The Clinical Administrator will work as part of a team of practitioners who work with the 0-19 population in providing universal services under the umbrella of health visiting and school nursing. You will support with administration duties such as creating appointments for various health reviews carried out by the team, covering a duty system where requests for the team are actioned daily, ordering and control of supplies, providing reports for the team leader and also utilising clinical skills in supporting the Health Visitors in weighing and measuring babies and children in our well baby clinics. The post holder will be expected to be able to prioritise work and meet deadlines in order to fulfil the requirements of the post. Excellent interpersonal and communication and organisational skills are essential to meet the sometimes fast paced demands of the service, along with an ability to liaise directly with service users.

Responsibilities 1. Use laboratory computer systems to record patient specimens and provide clinical advice on sample selection and necessary laboratory tests for patient diagnosis and management. 2. Perform all sample processing procedures required in the laboratory. 3. Conduct HLA and HNA antibody screening and specification. 4. Carry out flow cytometric crossmatching. 5. Perform genotyping using molecular methodologies and assist in the maintenance and development of in-house genotyping as required. 6. Ensure the accuracy of patient test results entered into hospital, regional, and national computer systems by laboratory staff. 7. Validate and verify relevant laboratory tests. 8. Independently perform a wide range of specialised tests according to standard operation procedures (SOPs), analysing, interpreting, and reporting results. 9. Assimilate highly complex information to produce accurate reports. 10. Participate in internal and external quality assurance schemes (e.g. UK NEQAS for H&I) and collaborate with senior staff to act on results. 11. Monitor consumable supplies and equipment to ensure laboratory function. 12. Oversee day-to-day performance and ensure tasks are performed to a high standard. 13. Independently perform emergency out-of-hours on-call duties for solid organ and islet transplantation, including advising surgeons on transplant rejection risks based on complex data. 14. Perform any reasonable duties related to the position, as requested by senior staff. Special Duties 32. Design and implement internal quality assurance schemes to ensure service compliance with national and international accreditation standards in consultation with senior staff. 33. Communicate effectively and accurately with users, including attending Multidisciplinary Team (MDT) meetings and acting as a point of contact for users. 34. Organise and plan workload to ensure efficient service delivery. 35. Initiate service development by reviewing and costing laboratory tests and planning laboratory procedure improvements in consultation with senior staff. 36. Outpatient Pathway Administer all new referrals received via the E referral service, ensuring all are electronically triaged by the appropriate clinical staff member and action as required. Process and log all non-Choose and Book referrals on EPR, including registering new patients in addition to updating existing patient details. Book new and follow-up outpatient and diagnostic appointments, ensuring that capacity is proactively and efficiently used. This includes booking patients into the correct clinic to ensure that they are seen by the most appropriate clinician. Reschedule outpatient appointments as a result of patients calling the service, in line with the 18-week RTT / cancer / screening targets and agreed local processes in respect to patient cancellations. Actively review patient DNAs, liaising with the appropriate clinical staff and reschedule patient appointments in line with agreed local processes. As required, complete clinic cancellation forms and ensure appropriately authorised (minimum 6 weeks' notice required) before processing the clinic cancellation on EPR and rescheduling of patient appointments. Adding additional clinic capacity on EPR as directed by management, to include the use of adding appointment slots on EPR that can be booked via Choose and Book. To be responsible for actively managing the OP PTL and Incomplete lists. General Demonstrate high levels of customer care and be an ambassador for customer care within the Trust. Provide a robust administration function that underpins the delivery of a high quality service and maintain effective working relationships with clinical, nursing and administrative staff. Answer all telephone calls in a timely manner and action as appropriate. Maintain patient confidentiality at all times. Be flexible in your approach to work, such as covering other job roles at an appropriate grade or site, and to include varying working hours to ensure the service maintains a minimum level of cover during its core hours of 08:00 to 17:00. Retrieve notes and ensure all patient information is available in a timely manner for all appropriate outpatient appointments, diagnostic appointments and inpatient / daycase procedures, checking demographics at every stage and locating lost notes where appropriate. Support the Team Leader, Patient Pathway Manager and Service Manager in the investigation and resolution of patient queries and complaints received direct to the service or via PALS / Complaints Department. Book interpreters for patients prior to appointments and admissions as and when required. Liaise with Clinical coders to ensure patient notes are available so that all patient episodes are coded accurately and promptly. To support and contribute to on-going and future service development projects supporting continuous improvement of the services we provide. Designated point of contact for the consultants and clinic teams. To have an overview of all workflows in the admin team and to be responsible for consistency across the service. To make sure robust processes are in place to provide an excellent cohesive service to both patients and colleagues. To work closely with each member of the admin team to understand their role and support them. Coordinate cover in times of leave and sick to ensure service continuity. To escalate potential issues to the Administration Manager. To deal proactively and efficiently with telephone enquiries from patients, carers, GPs and other service users professionally, ensuring, where possible, that the callers needs are met or they are transferred to the most appropriate person. To understand the patient pathway and be responsible for managing follow up appointments and any other administration to ensure that patients are tracked effectively through their 18-week pathway. To oversee the booking of clinic appointments for new patients through the Choose and Book directly bookable system, and liaise effectively with the Deputy Administration Manager with regardsto capacity issues. To manage all correspondence, and to ensure that urgent matters are dealt with properly. Taking appropriate action and ensuring that any paperwork is scanned promptly onto the patients electronicnotes and forwarded to the appropriate person electronically so they can respond accordingly. Deal with outgoing mail with due care and attention to patient confidentiality. To oversee the transcription of clinic letters, general correspondence, reports, etc. using the digital dictation system and ensuring that all clinic letters are checked, any errors rectified, and are printedand despatched within identified deadlines. To ensure that all patient referrals received into the department are dealt with according to Trust processes, efficiently and effectively in a timely manner; that all details are registered and the referral letters are scanned promptly into the patients electronic notes. To regularly check future clinics, ensuring cover is agreed with the medical team, and under or overbooking issues are proactively dealt with. To obtain the necessary diagnostic tests/hospital notes needed for clinics, as required. To understand the complaints procedure and use initiative to resolve complaints from patients and other individuals as far as possible. Be able to understand when to escalate concerns and facilitateformal response by Consultants.

