About the role
Balfour Beatty is a leading international infrastructure group. We finance, develop, build, and maintain the vital infrastructure that we all depend on.
We are currently seeking a dedicated and organised Administrator to join our team on a 6 month temporary contract at our Head Office.
This role will be based in Suffolk.
Role Purpose:
The Project Administrator will coordinate and assist the efforts of the Project Management, Engineering and Design Teams involved in the execution of specified projects. Liaising with a wide range of internal stakeholders to ensure that all project processes and functions are supported to ensure timely and effective project delivery. Interfacing with our client on project administration is key to this role.
What you'll be doing
As a Administrator you'll:
- Ordering plant and material from internal and external supplies – arranging transport if required and liaising with Plant Desk if repairs/replacements are necessary.
- Enter all Waste / Special Waste Transfer notes onto the Environmental Database at the end of each month. Check all new subcontractors have full licenses and enter onto database
- Control of all Incoming and Outgoing Correspondence, Project Files , Standards Library, Design Log, Minutes of Meetings and other project related documentation.
- Issue and maintain Site Start up Packs for Contracts
- Prepare documents for close out of contract meetings and submit documents to client as required. Take meeting minutes as required by the Project Manager
- Checking that all vehicles are allocated to the correct contract on a weekly basis, monitoring permit to drives and drivers report. Use of the Masternaut system would be advantageous.
- Ensure general health and safety is maintained and project related administration duties carried out in line with Business Management System as and when required
- General duties for example: Minutes of Meeting, Photocopying and Scanning and any other ad hoc assistance as required by the company.
