We are seeking a dedicated HR & Admin Officer to join our dynamic team. The successful candidate will play a key role in managing the recruitment process, payroll verification, work pass management, and compliance with employment laws. You will also oversee the onboarding of new employees, maintain accurate records, and ensure that all HR processes run smoothly. Additionally, you will coordinate training and development programs, manage dormitory accommodations, handle incident reporting, and explore government grants to reduce company expenses.

Key Responsibilities:
1. Recruitment & Hiring
o Source candidates via job portals
o Manage the full recruitment and onboarding process.
o Handle work permits, S Passes, and coordinate transportation for new hires.
2. Payroll Verification
o Verify payroll with job timings and photo proof.
o Ensure all workers have active bank accounts and work with finance for wage disbursement.
3. Work Pass & Termination Management
o Oversee work permit applications, cancellations, and renewals.
o Coordinate worker transfers and terminations with agents and project managers.
4. HR Policy & Compliance
o Update the Employee Handbook and ensure compliance with employment regulations.
o Manage PPE and uniform distribution records.
5. Attendance & Record Keeping
o Maintain attendance records and organize personnel files in a shared drive.
6. Training & Development
o Coordinate and schedule worker training programs and maintain records .
7. Dormitory & Worker Welfare
o Manage dormitory check-ins/outs and ensure smooth accommodation transitions.
8. Insurance & Incident Reporting
o Serve as the point of contact for insurance policies and report incidents to MOM through iReport.
9. Data Management & Admin Support
o Ensure all HR processes are updated, including worker deployment and onboarding.
10. Government Grants & Compliance
o Explore relevant government grants and facilitate the hiring process under these programs.
11. Administrative Work
o Maintain project-related documents in the shared drive and manage secure storage of sensitive information.
12. Project Admin Coordination
o Assist with saving and organizing project-related files and support project managers in onsite document coordination.
Requirements:
- Proven experience in an HR role, preferably in a fast-paced, high-volume recruitment environment.
- Familiarity with MOM regulations, work permit applications, and HR-related processes.
- Proficient in MS Office and document management within shared drives.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with integrity.
