To provide an effective and efficient booking service. To be the first point of contact for patient calls. PRINCIPAL ACCOUNTABILITIES Providing an OPD appointment service to new and existing patients of the Trust. Liaising with PAs in ensuring the efficient use of outpatient capacity by monitoring of clinic schedules. Use initiative when dealing with and resolving patient enquiries, escalating as appropriate. Providing information to the management team when requested and use initiative to escalate any issues as appropriate. Communicating with GPs other external agencies Providing information to staff in other departments Escalating issues to the PAs and Team Leader as appropriate. Data Management: Recording all information as required on PAS including amendments Using Outpatient Waiting List functionality on PAS. To undertake medical audio / copy typing duties, including outpatient letters to GPs, discharge summaries and other official correspondence. To accept enquiries from clinicians, GPs Health Service and Social Services personnel, other hospitals, voluntary agencies, patients and their relatives. Patient contact by telephone is an integral part of the role. To work using own initiative with minimal supervision, prioritising own workload in line with objectives of the department and consultant teams. To deal with all incoming correspondence, phone and email in an efficient and effective way. To liaise with other members of the secretarial / administration team in order to provide a co-ordinated and efficient secretarial service. To support the Directorate Management Team with the administration, tracking and validation of patients pathways to achieve the National 18-week Referral to Treatment (RTT) target. To liaise with patients, relatives and staff demonstrating sensitivity and maintaining professionalism at all times. To deal with any complaints, problems or issues in a sensitive way, escalating to clinicians / management as appropriate. Ensure confidentiality is maintained at all times, complying with the Data Protection Act, Information Governance and other Trust / Departmental Policies. To assist in providing cover for other secretaries in the Medical Directorate to ensure continuity of service to Consultant, medical staff, service users and patients. To undertake any other duties as may be required / appropriate by the Directorate Management Team.

The main duty is to provide a Medical Secretary Service and Team support i.e. arranging clinics, managing diaries, taking minutes, supporting the processing of referrals and reports. In addition to acting as first point of contact for service users, families and carers dealing with a range of enquiries or concerns in person or over the telephone related to the clinical consultants work. You will also oversee other members of the admin team providing supervision and support with standard processes and systems.
