JOB PURPOSE
The Project Field Coordinators will be based in Da Lat/Son La office and responsible for developing and strengthening working relationships with local government (PPC, DARD, DONRE, DPC, CPCs…), forest owners, key partners and key stakeholders (such as companies, NGOs, development partner agencies etc.); developing detailed work plans; and monitoring the implementation of project activities. He (she) supports/participates in the inception phase of the project.
JOB DESCRIPTION
Under the management of the SNV Project Manager/Deputy Project Manager, the Coordinators will be based in Da Lat/Son La office and responsible for developing and strengthening working relationships with local government (PPC, DARD, DONRE, DPC, CPCs…), forest owners, key partners and key stakeholders (such as companies, NGOs, development partner agencies etc.); developing detailed work plans; and monitoring the implementation of project activities. The assignment is expected to comprise the following tasks and responsibilities:
Development and support the accomplishment of Work Plans
- Following the project inception plan, co-develop annual and quarterly work plan in collaboration with the Team Leader and team members for the entire project.
- Co-develop detailed implementation plans with MEL, Finance, Procurement and Communications team members and provide both supervision and support as required for successful accomplishment of their assigned tasks.
- Keep track of all deliverables from project team members; consultants; contractors and partners and centralize them in the project’s established filing and reporting systems.
Overseeing administrative tasks and providing support for project activities/field work
- Ensures timely and efficient administrative support to implement project activities as planned.
- Leads the organization of project activities and field work such as agricultural extension, forest protection, value chain and community development; Workshop /Conference /Meetings/Learning events; capacity building, surveys, interviews and other activities with local partners and communities on the ground with the administrative and logistic support from the Program Assistant and Logistic Officer. These will involve administrative tasks such as preparing permission letters, identifying venues for workshops/meetings, or other suppliers of goods/services that the project may need in line with relevant SNV procedures and cost norms in collaboration with the Project Financial Officer and Procurement Manager.
Support project implementation and documentation of project activity data.
- Support the MEL expert to develop a MEL following the approved MEL framework; the standards from donor and SNV and the project’s verification approach to track the project progress; inform timely adjustment/refinements as necessary; and the readiness of data for learning and reporting to the partners and donor on quarterly basis.
- Documentation of project meetings, milestones achievements, ad hoc issues, and solutions to inform required refinements of rules and support the knowledge management and sharing.
- Participate with consortium and consultants to collect and analyze data served for feasibility study/inception report in Lam Dong/Son La province.
- Support the Team Leader to prepare regular and ad-hoc reports.
- Work closely with the key local authorities (Lam Dong/Son La PPC, DARD, DPI) to prepare necessary legal procedures for getting approval from the PPC.
Support field work implementation.
The Project Field Coordinator may be called upon to support the implementation of field activities. This may include accompanying consultants and other project staff on field visits, supporting facilitation of events, acting as a resource person for surveys, interviews, workshops or other project activities in the field.
Maintain and strengthen partnerships.
The Project Coordinator supports the develop and strengthening of working relationships with key partners to ensure smooth project implementation, including government agencies at central, provincial, district and communal levels; farmers and smallholders; Companies/Competitors; as well as with other key relevant partners and stakeholders such as other development partners/projects, NGOs and local communities.
Project communications
Work closely with the Communication team to plan all required communication activities for events and marketing/promoting of project’s results to wide and diverse audiences. These may include the preparation of brief reports on project activities, booklets, publications, and various key visual products.
