The Procurement & Supply Chain directorate at UCLH currently have a vacancy for a Deputy Systems Manager and Administrator. The role is responsible for supporting the administration and management of procurement and supply chain related IT systems and associated data. It is essential that applicants have a keen understanding of, and are comfortable managing IT systems, working with MS
Office products and experience of procurement and finance related systems would certainly be an advantage. The post holder will have key working relationships with all members of the procurement, supply chain, finance and many clinical and management staff across UCLH, the Trust Digital Services (ICT) department and partner (Atos), and the Trust’s commercial suppliers. They will act as the key focal point for all supporting aspects of the systems manager role and act as deputy during their absence.
The post holder will be responsible for maintaining data and running reports for procurement colleagues, and on occasion, outside agencies. Additionally, the post holder will own, maintain and improve the department’s pages MyUCLH (intranet). You will also own training, user guides and other supporting provided by the trust on its systems.
· Deputising for the Systems Manager.
· Ensuring the UCLH catalogue and contracts are maintained and up to date in
consultation with Procurement Business Partners.
· Provide analytics and reports from procurement and supply chain systems
based on requests from internal user (adhoc or scheduled)
· Ensure updates to the trust’s IMS and eDC platforms is completed in line with
expected standards.
· Maintain trust data archives in relation to transactional procurement activity.
· To be responsible for data mining and exploitation and manage systems
requests to ensure timely, accurate and meaningful reports are provided.
· Ensure user’s queries and issues in relation to the trust procurement and supply
chain systems are addressed and resolved in a timely manner.
· Maintenance of the Procurement and Supply Chain pages and information on
MyUCLH.
· Support and action where necessary, requests for information linked to product
safety and incident reports, freedom of information requests and Datix incidents.
· Provide end user training to internal user on the trust procurement and supply
chain systems.
· Set up, manage and amend, as necessary, all procurement system requisition
points ensuring they are up to date and authorised.
