Key duties & responsibilities:

• Build and sustain client relationships and collaborate with other internal departments (finance, operations, product, HR) where necessary to resolve other client-related matters.
• Build relationships and manage suppliers and vendors to deliver value to customers and meet company revenue objectives.

Sourcing:

• Consult with Client during research of venues ensuring client requirements are met in meetings and events specifications.
• Prepare estimated budgets and communicate budgetary information to Client throughout the sourcing process.
• Utilize preferred vendors for quality of service; minimize risk and maximum pricing advantage.
• Negotiate all supplier contracts for the best possible prices and concessions in order to meet client’s expectations.
• Keep abreast of new destination options, well-priced seasonal destination options and “hot date” offerings.

Pre-Planning and Onsite Event:

• Work with Group Travel Consultant as required to book group and event air travel and to ensure accurate air manifests are provided to the Client.
• Determine and arrange detailed program needs (i.e. room set-up, entertainment, décor elements, function times, audio visual, menu selections, on-site/off site events and activities, DMC operations, special events, ground transfers etc.).
• Facilitate the creative direction and fulfillment of program related participant and host communications materials, including, but not limited to save the dates, registration announcements, room gifts, pre-trip and onsite materials, including program signage and participant name badges.
• Negotiate and contract selected hotels, DMCs and vendors on based on client’s final requirements.
• Track and manage hotel and vendor attrition, cancellation and deposit schedules.
• Update budgets as necessary during planning and prepare final budgets – Communicate budgetary information to client throughout the planning and execution of meeting.
• Responsible for program data management/registration process, data integrity and client reporting. Ensure data reconciliation is complete and accurate. Update Client and suppliers as needed.
• Enter and update meeting information in meeting database and calendar – keep database and savings information accurate throughout the planning and execution of the event.
• Provide on-site program assistance; oversee all arranged details of program (i.e. attend pre-con, advance all functions, verify room set-ups, review banquet checks/master bill, registration desk coverage, handle VIP needs, assist in handing out documents, etc.).
• Ensure internal and external reporting requirements are met.
• Review supplier bills for accuracy and ensure timely payment and final billing process.
• Perform post-event reconciliation on assigned events according to process set by Finance and Team Leader.
• Reconcile all final participation data for accurate final attendee report.
• Manage to FCM M&E Standard Operating Procedures and Service Level Agreement metrics.
• Develop and maintain relationships with Clients to ensure repeat and new business.
• Responsible for protecting confidential information of FCM SG - Meetings and Events.
• Work independently in the absence of supervision.
• Assumes and performs other duties and responsibilities not specifically outlined herein, as requested.

• Minimum 5-8 years of experience in MICE industry. Experience preferably in TMC will be preferred.
• Strong negotiation and relationship building skills.
• Must have experience in handling corporate MICE Groups.

• Coordinating and finalizing with vendors to ensure smooth execution of the project.

About The Opportunity

This is an opportunity to work closely with the Global Head of PR and Communications, and Asia’s Head of Marketing to lead the strategic development and hands-on execution of Corporate PR strategy to position the company, its corporate brands and executives in top-tier domestic media outlets in countries Singapore, India, Hong Kong, Mainland China, Japan and Malaysia.

Leverage on your experience in media relations, public relations and senior stakeholder engagement to build, drive and deliver media and communication strategies and corporate marketing programs across the region. This is a pivotal role where you will lead the direction, having a direct contribution to, and impact on the achievement of our business goals.

Key duties & responsibilities:

