Job Description

Act as a trusted point of contact for the Director for all internal employees and external parties.
Managing internal and external correspondence on behalf of the Director as assigned and authorized.
Deputizing for the Director, making decisions, dedicating work to others and meeting with external clients/customers in his absence as assigned and authorized.
Work closely and effectively with the Director to keep him well informed of upcoming commitments and responsibilities, while following up appropriately.
Act as a “barometer”, having a sense of the issue taking place in the internal & external environment and keeping the Director updated at all times.
Provide a bridge for clear communication and maintain credibility, trust and support between the office of the Director and staff under his portfolio.
Undertake project work and administration to support ongoing business execution and group communications, including collating information, formatting documentation, organizing meetings and developing presentations.
Participate in all monthly meetings involving the Director which includes but is not limited to department meetings, internal control meetings (IPO), driver meetings etc.
Prepare correspondence and other communications as may be directed by the Director.
Prepare agenda, take minutes, distribute meeting minutes and take note of all follow-up actions required from all meetings diligently
Prepare travel arrangements, expense report, and all items needed to ensure the Director successful focus on external relation and organizational growth.
Keeping track of the Director's calendar, activities and acts as his reminder for all important upcoming events, birthdays, festivities, etc.
To occasionally travel with the Director locally to other warehouse locations and for meeting with clients.
Other ad-hoc tasks that may be deemed necessary and assigned from time to time.

Job Requirement

Candidate must have at least a Diploma/Degree in Business Administration or equivalent.
Experience as a personal assistant, executive assistant, secretary or other similar capacities will be an added advantage. Fresh graduates are also welcomed to apply as training will be provided.
Committed, energetic and have a pleasant personality.
Able to communicate and interact effectively with all levels of employees and stakeholders.
Well versed with MS Office - MS Word, MS Excel, MS Power Point.
To maintain complete professionalism in conducting oneself when meeting clients on behalf of the Director, including good communication and ensuring consistent positive outcome of a meeting.

Ensure housekeeping of all business areas are executed and maintained to the highest level of standards

Drive business expansion by identifying new outlet and store opening opportunities.

Leadership

Support stores to maintain productivity and retail operations standards, discipline, training and development.
Cultivate effective communication to build/improve staff motivation and morale leading to a positive working attitude and environment.
Conduct staff appraisal and performance reviews.
Lead and coach staff towards achieving the sales goals and service standards and through trainings where required
To tactically strategize and drive the outlets to achieve sales and services targets.
To develop, motivate and inspire outlet staff towards maximum performance in surpassing targets via performance driven initiatives and rewards. Analyse outlet staffs Competency Gap and plan their training and development to meet acceptable standards, efficiency and productivity levels.
To direct the outlet team in ensuring compliance to all policies and procedures. Review the guidelines and provide recommendations to the Management when necessary.
To resolve escalated key customers’ problems/complaints and provide guidance to the team to ensure fast resolutions to meet the customers’ expectations and satisfaction.
To effectively drive the outlet based on the Company’s objectives and performance initiatives and its effectiveness to the Management.
To conduct periodic visits to outlets to ensure the set standards are achieved as well as continuously keep abreast to industry best practices. Ensure efficient and effective management as well as high performance sales.
To build, enhance and maintain effective relationships with internal and external parties (i.e. local authorities, government bodies, the malls’ management) in order to ensure good support or approval to execute all related operational matters.
To continuously review, feedback and propose enhancement to internal policies, systems, processes and procedures, and relevant marketing initiatives to ensure it enhance the operational efficiency and effectiveness of outlets.
To manage, check and enforce all promotional programs, displays and key activities are delivered with the set standards.
To provide coaching and guidance to outlet staff in meeting acceptable operation standards to achieve Customer Service & Experience objectives.
To monitor and control the cost structures including manpower cost in achieving profitable, effective and efficient operations at outlets.
To contact store managers and other outlet staffs to communicate relevant information.
To mentor and motivate sales staff to put in their best in order to achieve financial goals.
To develop and implement budget and plans for retail operations.
To possess knowledge of visual presentation techniques, ability to interpret and achieve visual objectives.
To work closely with Visual Merchandiser to utilise the space available and merchandises to ultimate profitability.
To monitor inventory levels to determine the need for stock supply at each retail outlet.
To set and regulate product pricing using results of market and demand analysis.
To create customers’ awareness on of the outlets’ products and services.
To effectively handle additional responsibilities as assigned by the Company on an as-needed basis from time to time
