Currently seeking a motivated and organised Legal Secretary to join a leading law firm specialising in real estate and residential law matters. The ideal candidate will have experience supporting in a fast-paced legal environment, with a strong focus on property and real estate law.To provide administrative and secretarial support to the Real Estate residential team based in West Sussex.

JOB PURPOSE:

To provide administrative and secretarial support to the Real Estate residential team.

• KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED:
• Previous residential property experience required.
• Fast and accurate copy and typing skills.
• Legal background and knowledge or experience of conveyancing process preferred.
• Excellent IT skills with experience in Word, Excel and PowerPoint, Outlook and Internet.
• Ability to use track changes.
• Ideally previous experience of digital dictation and a case manager system.
• Strong attention to detail, and professional telephone manner.
• Effective administrative, communication, decision making and team working skills.
• Good standard of written English and grammar.

• RESPONSIBILITIES AND DUTIES:

• Preparation of correspondence, reports, memos, forms and bills from digital dictation, manuscript and precedents in compliance with the front house style guide;
• Completion of standard forms without fee earner assistance and production of standard letters without dictation;
• Preparing applications for registration at Land Registry and carrying out Land Registry searches and local authority searches;
• Deal with general telephone enquiries, take telephone calls in absence of fee earner and report to fee earner, receive and relay messages to and from clients and other professionals on behalf of fee earner;
• pen files using Ignite file opening system, generate initial client letters and engagement summary (the Welcome Pack) and once approved send to client with all relevant enclosures e.g. Sale/Purchase Questionnaires, Property forms, etc.
• Close files using standard procedures, maintain an efficient filing system and review files to identify where follow up action required;
• Comply with office procedures for word processing file management;
• Carry out basic accounting transactions and deal with financial queries;
• Prepare completion statements and invoices, assist in preparation and submission of Stamp Duty Land tax returns;
• Attend Group meetings and such training courses as determined by the Group Leader;
• Scanning incoming documents to electronic files;
• Dealing with accounts and obtain partner's signature on financial CHAPS/BACS dockets.

Your new role
The purpose of this role is to provide secretarial support for the fee earners in the Housing department in the provision of a wide range of legal services.

• Organising and prioritising workloads on an ongoing basis, in conjunction with fee earners
• Maintaining the fee earner diary / being aware of fee earner day-to-day commitments
• Preparing inward and outward correspondence
• Alerting, and agreeing with fee earner's, any changes in circumstances and priority with regard to workload
• Opening and closing files and general matter maintenance, ensuring all relevant money laundering documentation is completed to comply with the Solicitors Accounts Rules and the firm's protocols and policies.
• Liaising with clients and taking instructions under the supervision of and as directed by fee earners
• Preparing, submitting and downloading property searches
• Preparing, amending and finalising legal documents and reports as directed by fee earners
• Preparing and submitting Stamp Duty Land Tax forms using the SDLT website
• Interfacing with the Land Registry
• Producing / assisting in the completion of monthly bills
• E-filing of all documents and correspondence
• Using precedents as directed and delegated by fee earners to prepare and draft documents as directed

OVERVIEW:

The Corporate Planning function at HMI Medical plays a pivotal role in driving integration and synergies across key entities within the Group. This role offers undergraduates a significant learning opportunity to contribute to the integration of one of HMI Medical's entities. As a Corporate Planning Intern, you will report to the Corporate Planning Senior Manager and assist the Corporate Planning team in project management and execution of key integration workstreams. You will support in the management of internal stakeholders and cross-functional teams and assist in preparing presentation materials when reporting to senior management on key integration initiatives.

RESPONSIBILITIES:

• Support the development of integration plans to achieve synergy targets and value realization for the respective entity.
• Assist in the project management and execution of integration plans/key integration projects for one of HMI Medical’s entities.
• Assist in monitoring and tracking the progress of integration workstreams and related tasks/action items.
• Assist in coordination with cross-functional teams and manage internal stakeholders to facilitate smooth integration planning and project execution.
• Assist in the preparation of presentation materials for internal/external discussion and reporting to senior management.
• Conduct relevant research and analysis to support the creation of management and Board materials related to integration activities.