• Annual PR Strategy
  Develop a full-year region-specific PR strategy & activity plan for FCM Asia in collaboration with Regional Brand Marketing and Operations that reflects business objectives. Devise accompanying regional narrative to engage with key prospects and customers that elevate our brands and promote the industry and benefits of travel management consultancy.
• Local PR Activation
  Execute PR activities, initiatives and events to engage with key stakeholders in Asia. Create news-worthy stories that capitalise on trending topics, while pitching latest developments and securing commentary opportunities for business leaders. To work with the Global PR & Communications and Corporate Brand Marketing teams to ensure that all PR activity appropriately positions each of our FCM Asia as leaders in their segment.
• Press Office
  Act as the main point of contact for media in Asia. Respond quickly and accurately to day-to-day journalist enquiries escalating with the Global PR & Communications and senior leadership as appropriate.
• Media Relations
  Cultivate strong relationships with top tier Asia travel/trade, news, business and consumer media and their contributors. Secure regular briefings to ensure that FCM, Scott Dunn, Discova, Cross Hotels & Resorts remain top of mind. Proactively pitch original story angles and the latest company news alongside local developments and initiatives. Maintain and develop a database of key Asian media contacts. Work closely with Head of Marketing and Brand Managers to advise and guide limited outreach in select Asian countries.
• Social Media
  Work in partnership with the Content team to use social media channels to engage with Asia-based journalists (e.g. monitor blogs/Twitter feeds of top-tier media for feature story opportunities and pitch media online when relevant).
• Crisis Communications
  Support the Asia Leadership teams (Marketing & Senior Management) on issues affecting the company. Develop speed to market & crisis communication response - gather facts, and create reactive media statements and FAQs while keeping the Global PR & Communications informed. Field and respond to incoming media requests to positively position FCTG Corporate Brands.
• Media Events
  Able to independently organise and facilitate media events.
• Press and Briefing Materials
  Oversee development, approvals and updating of press kit materials, including press releases, fact sheets, bios, backgrounders, etc. for Asia. Prepare briefing materials and messaging/positioning documents for executives in preparation for media interviews.
• PR Measurement & Evaluation
  Measure results and impact of PR outreach in alignment with key performance indicators (KPIs) and leverage media monitoring & measurement tools. Focus on top-tier media and feature story press coverage in the domestic market. Contribute to Global PR reports and keep regional brand and operational teams updated on resulting coverage.
• Customer Communications
  Assist with customer communications when needed including service emails, and incidents Crowdstrike etc. Assist the Head of Marketing of Asia with proofing and editing of communications when she is unavailable to support the team.
  Assist with events including but not limited to; Singapore Summit, GBTA India, town-hall meetings, and annual kick-off meetings. Help to keep colleagues informed and engaged by celebrating achievements and sharing details of relevant regional news and initiatives on Workplace, and briefing Social Media team to post on News page and Social Media channels.

We’d love to hear from you if you have...

• At least 6 years’ experience in public relations, having held a similar in-house or PR agency position
• Bachelor’s degree (ideally in Communication, Journalism, Marketing or Business)
• Experience in the Corporate Travel/Travel Industry is highly preferred

About The Opportunity

The ETS (Enterprise Technology Services) Level 2 Service Operations Team Leader is responsible for overseeing the daily operations of the Level 2 Service Centre Team, managing the team, representing the team to other stakeholders, and helping to ensure that the team and its processes are constantly developing and improving. The Level 2 Service Operations Team Leader will work closely with other Leaders in the wider Service Operations Team to ensure that all ETS service teams are providing a consistent, standardised, and amazing support experience. About the Opportunity

The ETS (Enterprise Technology Services) Level 2 Service Desk Analyst role is crucial in providing technical support and assistance to the diverse range of FCTG staff. The core responsibility of this role is to resolve technical issues and fulfil service requests as efficiently as possible or escalating, if necessary, while maintaining a high level of customer satisfaction. This role is a point of escalation for both our Level 1 Support Team and Joiners, Movers, Leavers Team, who you will work closely with to ensure we are consistently shifting knowledge and processes. Incidents and requests will be raised via a variety of channels and should be logged appropriately. In Head Office locations, in-person support is required, including in assisting with hardware support. This role is part of a collaborative and supportive team both in region, and on a global level. On a rotational basis, 24/7 support is scheduled to ensure a consistent level of support for our users. The Service Desk Analyst will have effective communication and customer service skills and the ability to network and maintain relationships with other support teams.

Key duties and responsibilities

• Provide second-level support of incoming incidents and requests via various channels to ensure courteous, timely, and effective resolution of end-user issues.
• Adhere to the Standard Operating Procedures and best practices set within Service Operations and ETS
• Provide in person support in Head Office locations, performing hands-on fixes at the desktop level, including hardware repairs, delivery of peripherals, or other fixes as determined.
• Diagnose and troubleshoot hardware and software issues related to desktops, laptops, printers, mobile devices, and other peripherals.
• Assist with the maintenance and administration of IT systems, including user account management and software installations.

