• Receives children, youth, parents, and other visitors in a courteous and professional manner. Answers telephones, ascertains nature of call, and directs caller to appropriate staff.
• Ensures parents, children, youth, and visitors properly sign into the program prior to passing the reception area of the facility. Monitors children’s departure to ensure only authorized individuals remove them from the building.
• Registers/terminates children/youth within the CYS program and/or waiting list database. Utilizes the Child and Youth Management System (CYMS) to record transactions for customers and to enter data into predefined categories for reports and tracking.
• Provides administrative support including mail preparation, copying, distribution, correspondence, memorandums, briefings, Daily Activity Reports, and other requirements for day-to-day operations.
• Articulates policies relating to patron fees, waiting lists, enrollments, terminations, and program events. Coordinates vacancies and reservations for the hourly care program as required.

• Coordinates all personnel action requests with Operations Project Manager (OPM) and/or Deputy Operations Project Manager (DOPM), site managers, and Civilian Personnel Office.
• Compiles training needs, develops and submits training plan for approval.
• Provides administrative oversight and liaison with multiple site supervisors and administrative and technical support staff at geographically dispersed project office locations.
• Coordinates budget development and execution and administers internal controls for compliance with policies and regulations.
• Prepares organizational charts, fact sheets, and other information for in-house and official briefings.
• Keeps individual project administrative personnel informed of current changes in regulations, forms, and administrative requirements.

1. Processes applications and issues identification cards controlled and restricted area badges, vehicle registration, and temporary passes to eligible personnel.
2. Maintains controlled forms.

Major duties and responsibilities include:

• Oversees and facilitates the administrative management for Nutrition & Food Service.
• Independently develops, plans, issues and implements procedures to comply with directives concerning administrative matters.
• Analyzes and evaluates problems, makes recommendations, and devises solutions to systems administration, training management, publication management and data management within the division.
• Participates in regular meetings with leadership and other senior members to address administrative management issues, resolve problems and provide recommendations for correcting or improving processes and programs.
• Compiles information prepares administrative reports for management briefing and sharing with work groups.
• Serves as the department Automated Data Processing Application Coordinator (ADPAC).
• Manages, monitors, coordinates and provides regulatory guidance on all personnel actions, organizational structures and position management for the Service.
• Reviews, interprets and provides recommendations for the revision of regulatory guidelines, policies and standing operating procedures pertinent to personnel administration and all Service operations.
• Participates in the planning for budgeting needs and financial management for Nutrition & Food Service.
• Attends budget calls, reviewing guidelines and instructions in order to brief managers of schedules and data requirements.
• Coordinate with Assistant Chief, N&FS/Food Production Manager to control purchasing and use of supplies.
• Reviews office needs in order to plan and develop budget data and justification for review and approval.
• Performs other related duties as assigned.
