A day in the life of a Finance and Payroll Administrator

Supporting company operations by effective data input and administration of the payroll, sales ledger, credit control processes with high focus on exceptional customer service. Your purpose is to ensure all sales ledger postings are made in a timely manner to be certain that the sales ledger is up to date and accurate at all times.


To support the Sales Ledger/Credit Control and Payroll team by ensuring the accuracy of data inputting and personal information, to ensure relevant client/staff files and databases are kept up to date.
Follow local authority guidelines on debt collection and keep them informed.
Process customer Direct Debit Forms and Payments via BACS.
Enter all Sales Invoices onto Sage, carrying out a monthly reconciliation of all sales.
To act as a source of advice on the day-to-day details of the sales ledger and payroll system and to respond to their enquiries.
Liaise with internal operational teams on the day-to-day sales/payroll enquiries.
Collate information regarding problems debts or special cases to transfer to social services.
Monitor all invoices issued and payments received to maintain accurate debtor information.


Must haves


Proficient in IT systems, spreadsheets (with ability to understand formulas), databases, writing professional letters
Currently studying or completion of AAT Level 2
Previous experience dealing with the public / customer service
Strong administrative and numerical skills
GCSE passes or equivalent in Maths and English
Able to deal effectively with contracts and administrative staff of local authorities and to understand their needs and constraints
Exceptional communication and organisational skills
Friendly, positive, and supporting attitude

Your new role
In your new role as Purchase Ledger Clerk, you will be responsible for the processing of purchase invoices for all areas of the business, including matching invoices to PO numbers and coding of invoices. You will set up new supplier accounts, maintain control of the ledger accounts and regularly reconcile the supplier statements. Part of your role will involve dealing with any supplier and customer queries in a timely and professional manner, whilst ensuring excellent levels of customer service. You will maintain control of the purchase ledger inbox and assist with weekly payment runs. This is a full time role, working Monday to Friday.

The Cancer Data team are responsible for the collation and entry of data to identify what stage of the cancer pathway patients have reached, and to highlight patients approaching target treatment dates with Multi-Disciplinary Teams and Service Managers.

We are looking for an enthusiastic, motivated and organised person to work as part of a team of MDT Co-ordinators and Data Co-ordinators. The post holder must have data entry skills, be able to demonstrate exposure to medical terminology and be able to pay keen attention to detail.

Excellent organisation skills and communication skills are also key as the workload is busy and ever changing.

You will play a pivotal role in managing a caseload of patients referred into the Trust for all tumour sites. This will involve liaising with various departments and other hospitals across the North West, working closely with nurses, secretaries, pathology, radiology, waiting list and booking clerks so that patient’s pathways are progressed and escalated where necessary. This ensures minimal delays in patient care and compliance with the National Cancer Waiting Times (CWT) standards

You will also be responsible for entering data that is required for National Audits - Bowel (NBOCA), Oesphago-gastric (NOGCA), Breast ( NABCOP), Prostate ( NPCA, Lung ( NLCA). Cancer Outcomes Services Dataset (COSD).

• Obtaining key items of data from other systems, including histology results, appointment dates and admission dates, and entering this key information onto the Cancer Information System
• Creating management summaries for high-risk patients approaching target dates

2. To collate the information required for the national Cancer Waiting Times database:• Ensuring all data items required for the Cancer Waiting Times database are captured in the Trust’s Cancer Information System
• Ensuring data is collected in a timely fashion, and is available for upload to the national database in line with national deadlines
• Summarise patient pathways for review and analysis
• Highlight potential blockages in the system

Your new role

In your new role as Finance Administrator, you will be working amongst the Invoicing Team to support the business in raising invoices and carrying out related tasks. Whilst supporting the accounts function in the processing of invoices, approx 900+ per month and work closely with operational and finance teams providing support. Updating of client information through CRM, telephone & email communication, and assisting the Credit Control team to efficiently resolve outstanding queries, whilst assisting with reports for Management, as and when required. What you'll need to succeed

To be successful in this, you should have strong administrative experience and have a knowledge of accounting functions, along with brief experience of working on financial systems. You should be a team player, able to work well under pressure to meet tight deadlines, along with being compute literate with a knowledge of Microsoft packages, including excel - familiarity with formulas and pivot tables is desirable. Your new role
In your new role as Finance Officer, you will be reporting to the MD and have a varied, well-rounded job involving all elements of transactional accounting. You will be responsible for daily and monthly bank reconciliations for UK and foreign currency accounts, month-end reconciliation and processing BACS and international payments. Your role will include purchase ledger, processing supplier invoices and reconciling and posting monthly credit card statements. You will process all employee expenses, reconcile supplier statements and deal with any issues. Credit control will also form part of your role, where you will liaise with customers via all forms of communication channels, posting invoices and credit notes. You will assist with the month end including accruals, prepayments, journal postings and VAT returns. This is a full time role working Monday to Friday, 8:30am-5:00pm.

What you'll need to succeed
As a successful candidate, you will have experience of working in a similar role previously, with a good understanding of accounting principles. You will have working knowledge of purchase ledger, sales ledger and credit control, with a desire to expand your skill set and progress with this growing business. A good understanding of Excel is essential, with vlookups and pivot tables as a minimum. Experience of Sage is highly desirable.
