Description:

We are looking for a motivated and outgoing individual to join the Private Office team in the Wales Office as Diary Manager and Assistant Private Secretary to the Secretary of State for Wales.

You will work at the heart of the Private Office and be responsible for effectively managing the Secretary of State’s diary. Liaising closely with the Secretary of State, Private Secretaries, Special Advisers and Officials, you will ensure Ministerial priorities are carefully planned and contribute to their successful delivery.

As a small Department the post holder will have unparalleled access to Ministers and work on issues that cut across Whitehall, Number 10, and the Welsh Government. You will be the face of the Private Office to external stakeholders and ensure appropriate balance between the Secretary of State’s departmental, constituency and parliamentary commitments.

The successful candidate will be assertive and confident with the ability to prioritise a busy workload. You will need to build good personal relationships with ministers and senior officials both in the department, across Whitehall and with Welsh Government. Excellent communication skills and the ability to remain calm and reliable under pressure are also essential.

Occasional travel (mostly to Wales) to support the Secretary of State will be required which may include overnight stays.

Given the nature of the role, it is London based and full time. You will need to be prepared to work some early mornings and evenings as part of a Private Office rota, and as such this role attracts a Private Office allowance of £2,562 in addition to the salary listed above.

Overall responsibility for the management of the Secretary of State’s diary, including arranging all internal and external meetings to ensure time is used effectively to achieve their priorities.
Liaison with UK and Welsh Government private offices, the Secretary of State’s constituency team, and external stakeholders to manage conflicting priorities and diary issues, exercising good judgement and flexibility.
Co-ordination and planning of the logistics for ministerial travel and visits.
Oversight of all invitations, seeking steers on which should be accepted, working with policy and communications colleagues to advise on these matters.
Building and maintaining positive relationships with teams at the Wales Office, across Government and externally.
Prepare diary cards and briefings packs for the Secretary of State.

JOB PURPOSE:

To provide administrative and secretarial support to the Real Estate residential team.

• KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED:
• Previous residential property experience required.
• Fast and accurate copy and typing skills.
• Legal background and knowledge or experience of conveyancing process preferred.
• Excellent IT skills with experience in Word, Excel and PowerPoint, Outlook and Internet.
• Ability to use track changes.
• Ideally previous experience of digital dictation and a case manager system.
• Strong attention to detail, and professional telephone manner.
• Effective administrative, communication, decision making and team working skills.

• RESPONSIBILITIES AND DUTIES:

• Preparation of correspondence, reports, memos, forms and bills from digital dictation, manuscript and precedents in compliance with the front house style guide;
• Completion of standard forms without fee earner assistance and production of standard letters without dictation;
• Preparing applications for registration at Land Registry and carrying out Land Registry searches and local authority searches;
• Deal with general telephone enquiries, take telephone calls in absence of fee earner and report to fee earner, receive and relay messages to and from clients and other professionals on behalf of fee earner;
• pen files using Ignite file opening system, generate initial client letters and engagement summary (the Welcome Pack) and once approved send to client with all relevant enclosures e.g. Sale/Purchase Questionnaires, Property forms, etc.
• Close files using standard procedures, maintain an efficient filing system and review files to identify where follow up action required;
• Comply with office procedures for word processing file management;
• Carry out basic accounting transactions and deal with financial queries;
• Prepare completion statements and invoices, assist in preparation and submission of Stamp Duty Land tax returns;
• Attend Group meetings and such training courses as determined by the Group Leader;
• Scanning incoming documents to electronic files;
• Dealing with accounts and obtain partner's signature on financial CHAPS/BACS dockets.

An exciting role is available in the Income Treasury & Cashiers team in Finance with responsibility for processing the invoices for the Trust income of over £1,900M a year. The role requires the use of the Trust's finance systems for review, processing, and approval of all sales invoice requests across the full range of Trust income ensuring that all requests are valid, accurate, and in line with the correct VAT treatment for NHS income. This role requires a good working knowledge of current best practices for sales invoicing with minimum queries.


The successful applicant will have good knowledge of current VAT legislation as applied to healthcare and associated income streams, be able to work with minimum supervision on the daily activities, be able to use Excel for month-end activity, and suggest changes to working practices to increase efficiency. This role will need to develop good working relationships with staff in income-generating departments across the Trust and to learn how the Trust works.

Responsible for the accurate and timely raising and despatch of invoices and credit notes for all customers raising queries back to the invoice requester where relevant. Provide assistance with month-end income accruals ensuring that all invoice requests not processed by month-end are accrued. Provide query management service back to departments and to external customers in respect of the status of invoices raised or awaiting processing. Receive internal and external telephone calls and deal with customer queries.

Income Treasury and Cashiers are responsible for external customer billing for all goods and services provided by the Trust. The department is
responsible also for debt collection and processing of all receipts to customer accounts. There is a Cash Office on both hospital sites that looks
after patients' monies and patient travel refunds.