Clinical To undertake assessment, treatment, education and support for trauma and orthopaedic service patients and their carers. This will involve clinical reasoning and autonomous complex decision making using best available evidence. To provide holistic, timely OT intervention to facilitate safe hospital discharge. To be able to justify rationale for provision or non-provision of adaptive equipment, demonstrating its safe use and care to patients, staff and carers. Provide support for junior staff regarding complex issues. To have a day to day responsibility for managing a complex and diverse caseload and co-ordinating safe and effective patient discharge. To organise, complete and document assessments in patients home, work and educational environments. To provide education and treatment for in-patients, out-patients, patients attending pre-operative clinic, rheumatology clinics, prosthetics clinics and patient education sessions. To assist the Occupational Therapy Service Manager in the day-to-day supervision, education and support of Band 5 Rotational Occupational Therapists, Therapy Assistants and Occupational Therapy Students. To assist the Occupational Therapy Service Manager in the day-to-day delivery of the Occupational Therapy Service. To support junior staff members to effectively manage their clinical caseload. To enable patients to achieve effective coping and self-management skills. To chair departmental and inter-departmental meetings as required. To record departmental statistics and other information as required by the Occupational Therapy Service Manager. Education and Training To have an awareness of current trends in treatment techniques and professional issues and to participate in active learning by appropriate study, by attending relevant training and contributing to in-service training programmes as appropriate. To be involved in the induction and orientation programmes of new Occupational Therapy staff and students to the Orthopaedic Occupational Therapy Service. To assist in welcoming visitors to the department and discuss the Occupational Therapy Service in an informed and appropriate manner. To be involved actively in practice education for undergraduate Occupational Therapists (including taking sole responsibility for the supervision and assessment of students whilst on practice placement). To assist the OT Service Manager in the development and maintenance of a high profile occupational therapy service; through effective communication, teaching and presentations. To contribute to educational programmes and courses when required. Provide advice to colleagues in community services regarding post-operative management of patients who have undergone surgery treatment. To help organise and facilitate co-design workshops with community groups and individuals with lived experience of psychosis from Bangladeshi, Black African, and Black Caribbean backgrounds. Screening and recruitment of patients diagnosed with psychosis and patients at ultra high risk pf psychosis. This will involve speaking to referrers regularly, attending clinical team meetings, visiting community mental health teams, hospital wards, as well as home based treatment teams. There will be monthly recruitment targets for all studies. The post-holder will be joining a team of research assistants to help meet these targets. Completing eligibility screening assessments and seeking informed consent from patients. Carrying out the assessments for the trials. The trial patients will be assessed on a range of measures at a number of time points for each study. You will need to arrange these interviews and administer clinical interviews, assessment tasks, and self-report questionnaires. Participants will be seen in clinic settings or at home across a large geographical area. Patients are seen in multiple NHS trusts including: Oxford Health, Northamptonshire Healthcare, Berkshire Healthcare, and Central Northwest London (Milton Keynes). Assessments will be carried out blind (i.e. you should not know which condition thepatients have been randomised to). You will need to remind staff and patients not to tell you the allocation. And you will need to report if you have become unblinded. It will be crucial to maintain very high follow-up rates for the trial participants, meaning you will need excellent engagement skills. Good record-keeping will be needed, including updating medical records with trial progress and managing recruitment databases. Follow standard operational procedures for the trial and NHS Trust policy regarding safeguarding of vulnerable adults and children.
