Capacity Planner - Physiotherapy

Using your skills as a planner the Capacity Planner - Physiotherapy will effectively load and manage clinician diaries, regularly implement efficiencies through the use of utilisation reporting and stakeholder engagement. Reacting in real time to changes in resource levels to decrease impacts to capacity and client journeys. Demonstrating the ability to use lateral thinking in problem solving scenarios. Maintaining a constant flow of availability for the bookings team within a set region and support with A/L and other off diary activity authorisations in conjunction with site management. Supporting the national lead by encouraging and supporting the growth of a positive team environment, facilitating the development of robust skillsets and processes and maintaining productive and appropriate communications channels with all relevant stakeholders.

Responsibilities will include:

• Building and maintenance of clinician rotas for specific regional clusters.

• Identifying resource and separating by clinical specialty; Doctor, Physiotherapist, Physiologist, Mental Health Therapist, etc.

• Constructing work patterns using Excel spreadsheets and liaising with site management to ensure maximum efficiencies are being met.

• Loading and maintenance of clinician diaries for a specific cluster of regional locations.

• Matching clinical diaries to clinician rotas in line with specified SLAs. Ensuring the appropriate level of capacity is available in line with expected and real time demand.

• Identifying and implementing diary efficiencies in line with the evolving needs of the service line

• Receive notifications of unplanned clinician absence or changes to their diary availability

• Assess the impact of the absence, identify solutions to mitigate the impact, communicate with local management to agree the best course of action and implement

• Utilise internal reports to adapt capacity levels and structure in line with current or future trends

• Use real time feedback from the Team Leaders within the contact centre to support analysis

• Planning in advance to avoid significant disruption in service and overlapping of events. Preventing late notice and failures to comply which could result in clinicians being unable to see patients

• Following processes, only accepting requests from line managers who have stuck to procedure and either remained within the stipulated SLAs or have provided appropriate justification for falling outside of SLAs

• Reporting to support daily operations. Taking responsibility for weekly scheduled reporting supporting the BAU activity of the team. Maintaining distribution lists and accuracy of information

As a Forecast, Planning and Performance Manager you possess advanced expertise in forecasting techniques, including the ability to manually forecast using sophisticated Excel models and Erlang formulas. You understand resource load balancing in customer contact channels, can link forecasts to financial impacts, and are proficient with Contact Centre technologies (e.g., Cxone, Calabrio).

You have strong commercial and financial awareness, with the ability to translate forecasting data into potential financial impacts and understand how all Contact Centre KPIs contribute to overall business performance.

As our Forecast, Planning and Performance Manager you will:

• Be accountable for Business Services forecasts, considering capacity issues for people, systems, and infrastructure in both front and back office.

• Incorporate all planned and proposed changes into budget and operational plans for Business Services.

• Ensure forecasts are operationalized into viable resource plans to support business needs.

• Support efficient coordination of resources, service levels, future planning, revenue targets, and optimized performance.

• Lead and develop the team to optimize agent performance through process improvements.

• Focus on the customer journey while maximizing efficiencies and developing management information (MI) and dashboards for ongoing performance monitoring.

• Review all pipeline activities, including customer contact across various channels, and plan resources for future projects and contract mobilization.

• Maintain regular contact with senior stakeholders to address potential impacts on forecasting and operational performance.

As the HR Business Partner for South East, you'll act as a trusted and proactive partner with the local leaders and line managers, providing strategic people support and expertise. You'll be actively influencing and shaping the talent and development agenda, building capabilities, providing high-quality people advice as well as driving positive business outcomes across our Hospitals and consumer gyms.

This role is regional and will cover Nuffield Health's South East Health System including our Wellbeing sites Norwich to St Albans and hospitals in Ipswich and Cambridge. This position would be suitable someone who can easily access these areas and is happy to travel

To succeed as our HR Business Partner, you will:

• Demonstrate knowledge within Employee Relations

• Proven experience as an HR Generalist

• CIPD level 5 or working towards preferable

• Experience of HR Systems (ideally HR workday)

• Proven ability to coach and develop line managers

• Strong customer focus and commercial awareness

• Evidence of working and communicating effectively with stakeholders

• Confidence and ability to influence and challenge others

• Previous experience of working within a Clinical Environment would be helpful but not essential.

This is a fixed term role for Maternity cover.

As a Business Administrator you will:

• Assist in the financial administration of patient accounts

• Provide excellent stakeholder/customer service at all times

• Work with the theatre team to ensure the correct coding of patient accounts

• Ensure that information received from external stakeholders (e.g. medical secretaries, patients) meets the minimum level of compliance

• Check and update where necessary, the details provided by our patients to the invoicing system

• Help with month end tasks

• Resolve Data Quality issues

• Support any other Business Administration requirements within the department.

To succeed as a Business Administrator, you will:

• Have experience in working in a busy customer business support function

• Be a confident communicator with proven experience of dealing with customer queries

• Ability to work under pressure to meet tight deadlines

• Be confident in working with numbers and large volumes of data

• Be educated to GCSE level in English and Maths,

• Have an NVQ Level 2 in Business Administration or equivalent

Nuffield Health Guildford Hospital provides high-quality healthcare working with leading Consultants to offer a range of services and treatments for preventing, diagnosing and treating a wide array of medical conditions and offer a wide range of complex surgery and services.
