JOB DESCRIPTION Job Title: Recruitment Assistant Grade: Band 4 Responsible to: Talent and Recruitment Manager Accountable to: Head of Recruitment and Retention Job Summary:To deliver an efficient and effective recruitment service for non-medical staff across the Trust in line with the recruitment KPIs. Responsibilities:1. Ensure recruiting managers are aware of the full recruitment process and provide coaching and support to them on the use of TRAC 2. Ensure that advert order forms are complete and the appropriate information and documentation has been received before the role is advertised via all appropriate media including TRAC Jobs and NHS Jobs where appropriate. All roles must be advertised in line with the recruitment KPIs. 3. Input vacancy information into the Electronic Staff Record (ESR) and create ESR recruitment activity records to ensure vacancies upload to TRAC Jobs and the NHS Jobs website, ensuring accuracy of data at all times and all fields are completed within TRAC. 4. Liaise with NHS Creative Services to coordinate the booking and amending of proofs for advertising in all external media and publications. 5. Ensure screen prints are taken of adverts on both TRAC Jobs and NHS Jobs for roles that may require work permits, predominately band 5 and above and saved on the HDrive. 6. Complete housekeeping on TRAC before midday to ensure all roles are shortlisted in line with the KPIs and managers are informed. Where candidates have applied via NHS Jobs all applications must be moved over prior to the vacancy being moved through to Shortlisting. Regret emails must be sent out to those not shortlisted for interview. 7. Set up interviews/tests for shortlisted candidates via the TRAC system, as per the instructions of the recruiting manager. Follow up any candidates who have not booked in to interviews on a regular basis via phone and email, informing managers of any candidates that have withdrawn. 8. Once offer details have been updated in TRAC, prepare and send conditional offer letters through TRAC and add candidate to the cohort system, sending the work health assessment out all in line with the 1 day KPI. Contact the candidate via phone to talk through the pre-employment stage and confirm the required threeyears references, sending out reference requests once confirmed. Apply for CoS where appropriate. 9. Send out notifications of regret to unsuccessful candidates. 10. Conduct accurate pre-employment checks as stated in the NHS Employment Check Standards for all applications using the TRAC recruitment system including ID, RTW and DBS checks where appropriate. Pre-employment checks will need to be completed within 20 days of the offer being made in line with the recruitment KPIs. 11. Ensure regular contact is made with the candidate and manager during the preemployment stage to avoid any delays and to make sure all parties are aware of the process. 12. On completion of all pre-employment checks complete the quality check process to ensure all documents are accurate and present. Once all documents are checked and completed arrange start date with manager and candidate. 13. Prepare and send out contract of employment, ensuring accuracy of terms and conditions of employment. 14. Book candidate onto Trust Induction and all relevant statutory and mandatory training courses required. All new starters must be added to the new starter spreadsheet. 15. Prior to start date send out New starter email to manager and Welcome to the team email to candidate. Woodview students are taught in small class sizes and supported by specialist teaching staff, specialist learning support assistants, an Emotional Literacy Support Assistant (ELSA), and Occupational Therapist (OT).

About The Role
To provide a high-quality education support service to students, in accordance with company policies, procedures and practices and the standards set by the regulatory body.
Hours: 40 hours per week. Term Time only (39 weeks)
Salary: £20,855 - £21,943 pa (£11.69 - £12.30 per hour). (FTE 52wks £24,315 - £25,584). Dependent upon experience

Job Responsibilities

- To contribute to and help implement developments that relate to the School Development Plan.
- Work with and manage sensory needs, enabling learners with a ‘sensory diet’ and / or to adopt selfregulatory strategies as appropriate and advised by the professional team.
- To make, use and keep records in accordance with company policies and procedures and standards set by the regulatory body
- To keep up-to-date with specified subject area, educational practice and SEND-related information
- Assist some learners in developing or refining their ‘independence’ skills, which may be inclusive of assisting with personal care elements.
- Liaise with staff from other departments to provide a consistent approach to all aspects of learner education.
- Maintain regular communication and liaison both informally and in meeting times, ensuring a consistent approach to education of learners.
- Ensure that the service operates to agreed budgets and contribute to keeping within these budgets as instructed.
- Exercise vigilance in respect of health and safety and promptly report all hazards and/or remedying them where appropriate. Undertake all duties in a manner calculated to minimise or avoid unnecessary risks, personally or to others.
- Report issues and/or incidents relating to staff and students that have arisen in the day promptly to the relevant line manager or appropriate person.
- Always operate in accordance with company policies and procedures, with particular reference to safeguarding, child protection, whistleblowing, complaints and representations and behaviour policies.
- Participate in team meetings, supervisions and annual reviews in accordance with company policy and the standards set by the regulatory body.
- Work to promote the school as a valued, professional asset within its community and conduct themselves at all times in a manner that reinforces this image.

As directed by the Patient Pathway Coordinators ensure a full administration service is provided within the various services of Ophthalmology. This may include providing basic cover for the Patient Pathway Coordinators during periods of sickness, annual leave or workload increases. To collect health records as required from the Medical Records Libraries or elsewhere in the hospital and to assist with the preparation and pulling of clinic notes. To respond to queries relating to health records, either by telephone or in person and to ensure all health records are tracked using EPR thereby maintaining an accurate location of all records. To assist with the filing and scanning of patient correspondence. To escalate stationary requirements within the department. To open and date stamp the departmental post and distribute appropriately, ensuring urgent referrals are brought to the attention of the secretarial or Outpatient Booking team Patient Pathway Coordinators. To assist the Patient Pathway Coordinators with the use of electronic transcription and Medisoft as and when required, ensuring that the Trust 7 day (or 48 hours for oncology letters) turnaround is met. To communicate effectively using good verbal and written skills and to deal with all enquiries in a sympathetic and professional manner in line with Trust Values.

Register new patients on the EPR/ERS system within 48 hours of receipt of referral where applicable.2. Ensure that referral letters are available for the Clinical Team to review.3. Liaise with the clinical staff to ensure clinic capacity matches demand for appointments4. Provide an efficient and polite service to patients regarding the booking of appointments usingagreed protocols and processes.5. Take responsibility for the accuracy of patient data on EPR system.6. Managing Patient Target List to ensure targets for outpatient waiting times are met.7. Maintaining e-Referral list daily.8. Providing weekly performance report regarding outpatient waiting times.9.