The Account Management role is designed to manage the relationship between FCM and agreed clients. These clients will be provided with integrated travel management program in accordance with agreed service level agreement. The strategic intent of these programs will be to deliver saving though spend leverage, tightened program control and optimum operational services.

The purpose of the Account Manager is also to drive client profitability, retention of accounts and grown the number of FCM served provided to the client.

About The Opportunity

The CFO, Asia will function at both a strategic and operational level and will represent and be the voice of the Asian business from a finance perspective. Strategically the CFO will work in partnership with the Asia Taskforce team and the Regional MD of Asia to deliver on its long term goals and deliver sustainable profits for the business. Operationally, the role will be responsible for the financial health, planning, implementation, budgeting, forecasting and negotiations. Key duties & responsibilities:

Strategic & Operational

• Work with Asia Taskforce Team, providing strategic and financial input
• Develop financial reporting appropriate to manage and pro-actively diagnose the business
• Continually review all aspects of the business to ensure profit maximization
• Assist with new business opportunities and commercial negotiations with potential suppliers
• Conduct area reviews with the Asia Taskforce Team to improve business performance
• Strong financial control of the operations including Legal and Risk Management

Financial Management & Business Acumen

• Deliver financial analysis rather than financial data and assist leaders with business planning process
• Set financial direction and ensure implementation of global finance strategies within Asia region
• Establish and monitor customer focused business models for finance
• Drive productivity and process improvement through appropriate business models
• Achieve finance costs savings & revenue opportunities through negotiations with external suppliers
• Focus on cost management and efficiency initiatives
• Responsible for the preparation of all management, financial and statutory reporting, including consolidated profit and loss, KPI, and other reports required for management or Board in accordance with Flight Centre Group Policies and International Accounting Standards
• Ensure all financial, legal and risk management and other relevant systems are followed and work with global specialist teams to achieve group objectives, including risk management, tax & treasury
• Drive, develop and standardize risk management processes, internal controls and audits.

Leadership

• Mentor and support Financial Directors on technical, operational, commercial and people issues
• Lead, support and uphold the Asia Finance team that is customer centric and upholds minimum standards as set by Global CFO and Flight Centre finance community
• Embed financial control as the foundation of finance’s responsibilities and culture
• Ensure there is a focus on developing strong future leaders

About The Opportunity

As a member of the Technology Pillar, the regional Mid-Back Office System Analyst will take full responsibility for managing the mid-back office system.

Drawing upon comprehensive knowledge in both Technology and Finance, the incumbent will administer and oversee system behaviour, focusing on process improvement and operational efficiency. This position will act as the Subject Matter Expert (SME), controlling system processes and ways of use to adhere to the “One Best Way”.

The role necessitates cross functional collaboration, requiring adept communication and presentational skills. Given the fast-paced nature of the environment, effective planning and multitasking abilities are imperative.

This position offers exposure to global projects and cross-office collaboration within the FCM network. The role will act as a key member representing the Asia in any global mid-back systems projects which offers plenty of opportunities to work with FCM from around the globe.

Key duties & responsibilities:

Manage finance middle-office and back-office systems

• Configure, maintain, and administer the mid office and back-office systems
• Evaluate and manage user development requests to implementation
• Review the usage of the system and user processes to ensure a continuous optimisation of workflows in accordance to changing market needs
• Act as Project Manager for any major system upgrades or migration exercises

Ensure consistency and standardisation of business and system processes

• Develop and update user process documentation in the local language
• Provide trainings to new users of the finance systems to ensure compliance to documented workflows

Optimise workflows and business systems usage

• Map out the post-booking process workflows, review, and identify opportunities for improvement
• Work with various areas of the business, including Operations, Finance, Taxation, Regulatory and Technology ensuring the systems operate effectively, efficiently in a compliant manner

System Support

• Provide systems support relating to issues and questions
• Provide prompt resolution in line with agreed process for any invoice-related queries

Credit card handoffs

• Manage the submission of credit card enhanced data files
• Own the payment process flow and act as local support for any payment gateway-related issues
• Provide support for real time authorisation

Customer Finance Reporting

• Prepare and manage the finance reporting process for customers
• Work with the respective Account Managers to ensure a timely delivery of accurate reporting as agreed with the customers
