• This role oversee the recruitment operations for the campaign, providing line management guidance and support to the recruitment administrators.
• Coordinating and lead daily morning team meetings to identify and action daily priorities.
• Ensure that recruitment activities remain on track to meet deadlines and conduct weekly activity reviews with each member of the team, utilising KPI information from TRAC reporting.
• Ensuring that all team interactions with stakeholders reflect the Trust’s values and behaviours, addressing any behaviours that do not align with the Trust’s expectations.

Recruitment

We are looking for a pro-active, motivated individual who enjoys working in a challenging and busy environment within the Ophthalmology Directorate. The successful candidate will need to have experience of working in the NHS and Knowledge of the 18-week Pathway. Applicants should be well organised with excellent communicational skills and able to work well under pressure and be a key team player. The appointed candidate will be responsible for booking new patient appointments by priority and date order, uploading referral for clinical triage, pathway management for 18-week RTT. The post is vital to the delivery of timely, consistent, high quality care for patients. Computer literacy and good customer service skills are a must although full training will be given.

The working hours will be Monday – Friday, 08:30 – 16:30
• Ensure accurate and comprehensive patient records and clinical details including outpatient referrals are added onto EPR in a timely manner, according to agreed standards, (the Trusts’ Elective Access Policy and Data Quality).
• Book appointments on EPR as per Trust procedures in line with the Trusts Elective Access Policy and ensure all referrals are clinically triaged within 48 hours.
• Ensure that patients on ERS (Electronic Referral System) are given appointment dates in accordance with clinical priority and length of wait, and that patients on the ASI list are managed accordingly.
• Ensure that the appropriate action is taken following both patient and hospital cancellations, such that the utilisation of elective capacity is maximised.
• Ensure that the patients’ 18 week RTT pathway is correct on EPR before undertaking any changes.
• Be responsible for manging designated patient tracking lists (PTL) and attend weekly PTL meetings with the management teams.
• To ensure all clinician annual leave and changes in outpatient sessions are accurately recorded
• Take a lead to resolve clinic cancellation issues by communicating with colleagues and arranging cover or alternative clinics where required.

• All Consultants, clinicians and nurses are required to give a minimum 6 week notice period of any clinic alterations. Ensure that any requests outside this period are highlighted to the Outpatient Booking Team Leader.

1. To lead the Workforce Investigations Team within the Trust, monitoring caseload and investigation quality and analysing trends in investigations.

The Clinical Innovation Adoption Senior Project Manager will:
• Facilitate the adoption and adaption of innovations across the region by engaging and working with clinicians and managers from providers and commissioners and the HIOTV on projects that address clinical priorities as identified nationally and locally.
• Identify and assess innovations suitable for adoption; this includes NIHR Applied Research Collaboration (ARC) projects and activities.

Project Management Office
• Assist with the development of study design and required methodology tools by working closely with Project Management Office Manager and Programme Managers.
• Support the organisation of project and programme venues, workshops, training, patient and clinician interviews and surveys.

Standards. As such you will work closely with colleagues in the Screening Administration Team and Screening technicians as well as liase with
Healthcare Professionals, administrative and secretarial staff both within the organisation as well as patients, relatives and GP Practice Staff. The
post plays a supporting role to the AAA screening programme and ensures that members of the public are informed of the benefits of the
programme.

Communication

1. Contact patients, arrange and manage appointments system for the screening programme. This will include negotiating re-arrangement of admissions / appointments over the telephone. Overcome any barriers to understanding that will arise in these circumstances.

2. To contact patients who fail to attend appointments and eliciting reasons for their non-attendance.

3. To contact patients who are on annual and quarterly surveillance with the screening programme to remind them of their appointments and ascertain if they are planning to attend, or need their appointments re-arranging.

4. Deal with anxious patients and their relatives with tact, patience, persuasion, and discretion. Contact patients when there is a need to provide improved understanding of the implications of a case. Ensure that communications are accurately recorded in the office message book.

5. Deal with messages from clinicians and GPs as required, ensuring that the Manager is kept informed. Ensure that communications are accurately recorded in the office message book.

6. Deal with sensitive/confidential information such as patient records, staff personal/academic information or professional development of staff members, details of new developments for the department in a professional manner.

7. Communicate a variety of complex and sensitive information effectively and to a high standard both orally and in writing. This may include, but is not limited to; hospital and National AAA Screening protocols and procedures, National and local AAA screening targets, clinic information and details and Vascular Lab & surgery referral information.

8. Keep the screening Manager informed of the progress of work and any difficulties arising. Take action on complaints, seeking advice where necessary.



Planning & Organisation

1. Provide a comprehensive service for arranging appointments for the screening programme without supervision.

2. Re-arrange admissions/appointments for patients where these have to be cancelled or postponed either by the screening programme or when the patient phones to re-arrange.

3. Be responsible for optimal utilisation of screening clinics and staff time. Check patient and participant lists and data for accuracy, and contact GPs to resolve anomalies if required.

4. There may be a requirement to send abnormal ultrasound results to the consultant radiologist for reporting on a regular basis, and check that any outstanding reports are returned within a reasonable period, notifying the Manager when delays arise.

