The role

Working as part of a small friendly team, this role has several strands to it so will suit a proactive and flexible individual who can prioritise their work, and who enjoys variety, and building relationships with colleagues both within EDF and external organisations. Although the role does not have technical responsibilities, it requires the ability to liaise with technical and site-based teams and understand some basic principles in order to fulfil the role.

Management of a programme of work, responsible for:

• Coordination of a programme of work liaising with internal and external stakeholders to schedule and deliver the work, under the guidance of Programme and Technical Leads
• Organising and leading meetings related to delivery of the programme
• Working to resolve issues arising during work execution

Financial Support:

• Managing finances for a significant contract including budget planning, monitoring and all activities associated with ensuring accurate financial position is maintained in the SAP system and invoices are paid

Administrative Support:

• Ensuring meetings associated with the wider Programme areas are set up, coordinated as necessary with stations and suppliers
• Taking of minutes for monthly contract meetings
• General assistance to ensure the smooth running of the work area

Skills

• Excellent organisational and communication skills are essential
• Working knowledge of the MS 365 suite (Word/Excel/PowerPoint)
• Some financial knowledge and SAP would be an advantage

Working Arrangements

• The position hours will be flexible and can be a mix of home and office-based working for which CTC clearance will be required
• Although not strictly necessary, there will be the opportunity to visit an AGR site and supplier premises to build relationships and knowledge
• Training and support will be given to help the role holder to be successful, so a can-do attitude and flair to learn is most important

Our Clients Nuclear Generation business provides technical engineering and project services to all of the 5 Nuclear power stations. There is a requirement for individuals to help the business in its delivery of this complex portfolio of engineering works in terms of provision of 'project support' to those managing packages of work, and provision of management information to support the decision-making processes.

Key Responsibilities

The role of the PSO supports the business in developing a year-ahead work plan constrained to the internal resources and funding available. The PSO provides support to those managing packages of work by helping them with a variety of standard business processes / systems / tools and liaising with appropriate internal stakeholders. The PSO also provides management information to delivery teams to ensure that the current portfolio of work is matched to the internal and external resources and budgets available and reallocated as effectively as possible when priorities change.

The support includes but is not limited to:

• raising orders for the spending of monies on goods and services,
• ensuring that accruals/goods receipts are in place,
• managing external budgets during the year, making changes where needed,
• securing changes to planned levels of internal resource,
• updating and inputting data for internal resources and planned milestones
• problem solving on behalf of those managing packages of work to ensure good control, wherever this is appropriate and
• input at progress meetings where required to provide supporting information to those managing the packages of work.
• Ad-hoc support, in line with Business need.

Experience

• Previous experience of providing high quality proactive support to others in a business environment.
• Strong numerical skills, able to interrogate, analyse and report data.
• Good experience of Microsoft Office software in general, must include some experience in the use of excel for reporting and analysis.
• Experience of working in a large organisation, or an organisation with 'matrix management' is useful but not essential.

Role - Business Support to Independent Nuclear Assurance

Location - Gloucester

Salary - £19.68-£22.30 based on experience

About the Role

A confident administrator is required to provide proactive business support to Independent Nuclear Assurance.

The main element of the role will be to provide cradle to grave support to the minute taking process for the Nuclear Generation (NG) Nuclear Safety Committee (NSC) meetings which are held on a monthly basis (with the exception of Feb/Aug), noting the requirement to attend all 10 scheduled meetings, as well as any additional Special NSC meetings held throughout the year. Excellent communication and organisational skills, along with initiative is required to ensure minutes are completed to a high standard and within stated timescales in this fast-paced environment.

The individual will form part of a small business support team and will also provide support and absence cover to an existing team member in connection with administration of the NSC process and other routine tasks. In addition, this individual will be required to take ownership for other departmental processes as set by the Business Support Team Lead.

The successful applicant will receive training in support of the role.

Principal responsibilities:

• Providing secretarial support to the NSC to include:
  • Attending all NSC meetings to record / minute meetings / take actions.
  • Transcription of minutes and distribution for review by case officers and other interested parties.
  • Maintaining the NSC action list and follow up as required.
  • Gaining approval of minutes from the NSC chairman.
  • Final distribution of minutes to stakeholders.
  • Summarising and addressing any minute corrections, plus final distribution to the Office for Nuclear Regulation (ONR).
  • Electronic filing of minutes on company systems.
  • Collation of feedback from Case Officers and distribution to NSC Technical Secretary for review.
  • Point of contact for NSC station contacts in terms of delivery of papers for the Nuclear Safety Committees (NSC).
  • Attends and plays an active part in NSC pre-job briefs and post job debriefs. Takes actions, circulates post meeting and follows up as required.
  • Preparation of Category 2 Engineering Change list / book
  • Review and update of NSC process related procedures.
  • Provides support / absence cover to Centre & Assessment business support to include:

• NSC administration
• Independent Nuclear Safety Assessment reporting
• Processing engineering change proposals in Asset Management Suite (AMS)

Vacancy Overview

This role is for a Project Support Officer (PSO) to provide administrative support and project coordination support for the Mechanical Components Branch within EDF Nuclear Services. This position sits within the Engineering Function, supporting the delivery of EDFs PWR projects such as HPC and SZC. Engineering is responsible for fulfilling the Licensee's 'Intelligent Customer' responsibilities by maintaining technical oversight of the design and supply chain, in particular to ensure the safety case requirements are adequately captured and fulfilled during the design, procurement, manufacturing, construction/erection and plant commissioning.

The PSO shall work under the supervision of the Lead Team to perform several key tasks in the Mechanical Components Branch. The role requires liaising and engaging with staff and project teams from client licensees (e.g., HPC, SZC, NGL). A limited amount of UK business travel may be required.

Responsibilities

• Team level project support duties namely
• Manage and maintain HPC and SZC contract distribution tables under supervision of Technical Engineering Leads (TELs)
• Provide administrative support to the Macro-Activity Leads.
• Run periodic reports on team performance metrics (e.g., review and acceptance documentation backlog, assessment findings, exemption requests, non-conformance reports, safety case papers).
• Run periodic checks using the documentation management system Teamcenter to ensure consistency of documentation listed in Design Package Release Notes.

Qualifications & Experience

• The post holder will require NVQ Level 3 or equivalent level of academic qualifications, together with a high level of numeracy, written and spoken English.

• Having prior experience in using Teamcenter and PowerBI, or similar tools, are desirable.
