Overview and Responsibilities Administrative Assistant/Receptionist – Aurora Wilden View Location: Torton, Kidderminster Salary: £20,941.30 - £21,513.07 (FTE £24,377.60 - £25,043.20) Hours: 40 hours a week – Term time only The Aurora Group The Aurora Group is an innovative provider of education and care for children, young people and adults with special educational needs and disabilities. The main purpose of the role: We currently looking for a professional and welcoming Administrative Assistant/Receptionist to join us ready for when we open our doors to students in the coming weeks, or as close to that as possible. You will be responsible for reception and telephone duties, welcoming visitors, diary management and taking deliveries, as well as providing administration assistance as required such as typing letters, taking minutes for meetings, and arranging appointments. We’re looking for someone who is able to remain calm under pressure, multitask and carry out unexpected tasks without notice (flexibility is a must), be able to work well within a team as well as on our own, able to maintain confidentiality and always offering a warm and friendly welcome to our visitors. Key duties: Identifying the caller’s Requirements for internal and external queries, providing an appropriate response. Referring enquirers to the colleague best placed to deal with queries. Receiving, logging, passing on and if necessary following up messages for colleagues in a timely and effective manner so that visitors are made to feel welcome and that colleagues can be notified about visitors. Checking identity, allocating and retrieving visitor identification and completing visitor log. Identifying and meeting the actual needs of people asking for information. Ensuring that the reception area is maintained attractive and welcoming. Operating a computer to access databases and using word processing applications when required. Maintaining, updating, sorting and retrieving a range of records/statistical data, including monitoring/ordering of stationery and office supplies if appropriate. Accurate filing, indexing, retrieving and other related work. Any other duties that are identified to be job related.
Skills and Qualifications Successful candidate qualities: Excellent communication skills both verbal and written Good level of literacy and numeracy (at least 5 GCSEs above C to include English and Maths). Demonstrable experience of working in an administrative role for at least a year. Computer literacy – Excel, Word, Outlook, Access, PowerPoint and ability to use range of databases once trained Accurate typing. Organised, good time management. Ability to manage own time to deal with multiple tasks. High levels of interpersonal ability with excellent written and verbal communication. Able to work as part of a team.