5. Circulate result letters to the appropriate GPs, alerting them to abnormal measurements and to patients who failed to attend appointments.

6. File results and copy correspondence appropriately in patients’ records. Maintain an accurate filing system.

7. Organise and monitor staff rotas and venues for screening and Vascular Nurse Practitioner clinics, in association with the screening Manager. Check current availability, book venues and rearrange staff rotas accordingly. This also extends Prison clinics and all associated security arrangements for a Prison Clinic.

8. Organise and monitor surveillance patients screening clinics, appointments and aneurysm growth rates alongside the Vascular Nurse Practitioner Clinics. Highlighting to the Programme Manager, Clinic Lead and Vascular Nurse Practitioner where patients fall into the high growth rate and require clinical attention sooner than planned.

9. Make patient referrals to the Vascular Lab for further medical imaging when a non-visualised result has been recorded by the screening programme, this also includes updating patient details with their results.

10. Make patient referrals to Vascular Surgery when they arise and in the absence of the Programme Manager to make the referral.

11. Manage the screening clinic frequencies according to patient numbers remaining to be screened and work with local practice managers to flexi clinic numbers up and down according to the programmes needs and in order to make sure all patients are seen within the correct screening year. Keep the screening Manager informed of progress and any issues.

12. Maintain the screening programmes failsafe trackers to a high standard in conjunction with the Programme Manager.

13. Monitor the screening programmes generic patient email address and respond to any queries from patients or local screening locations/venues.



Operational Management

Physical Skills

· The post holder will require a high level of skills and accuracy in tabulating, entering and manipulating data using spread sheets. They will require advanced keyboard skills to an RSA3 level.

Patient Care

· There will be frequent regular contact with patients in respect of their appointments with the screening programme. The post holder will be required to deal directly with a variety of enquiries from patients regarding appointments admissions, cancellations, re-bookings, procedures etc. and keep records of any complaints.

Information and Analysis

· Tabulate and input data onto databases and spread sheet systems for recording patient information, results, patient outcome and clinic activity for the screening programme and for audit and research purposes. These data systems are on-going and updated many times a day.

· Record any recent deaths and enter data on to appropriate printouts, spread sheets and databases.

· Use patient administration system for extracting patient information when required, and for locating and obtaining and tracking patient notes.

· Must at all times respect the confidentiality of all electronically stored information and written data, particularly where it relates to patients.

· Attend meetings as required. Take formal minutes of regular screening team meetings and circulate these appropriately.



Human Resources

Responsibility for demonstrating and training new and temporary members of staff in their own activities as well as National and Local Screening Policies.



Financial Responsibilities

Monitor office and clinical consumables and raise purchase orders for supplies using the Trusts Procurement System.



Research and Audit

1. Maintain patient notes in circumstances where special research is being undertaken.

2. Assist the Screening Manager with other vascular department projects including obtaining data from hospital notes and IT systems for national vascular audits.

3. Obtain notes for research audits / surveys being done by members of the Team. This can involve transporting large sets of notes.

MAIN PURPOSE OF THE POST

To manage the Treasury, Accounts Receivable and Accounts Payable Sections, working to maximise efficiency and timeliness of processing transactions.

Reporting and managing the Trust’s cash balances, presenting clear information to senior colleagues in a timely manner to allow key decisions to be made.

Present cases considering a range of possibilities for areas for improvement either to save money, or to enhance services, or become more efficient. This will include analysing options and evaluating complex scenarios to be able to advise decision makers. End-to-end project management of any cases gaining approval, seeing through to conclusion and successful implementation.

Working with colleagues in Finance and other departments to develop systems and procedures, increasing efficiency and quality and timeliness of information.

To ensure appropriate training and development of Finance staff.

Be a key member of the team involved in the preparation of the Trust’s statutory accounts including planning and managing the exercise to agree NHS balances.

RESPONSIBILITIES

1. Team Management

• Manage Treasury, Accounts Payable and Accounts Receivable Sections, developing and agreeing work plans for the teams

• Responsible for recruitment to teams and setting objectives for team managers and teams as a whole

• Setting and monitoring targets for teams

• Responsible for development of teams and any system improvements

• Review of monthly performance figures working with team managers to investigate and explain significant trends and to develop action plans

2. Accounts Payable Section and Procurement

• Develop links with suppliers to address issues in supply chain processes, including procurement and payment of invoices. As part of this process, work to develop and automate systems and procedures involving Procurement Department where appropriate

• Administration of Purchasing Cards for the Trust, dealing with card applications, ensuring payment and posting of monthly balances and transactions

• Dealing with queries and requests for information on suppliers, either for suppliers themselves or for management and other departments in the Trust

• Dealing with VAT queries raised by finance colleagues and other Trust departments

3. Income and Debtors

• Working with colleagues in Finance and Commissioning, develop process for the efficient invoicing of NHS organisations and subsequent follow up/debt escalation arrangements.

