What You Will Do:
The Real Estate Manager - Lease Administration will support the FBI related projects to include but not limited to lease and real estate management, portfolio analytics, space management, and facilities management of a large and complex facility portfolio.
Tasks include, but are not limited to:
Under general supervision, uphold the integrity of real estate portfolio data for assigned portfolio of clients. Input, maintain, organize, and report on information regarding lease dates, dollar values, and financial accounting transactions into a lease management software database.
Prepare, process, and reconcile accounts receivable and accounts payable transactions to ensure accurate and current lease information is maintained.
Assist manager in resolving critical issues for clients by researching and gathering information about payment transactions, lease terms and other relevant items as requested.
Prepare lease abstracts and edit them for accuracy.
Edit narratives to support computer generated reports. Provide narratives on monthly variance reports. Provide lease analysis and interpretation of lease information to clients.
Track payables and receivables associated with the leases in portfolio. Process client rent rolls utilizing the database. Prepare export files and sends to accounting for payables processing.
Prepare invoices for subtenants, reconciles subtenant accounts, reviews incoming invoices for errors/accuracy with lease document and ensures correct coding.
Perform annual operating expense reconciliations, monitor audit windows and audit requirements contained in the lease documents.
Assist manager with preparation and distribution of periodic and ad hoc reports in a timely, accurate manner.
Run standard reports for management review and runs ad hoc reports with assistance. Assist with the design of reports utilizing a variety of software tools.
Prepare and distribute critical date reports; maintain tickler system for tracking important dates and tasks.
Create and maintain client lease files ensuring they contain current, accurate information.
Perform other duties as assigned.
What You Will Need:
- 4 years of relevant experience
- Bachelor's degree (BA/BS) from four-year College or University
- Excellent written and verbal communication skills
- Strong organizational and analytical skills
- Ability to provide efficient, timely, reliable, and courteous service to customers
- Ability to effectively present information
- Ability to respond to sensitive issues
- Advanced knowledge of financial terms and principles
- Ability to calculate intermediate figures such as percentages, discounts, and commissions; ability to conduct advanced financial analysis
- Ability to comprehend, analyze, and interpret complex documents
- Ability to solve problems with organizational objectives in mind
- Advanced analytical and quantitative skills
- Intermediate to advanced skills with the Microsoft Office Suite
- Decisions made with thorough understanding of procedures, organizational policies, and business practices to achieve general results and deadlines
What Would Be Nice To Have:
- An ACTIVE and CURRENT TOP SECRET federal security clearance
- Real estate license preferred
- CPM or RPA professional designation or candidacy preferred
- Degree in Accounting, Finance, or Real Estate preferred
- Experience managing Federal leasehold and/or real estate portfolios to include financial management and experience in government accounting systems
