What’s the role?
As an Operation Order Entry Specialist, you'll be at the forefront of ensuring seamless communication and operational efficiency between our organization and our valued customers. Your dynamic role involves day-to-day communication through various channels, including email, calls, web-based platforms, portals, shared mailboxes, and EDI interfaces.

Here’s what you’ll do:
Communication Management:
- Engage in daily communication with internal and external customers via various channels, including email, calls, web-based platforms, portals, shared mailboxes, and EDI interfaces.
Order Processing:
- Create quotes and process dealer purchase orders.
- Utilize SAP Order Management System for comprehensive order fulfillment, covering Sales Orders, Deliveries, Goods Issue and Billing, Goods Receipts, Invoice Receipts, and Invoice Clearing.
- Manage orders from different platforms such as Expert Voice, Kibo, and SPS Commerce, including purchase order collection and customer invoicing through web-based portals.
- Generate invoices and handle accounts receivables or process related accounting paperwork.
Customer Issue Resolution:
- Address and resolve customer inquiries by identifying issues, determining root causes, and selecting optimal solutions.
- Expedite corrections or adjustments and follow up to ensure timely resolution.
Inventory Management:
- Allocate inventory based on pre-determined delivery dates, customer priority, and inventory constraints.
- Oversee the movement of sales to and from customer locations, playing a pivotal role in inventory allocation for order fulfillment across the distribution network.
Cross-Functional Collaboration:
- Partner with Sales, Operations, and Supply Chain teams to meet and exceed all service levels.
- Collaborate cross-functionally with the in-house Sales and Finance teams to ensure accurate and timely order processing for an enhanced customer experience.
Operational Support:
- Provide operational and logistics support to the Sales team, contributing to the smooth execution of daily activities.
Returns and Exchanges:
- Process returns, exchanges, and cancellations, including arranging transportation for product returns.
- Research all return orders, create commercial invoices based on import documents and approval from trade compliance.
- Assist in ensuring proper replacement for warranty, early failure, or DOA parts.
SAP Data Management:
- Update SAP data, analyze, and correct errors to maintain accurate and reliable information.
Do you qualify?
Bachelor’s Degree in Business (preferred).
Minimum 2-4 years of experience in relevant functions.
Experience with ERP/CRM systems, with a preference for proficiency in SAP and Sales Force, respectively.
Strong analytical, problem-solving, and technical skills, with proficiency in Excel.
E-commerce experience is highly desirable.
Previous experience with US retailer/National Account operations is a plus.
Knowledge or experience with 3PL (Third-Party Logistics) is advantageous.
Working Conditions and Special Demands:
The annual pay range for this position is $46,900 – $58,700
The pay offered for this role may be influenced by factors such as job location, scope of role, qualifications, education, experience, & complexity/specialization/scarcity of talent.
This position is also eligible for a performance bonus or sales commissions. ZEISS also offers robust benefits, including medical plans, retirement savings plan and paid time off.
