Job Description & Requirements

• Planning and executing health and fitness activities in workplaces for working adults

• Conduct regular venue visits/audits

• Content creation for festive/thematic activities

• Maintain close communication with stakeholders

• Ability to work with both in-house and external providers to ensure project success

• Monitor KPIs to ensure delivery of key project outcomes

• Generate monthly report for stakeholders

• Responsible for acknowledging messages in the HWE Facil group chat, triggering BAP

cancellations and informing HPB after working hours

Job Requirements:

• Degree in any discipline from a recognized institution are welcome

• To possess at least two to three years of relevant working experience

• Good negotiation and interpersonal skills

Donor Management

• Strategize and develop donation requirements to meet the needs of the Centre
• Identify potential donor sources, handle donor enquiries and match donors with suitable opportunities
• Foster strong relations with donors and stakeholders through engagements and appreciation
• Maintain the donors’ database
• Prepare and submit monthly donor reports
• Practise good stewardship and allocation of donations

Volunteer Management

• Strategize and development volunteer requirements to meet the needs of the Centre
• Identify potential volunteer sources and handle volunteer enquiries
• Oversee the full volunteer life cycle ranging from recruitment, screening/interview, matching, orientation, deployment, review/feedback, appreciation, training and exit
• Foster strong relations with volunteers and stakeholders through care support and engagements
• Maintain the volunteer management system and time-banking portal
• Prepare and submit monthly volunteer reports

• Event Management
• Support in the planning and organizing of key centre-level events for residents and stakeholders
• Drive and ensure smooth operations of key events
• Involve in media liaison and coordination of corporate and media-related events, such as filming and interviews

Administrative and Other Work

• Support in the preparation of departmental plans, reports and related admin work
• Participate in key strategic meetings with internal and external stakeholders
• Undertake any other duties assigned by Senior Executive – CP and Head of Centre

As an Event Specialist, you will be the go-to expert for clients searching for the perfect event space. You will assist with venue recommendations, manage corporate accounts, coordinate event logistics, and ensure seamless execution. From sourcing suppliers for equipment rentals to hosting wedding shows, your role will be pivotal in delivering exceptional experiences for our clients.

Key Responsibilities:

• Assist clients in finding suitable venues for corporate events, weddings, and other functions.
• Manage and service existing corporate accounts, ensuring smooth booking processes and maintaining strong relationships.
• Coordinate with suppliers for event requirements, such as chair rentals, catering, AV equipment, and other meeting essentials.
• Be present on-site during events to oversee and ensure flawless execution.
• Provide tailored assistance to wedding couples, helping them select venues for Chinese, Malay, Indian, and other cultural wedding celebrations.
• Plan, organize, and host wedding shows to showcase Venuexplorer’s offerings and build relationships with clients.
• Collaborate with the marketing team to promote Venuexplorer’s services and events.
• Provide post-event support, gather client feedback, and maintain high satisfaction levels.

Requirements:

• Experience in event planning, coordination, or related roles.
• Strong knowledge of venues and event planning resources in Singapore.
• Excellent interpersonal and communication skills to build and maintain client relationships.
• Ability to manage multiple projects simultaneously and meet tight deadlines.
• Detail-oriented, organized, and solution-driven.
• Flexibility to work on-site during events, which may occasionally include weekends or evenings.
• Knowledge of cultural wedding traditions and practices is a plus.
