in continuous readiness projects and conducts site visits to assess organizational processes for compliance with regulatory agency and accreditation standards requirements.
• The incumbent utilizes a combination of patient safety tools and evidence-based practices to improve measures of quality and patient safety.
