• Deal with all HR related matters and reports to CEO.

• Responsible in government-claim submissions (Maternity, Paternity, Childcare and NS claims)
• Handle MOM related matters including work pass applications/renewals/ cancellation/ appeals and updating of address for foreign employees.
• Responsible for Government Labor survey form, etc.
• Maintain and updates employee’s information at HR System and personal files.
• Checking Certificates of new recruits.
• Preparation of employment pre-medical check and confirmation letter, change of employment letter, final letter, etc.
• Preparation annual appraisal exercise.
• Insurance claims for medical and work injury incidents/ yearly insurance renewals.
• Manage recruitment process including screening candidates and conduct interviews with hiring managers.
• Preparation of Audit HR matters.
• Administer season parking for new join.
• Administer training-related matters including oordination or enrolment of internal & external courses, update & maintain training records, etc.
• New employee’s onboarding and preparation induction, new staff orientation.
• Update & Maintain organization chart and company contact list.
• Plan and coordinate staff welfare activities (Christmas party, CNY lunch, Audit and Dinner & Dance).
• Office invoice reconciliation and processing.
• Maintenance office & purchasing of office equipment’s/pantry supplies.
• Handle reception duties (when necessary), etc.

Requirements:

Minimum 3 years of HR Executive related experience especially MOM EP application / renewal & Government claims.

Degree or Diploma in Human Resource Management.

Able to handle sensitive and confidential information with discretion and integrity.

Organized, Meticulous and able to work.

Proficient in MS Office applications, good in excel.

Responsibilities

- To work closely with Superintendents for preparation and closing of monthly, quarterly or yearly accounts and reports as per format suggested by owner of the vessel.

- To provide any reports related to vessels to Superintendents, Manager etc

- To monitor and arrange cash to master request

- To monitor the cash flow of the vessels

- To follow up with port agents for disbursement accounts for advances made to them earlier.

- To prepare reconciliation schedules for all balance sheet accounts on monthly basis.

- To remit crew agent allotment request through payment section and capture crew agent’s actual expenses in the system on monthly basis.

- To make necessary accruals for the period.

- To assist accounts manager in preparing operating cost budgets for vessels.

- Registering/coding/scanning of invoices/vouchers for input into the accounting system

Job Description

· Monitor vessel operations for compliance with the Company’s HSEQ policies and procedures, ensuring that it is effectively implemented on board by means of responding to all HSQE reports within company’s SMS.

· Ensure that practical procedures to meet the HSQE Objectives and Policies are developed, implemented, and revised.

· Ensure fleet vessels compliance with SOLAS, MARPOL, STCW and MLC regulations.

· Ensure cargo and ballast procedures are properly implemented on board and verify cargo and/or ballast plans for compliance with all safety aspects.

· Ensure fleet vessels Navigation practices/procedures meets industry standards and maintained through improved navigation practices, equipment, training and procedures.

· Monitoring SIRE Vetting Inspections status of fleet vessels, arrange and coordinate inspections. Response to observation/s until final close-out.

· Responses to deficiencies observed during Port State Control (PSC) and Flag State Control (FSC) inspections.

· Coordinate preparation, approval and maintenance of procedure manuals/plans as required by related international conventions.

· Coordinate registration and take-over or hand-over of vessels.

· Coordinate and arrange issuance and amendments to all vessel’s trading & statutory certificates in close liaison with Technical Superintendent.

· Assist HOD in any Marine, Operation and Safety matters.

· Participate in company emergency response.

REQUIREMENTS

Responsibilities

· Reporting to CEO for all Insurance, Ship Management agreement, Ship registration and legal matters.

· Demonstrated experience in handling Ship Registration with various International Ship Registries such as Hong Kong, Singapore, Marshall Islands, Liberia, Panama, Isle of Man and others as may be required.

· Working with Owners and legal entities, for registration of vessel coming into management of the company and matters related to Owner’s sale and purchase of managed vessels. Familiar with ship mortgaging and Bareboat chartering requirements.

· Manage H&M (Hull and Machinery), PNI (Protection and Indemnity), FD&D (Freight Demurrage & Defence) and other insurance covers for the company’s managed fleet. Follow up on insurance claims with relevant insurers.

· Coordinate with various Crewing, Technical and other departments to collate documentation to file H&M and Crew related P&I claims with respective insurers of managed fleet.

· Maintain cordial relationship with Marine Insurance Brokers to obtain quotes and placement of Insurance Cover when necessary.

· Check & approve invoices from Ship Registries, Insurance Brokers and others related to services procured.

· Arrange Ship Management agreements for new take over vessels. Knowledgeable about BIMCO Shipman.

· Arrange COFR, ICB and other locally required Certificates as required for trading in USA and various other countries.

· Assist Technical and Marine department in dealing with EU-ETS and any other such carbon tax systems.

· Liaising with company Lawyers for any legal issues.

Qualifications, Knowledge, Skills, Abilities

· Diploma/Degree from well-recognised Institute/University in Law, Maritime Business or Shipping.

· Degree with any other discipline from well-recognised university and long experience with relevant job can be considered.

· At least 4 years relevant working experience in Ship Registration / Marine Insurance claims handling preferably with a Shipowner / Ship Management Company.

· An independent hands-on person with ability to communicate effectively written and verbal with Flag State, Ship Owners, insurers, peers and other outside contacts.

· Resilient, possesses a sense of urgency and work well under demanding timeline. Willing to work outside normal working hours, if required.

· Proficiency with the Microsoft Office Suite (Outlook, PowerPoint, Word, Excel).

· A good team player for working in a multinational environment.

· Strong negotiation skills.

· Knowledge about BIMCO Ship Management Agreement, CBA and MLC.