• Develop efficient processes for all other invoicing within the Trust

• Working with the Accounts Receivable Manager and debtors team to develop efficient and effective arrangements for debtor follow up and internal monitoring arrangements

• Review recommended write-offs of bad debts and provision for doubtful debts and decide on the write-offs and provision adjustments to be made in the Trust accounts each month

• Review recommended list of debtors to pass to collection agency and decide on items to refer, consulting with Income team where appropriate

• Work with Accounts Receivable Manager to monitor debt collection agency performance, and where appropriate to change debt collection arrangements

• Dealing with queries and requests for information on income and debtors, e.g. for Trust management or other departments in the Trust

• Receiving, interpreting and planning local implementation of national and regional guidance and policies

• Where appropriate contacting issuers of guidance for clarification or to raise issues

• Administration of Purchasing Cards for the Trust, dealing with card applications, ensuring payment and posting of monthly balances and transactions

4. Systems and procedures - general

• Develop systems and procedures for income/debtor, treasury and accounts payable teams, both internal procedures and procedures which affect other departments and other organisations

• Responsible for contributing on development of major finance system changes across the Finance Department, including involvement in

This includes the main finance ledger, and also database systems maintained in the Finance Department, and systems in other departments which have an impact on Finance

• Responsible for ensuring month-end processes are complete and reports are produced accurately and in a timely manner

• liaising with Trusts VAT consultants ensuring they are consulted on key matters with potential VAT implications such as major contracts and capital projects and attending VAT Review Meetings

• liaising with Internal and External auditors, dealing with queries and responding to and implementing recommendations

• Ensure accurate and comprehensive patient records and clinical details including outpatient referrals are added onto EPR in a timely manner, according to agreed standards, (the Trusts’ Elective Access Policy and Data Quality).
• Book appointments on EPR as per Trust procedures in line with the Trusts Elective Access Policy and ensure all referrals are clinically triaged within 48 hours.
• Ensure that patients on ERS (Electronic Referral System) are given appointment dates in accordance with clinical priority and length of wait, and that patients on the ASI list are managed accordingly.
• Ensure that the appropriate action is taken following both patient and hospital cancellations, such that the utilisation of elective capacity is maximised.
• Ensure that the patients’ 18 week RTT pathway is correct on EPR before undertaking any changes.
• Be responsible for manging designated patient tracking lists (PTL) and attend weekly PTL meetings with the management teams.
• To ensure all clinician annual leave and changes in outpatient sessions are accurately recorded

The Thames Valley Abdominal Aortic Aneurysm (AAA) screening programme offers community based ultrasound screening for abdominal aortic aneurysms to an eligible population of almost 13,000. The target screening population are men in their 65th year.

The primary purpose of the Screening Technician role is to undertake the day to day operational running of AAA Clinics out in the community, across Oxfordshire, Buckinghamshire and Berkshire with the large proportion of the programme’s clinics held in East Berkshire and South Buckinghamshire.

The primary purpose of this role is to perform ultrasound scanning as part of the National Abdominal Aortic Aneurysm Screening Programme (NAAASP). The post holder will ensure abdominal ultrasound scanning is undertaken to a high standard and in accordance with national standard operating procedures.

The post holder will reassure men attending the community AAA screening and surveillance clinics and explain the screening test to them. The post holder will ensure that the men attending clinics are informed and aware of the implications of AAA screening.

The post holder will be responsible for informing the participant of the result of their scan and for ensuring the participant outcome is processed correctly.

We are looking for someone who is willing to train as a technician. The trainee role is suitable for people from a variety of backgrounds who can undertake a Level 3 Diploma in Health and Social Care which typically takes 12 months to complete. No previous experience is required as training will be given to ensure high standards of scanning in accordance with National Operating Procedures. The training also enables the Screening Technician to have confidence in explaining the screening programme, reassuring patients about the implications of the scan, discussing results and arranging the next steps, should it be required.

The post holder will initially work as an assistant practitioner, carrying out abdominal ultrasound scans within standard operating procedures. Following successful completion of the NAAASP course, the post holder will work independently and make judgements according to experience and training. Advice is available when needed for more complex situations but the post holder generally works on his/her own initiative without reference to the Line Manager.
• Organise and carry out ultrasound scans of the abdominal aorta in accordance with current guidelines for sonographic scanning and the programme protocol.
• Ensure that scan results are despatched as soon as possible from off-site screening clinics to the screening office in a safe and confidential way.
• Communicate the outcome of the screening test to the man (this may be via his relative/carer or interpreter); provide additional information and offer support appropriate to the outcome/patient pathway.
• Deal with medical and patient enquiries as appropriate, taking the initiative to prioritise work and to bring to the attention of medical or administrative staff any patient whose condition warrants it.
• Handle incidents and medical emergencies in a professional manner and in accordance with local policy, supporting other screening staff if appropriate.
• Keep the Screening Programme Manager, Team Leader Screening Technician, Programme Administrator and/or Clinical Skills Trainer informed of caseload and any difficulties arising, seeking advice where necessary.
• A full driving licence and use of a car are essential to this role and the successful candidate must be willing to travel frequently to cover all areas.
